Chapter I
INTRODUCTION
Background of the Study
All over the world, technology is the most important advancement, a
necessity in bringing progress as we move along in this computerized world.
Technology has been rising in an incredible fast rate. Majority of the things
we meet or encounter is applied technology.
The IBACMI Supreme Student Council, has been left behind in terms
of technology applications, (i.e. students will fill out a form to provide his/her
personal information, calculating penalties manually and manual signing of
attendance in every activity). We are stuck in the old practices of doing
everything manually, members have been longing for change, which will
make the workload much lighter with the help of technology. By that this
goals of the organization will be clearly reachable. Making a system for the
overall welfare of the council is a great opportunity to help and show what
we learned for the past three years. As the highest student organization and
representative of the school, the student council members will have many
responsibilities and expectations to uphold.
Barcode Based Student Attendance System(B.B.S.A.S) is a software
which utilizes barcode scanner to record and maintain the attendance of the
students. The main hardware that is to be used is the barcode scanner. This
barcode scanner is used in order to read a barcode. A Barcode is a machine

readable representation of information in a visual format. A bar code consists
of a series of parallel, adjacent bars and spaces.
The researcher aimed to solve this problem because this study is worth
pursuing and we believe that we need to study about this because with this,
students, teachers, the SSC and administration may determine if the admin
are satisfied to the performances and services of the Supreme Student
Council. Also, the student body will benefit in this study because they can
print out their penalties and coming events about the performance and
services of the SSC. Additionally, this study can give information to the
Administration if the Students are absents and active and is fulfilling their job
and roles as the student which is super headed by the school administration
of [Link]. Furthermore, it aims to brighten or bring out efficient and
effective administration of Supreme Student Council (SSC) system like
students fines/penalties and register students.
It will also help in making the processing of information as well as feed
backing faster and also give focus to institution of higher learning on the
facilities obtained in the use of modern systems.
Also, the aim of this project is to give an efficient introduction to
database and its integration with the local database. We are creating this
project to engage the new generation of our time to make effortless work not a
hassle to do attendances, registering of the Students.

This system has four areas such as SSC/admin and User, student User,
Barcode Scanner, and Database. The system accepts attendance from the

students and check the time in and time out in the students. The report of the
system is the attendance of each student and saved at the database of the
system.
Statement of the Problem
This study aims to develop an effective Student Information System
Supreme Student Council, for Irene B. Antonio College of Mindanao, Inc.
Specifically, this study sought to answer the following questions:
1. Can the system manage the record fines of the students?
2. Can the system add and update student information?
3. Can the system queue the total fines and penalties of the student for the
whole semester?
4. Can the system recognize the specific barcode of the students for the
attendance?
Scope and Delimitation of the Study
This study is focused in the performance of the Supreme Student
Council to produce a system which eliminates the hassle of manually
checking of each student’s penalty for an absence in an event, making it
computerized so every data needed will be found immediately just by
searching through our database. By doing so, it will improve each student’s
transaction time with the council. With the help of the system, their work
efficiency could be doubled. This will also open more ideas for a fast, better
and innovative ways to make things much easier.

Scope
In making the system, the scopes are the following areas:
Barcode Scanner - also known as a barcode reader is an electronic device
that decodes and physically captures information contained in barcodes. It
consists of the following components, which work together to collect the data
contained in a printed barcode: A barcode or bar code is a method of
representing data in a visual, machine-readable form. Initially, barcodes
represented data by varying the widths and spacing of parallel lines.
We use Barcode Scanner of our project for the unique and effective
system also we are using barcode scanner for the easy and faster work
to attendances and for less work , efficient and save time to use
barcode scanner.
We used barcode scanner which takes the ID number of the student
and directly marks his/her present on the event on the school. It is
very helpful in making the processes much faster compared to taking
attendance through writing students names and getting their
attendance.
MySQL – MySQL is a standard database for storing, manipulating and
retrieving data, it is an open-source database management system. Service is a
fully managed database service to deploy cloud native applications using the
world's most popular open source database, MySQL runs on virtually all
platforms, including Linux, UNIX and Windows. Although it can be used in a

wide range of applications, MySQL is most often associated with web
applications and online publishing.
we are using MySQL for the safety of our database for storing data,
this service is fully manage database service to deploy cloud native
applications using the world’s most popular open source database.
C# - is a general-purpose, multi-paradigm programming language
encompassing static typing, strong typing, and lexically scoped, imperative,
declarative, functional, generic, object-oriented, and component-oriented
programming disciplines. Is object-oriented programming language,
developed by Microsoft in 2000 to adopt the best features of Java and C++, it's
used for a wide range of reasons.
We used C# to our project as you can see the C# language can be
Windows application can delivers productivity and safety, while
still delivering good performance from our system.
Delimitation
The system will not be online – the supreme student council would be local
database.
The specific information to store will be student name, address, courses and
student fines.
Significance of the Study

The days are over where students keep on signing attendance when
they are present in a specific activity or event in the school. It has been a
practice of the SSC of the school to monitor the presence of the students every
event either major or minor. These ways cannot prevent issues such as:
forging of signature, human error and incomprehensible penmanship and
also the school can probably have hundreds of numbers of students in which
queuing will take too much time when asking for request.
As an alternative way to solve these issues and problems, we decided
to create a computerized system with barcode scanner for the student council
management. The SSC Admin will only use computer to everything they do
in their job as an Officers, the records, inventory , penalties, and
attendance can be done in this system. Students (non-officers) can also use,
check, and access their page and status online in which they can be updated
to the upcoming events, their penalty amount and status either paid or
pending.
Computerized systems are automated, and calculations are handled by
software, eliminating possible errors and saving time. For instance, automatic
processing of invoices makes inventory and monitoring less time-consuming.
Computerized systems are designed for accuracy to the smallest detail. Once
the data is entered into the system, calculations for functions such as
attendance and monitoring penalties are performed quickly and efficiently by
systems software.

Barcode Scanner – a barcode is an optical scanner that can read printed
barcodes, decode the data contained in the barcode and send the data to a
computer. Like flatbed scanner, it consists of a light source, a lens and a light
sensor translating for optical impulses into electrical signals.
Manual – worked or done by hand and not by machine.
Forging of signature – refers to faking signature without permission, making
a false document or another object or changing an existing document or
another object without authorization.
Computerized – to carry out, control or produce by means of computer.

Information System for the University of the Cordilleras” stressed that the
concept of Information System (IS) emerged in the early 1960s. More often,
when information system is defined, the field Information System (IS) is
always associated, IS is an academic field that deals with the generation,
collection, organization, storage, retrieval, and dissemination of recorded
knowledge. Furthermore, it is a collection of related components designed to
support operations, management, and decision making in an organization.
Generally, IS is supposed to inform people. Information System supports
people or users in making intelligent decisions based upon the information
derived from reliable data.

This study will help in gaining more knowledge about project
because it also deals with the generation, collection, organization,
storage, retrieval and dissemination of recorded knowledge.

According to Evangelista (2011) the University’s Student Information
System (SIS) of Nueva Vizcaya State University is a secure, web accessible
interactive computer system that allows user access to grade reports,
transcripts, schedule of classes, and remaining balance for the semester and
register for classes online. Through the system, students would be assigned a
unique identification number. All data to and from the university would use
that unique identifier. The use of individual student records would: 1)
Increase the admissions capacity to follow a student’s progress over time; 2)
provide better quality data to drive more enlightened policy decisions
resulting in enhanced educational opportunities for all students; 3) reduce
data collection burden through a web enabled SIS; and 4) as a tool of parents
in monitoring the academic performance of their children.
Discussion
The project SIS helps us to gain more ideas of how our project is
secured because through the system, the student would be assigned a
unique identification during the attendance.

management to regularly update the records and manually calculate the
percentage of classes attended for the purpose of examinations and subsequent
results processing. Lack of adequate attendance record keeping has indeed
degenerated to a greater level most especially in Nigerian institutions. Many
academic institutions are beginning to update their standards by issuing
students with identification cards that are equipped with barcodes, ID chips,
radio frequency identification (RFID) tags, and so on (Andrew, 2011). This
decision opens up a window to implement barcode identification systems in
classrooms as a management tool to solve many of the problems faced by
lecturers and the institutions’ management in classroom attendance
management. Due to the inefficiency of traditional methods of attendance
record keeping, a more secure and accurate barcode technology model is
needed to be formulated and implemented. Barcode Identification is one of the
automatic identification technologies more in vogue nowadays. A barcode is
an optical machine-readable representation that contain data relating to the
object in which it is attached. Initially barcodes were systematically use to
represent data by changing the widths and spacing of parallel lines, and this
kind of pattern is referred to as linear or one-dimensional (1D).

Developing and Implementing a Barcode Based Student
Attendance System

It is well known fact that virtually all organizations whether
educational or commercial need to properly record the attendance of its
students or employees for effective planning, management and functioning of
the organization. In most universities in the developing countries, student’s
attendance is usually taken by old file system approach by calling students
name and using paper sheets, this approach is being used for a long time [1,
2]. According to Tabassam, et al., in [3] It becomes difficult for the
administration at the universities to regularly update the attendance record
and manually calculate the percentage of classes absented and attended for the
purpose of subsequent results processing and examinations. Keeping these
issues in mind, this work designed and implemented a system to overcome the
problems associated with attendance recording. Andrew in [4] claimed that
many universities are beginning to update their standards by issuing students
with identification cards that are equipped with ID chips, radio frequency

identification (RFID) tags and barcodes, and this is opens up the way to
design and implement a barcode based student attendance system as a
management in the classrooms in order to solve many problems faced by
lecturers and students such as recoding security and inefficiency of traditional
methods of attendance record keeping. The technological revolution influenced
everything [5-21], even the methods of marketing, business and educational
applications for the real world business issues. Today, the use of Artificial
Intelligence (AI) algorithms is expansive, particularly in providing solution to
challenging problems including image segmentation [22-31], analysis of
medical image [32-36], nurse rostering problem [37], healthcare monitoring
system [38, 39], patterns recognition and retrieval of information [40-55],
learning management system [56], as well as prediction of river flow [57-59].
Accordingly, utilizing the AI algorithms and web technology, countless
scholars have created as well as implemented a smart attendance system to
solve the student’s attendance problems [60-62].
Discussion
This study will help in gaining more knowledge about project
because it also deals with the generation, also need to properly record
the attendance of its students or employees for effective planning,
management and functioning of the organization. Furthermore it
helps people or users in making intelligent decisions based on the
information from reliable data so that we don’t need to use some
papers to call students.

Student Database Management and Enquiry System

According to Hema Subramaniam, arina Hassan, Setyawan Widyarto
[4] proposed a Barcode Based Student Attendance System (SAS) in this the
data captured using bar code scanner sent to the attendance system for the
purpose of recording and preparing attendance record. Bar code scanner used
to scan the student card which contains the student identification number.
The twelve digits then send to the attendance system and it will remain
displaying student record for 5 second before change to the state to accept
another student card number. Each recorded data will be send to the database
which developed using database processing application. Structured query
language (SQL) used to query data to produce various kind of student
attendance report. N. M. Z. Hashim, N. A. Ibrahim2, N. M. Saad, F.
Sakaguchi, Z. Zakaria[5] proposed a Barcode Recognition System by using
image processing. The system will be able to read barcode through an image
and the system capable to capture the image by using a webcam. This project
will be using MATLAB software program to develop the system and it will
integrate with webcam or digital camera. System will analyze the image and
then display on the Graphical User Interface (GUI) the barcode type, data and

size of the image. System is designed to recognize different types of barcode
and display the data once the barcode image is captured. System also is to
provide convenience way of observing data from the barcode with lower
costing compared by using the electronic barcode scanners.
Discussion
This project Student Attendance System (SAS) helps us to make
a good and efficient system to come up our ideas that this Bar code
scanner used to scan the student card which contains the student
identification number.
Student Attendance Management
In the journal paper of “Student Attendance Management”
(Dhanashree A. G., 2011), it had known that attendance system software is
required to replace the traditional attendance system for a purpose to reduce
the processing time and the paper work cost used in traditional attendance
system. This journal paper main objective is to indicate the disadvantage of
the traditional attendance system compared to the proposed system. In
addition, the journal paper had also indicated the characteristic of the
proposed system. On the other hand, from the journal, it had shown that the
proposed system only provide a very simple application with some features
that allow the users to manage their student attendance more easily and
effectively.

As mentioned in the journal paper, it did not include any special
hardware (such as fingerprint scanner, mobile phone, bar code scanner, and
etc.) in order to make the software work. It only requires basic equipment such
as a set of desktop computer. In short, the proposed system only requires the
users to install the software to their laptop/desktop for managing their student
attendance. Based on the journal paper, there are two modules introduced
which is admin module for managing the classes and report module for
generating the attendance report.
Discussion
This system can do a simple application with some features that
allows the Admin/SSC to manage their student attendance more easily
and effectively. The student can’t forge anything being registered in
the database.
Development of a Student Attendance Management System
Using RFID and Face Recognition: A Review
In 2008, Nucleus Research proposed the use of a computerized
attendance system, which can eliminate human involvement, human data
entry mistake, repetitive work. This system is going to increase productivity,
reduced payroll error, and reduced payroll inflation, reduced overtime,
retirement of legacy systems, Elimination of paper costs, and which can

provide all the reports on demand. In this system, faculty has to take
attendance manually, only these records have to be entered into the
computerized system. But in this also, the problem of data entry mistake may
occur (Nucleus Research, January 2008).
Discussion
In January 2008, the nucleus research use attendance system but
they can find the perfect solution, using computerized attendance
system it easily to record the student’s attendance. They can never use
the manual attendance.
Development of a Student Attendance Management System
Using RFID and Face Recognition: A Review
Empirical evidences have shown that there is a significant correlation
between students’ attendances and their academic performances (Newman-
Ford [Link]). There was also a claim stated that the students who have poor
attendance records will generally link to poor retention (Marr, Liz &
Lancaster, Guy). This is also agreed by Mazza and Dimitrova where they both
claimed that the students’ attendances to the course may indicate their
behaviours towards the subject where it can be used to judge their tendency
and commitment to the course.

This system helps to our system to ensure the student security
and privacy in every attendance and record of each student’s. This
system can do easily application to develop the student’s attendance.

Barcode based Student Attendance System
Attendance in colleges is generally paper based which may sometimes
cause errors. Taking attendance manually consumes more time. So the
proposed attendance system uses Barcode reader to take attendance. In this
system, each student is issued a barcode tag. B.B.S.A.S use Barcode reader,
Barcode tags and a computer with the software which stores the database
about the entire details of the student’s.
Discussion
Attendance system using barcode it easily to use. Some use
manual it takes more time. For checking their attendance some they
have error. But if you use the barcode scanner it easily to check all the
attendance.
Insight
The review of related literature gives us more ideas of how we
can improve the Barcode Scanner System of SSC. This system will be
developed in order to over the most common problem like forging

signature of the students using manual way, it acts as the easy way to
tract the students using the database and can also monitor the presence
of the students during the program or event in the school according to
the rules and policies of the IBACM Inc. Handbook where in every
student must be present in every program. With the help of the system
that is friendly to the admin of SSC officer.
CHAPTER III
RESEARCH DESIGN AND METHODOLOGY
This chapter discusses the technicalities of the project, details of
the technologies to be used, and how will the project well works. This

chapter contains four (4) sections, namely: Research Approach,
Methodology, Requirements Analysis and Systems Requirement.
Research Approach
Qualitative research design is advantageous in that first, the
researcher is flexible. Secondly, the research is extensive, resulting in
an in-depth understanding, especially, if there is little information on
the topic of interest. Third, qualitative research can combine different
forms of data which are then reviewed and organized to cover all the
data sources used. Qualitative research has the advantage of having
many perspectives from the different forms of data being brought
together to informed deductions about the topic of study. One of the
drawbacks of using qualitative research is that there are lower chances
of study design to be replicated.
An individual corporation bodies or even a nation we are
confronted with a lot of problems everybody such as relaxing to
education technology, physiology and psychological aspect of life. In
order to solve these problems, we must make a strong decision as to
methods and steps of solving the various problems. To be able to make
headway so we need to conduct research.
Therefore, research is considered as the process of arriving at a
dependable solution to a given problem through the Qualitative
Research, analysis and interpretation of data.

Typical steps for qualitative research begin as follows:

Specifying what kinds of methods are needed to analyze data.
Methodology
The researchers will use a descriptive model called waterfall model.
The model will be used to produce the system has undergone a series of
well-planned activities so that the deployment of the system would not be
delayed. Below is this figure of how the waterfall model was being
executed.
Water Fall Model - The waterfall model is a classical model used in
system development life cycle to create a system with a linear and
sequential approach. It is termed as waterfall because the model develops
systematically from one phase to another in a downward fashion. This
model is divided into different phases and the output of one phase is used
as the input of the next phase. Every phase has to be completed before the
next phase starts and there is no overlapping of the phases.

Figure 2.1 illustrates the Modified Waterfall Model that will be
used by the researchers in developing the Student Information System
of Supreme Student Council which is made up of several phases. These
are the following:
Requirements Analysis
The study aims to assess the extent of compliance of the student
information system of supreme student council in Irene B. Antonio
College of Mindanao Inc. Thus, the study used the descriptive-
evaluation research design. This method involves the collection of
feedback through survey questionnaire in order to test the system or to
answer questions concerning current status of the functionality of
system. The descriptive-evaluation design was deemed suitable for the
system because it involved analysis of the system’s input, process and
output component. Also, the Requirements Analysis was used in the

development involved user’s and admin validation and verification to
a certain result.
System Design
On this phase, the system will be designed based on the
requirements needed in the system. The researchers will design the
database model structure, link the database tables, design the data
forms, and prepare the presentation of the project. The evaluation of
the design and functionalities of the system will be conducted. The
programmer will review and revise the design of the tables and forms
of the system and test the functionalities of the system. Entity
Relationship Diagram (ERD) shall be employed as data model for the
system. The programmer will create the source codes necessary for the
system to be constructed.

The physical database design shows how the tables are being
constructed together with its column name, data type and the
constraints of data. The physical database of the system is designed
through MySQL workbench database environment for the backend of
the system. There are five tables of the physical database such as
Department, Penalty, Student, System User and Teacher.

Implementation
The researchers will conduct the system dry-run and conduct
training of the target users and admin of the system. The users and
admin of the system will check if the recommended functions and
suggestions of the users and admin are met.

System Testing
The process of evaluating a system or application, in order to
check whether the application meets all requirements of the client and
to detect the errors. Requirements such as software functions and
features where checked to determine if it will work according to the
specification. This stage ensures that the produced system is complete
and performs efficiently, evaluate whether the software perform all
activities after integration with the existing operating environment,
and measure up the reliability and overall quality of the software.
System Maintenance
This phase is to ensure the information system is fully functional
and performs optimally until the system reaches its end of life. The

A barcode scanner, also called a point-of-sale (POS) scanner or a
price scanner, is a device used to capture and read information
contained in a barcode. The scanner consists of a light source, a lens
and a light sensor that translates optical impulses into electrical ones.
They also contain decoder circuitry analysing the barcode’s image data
provided by the sensor and sending that content to a computer.
A barcode scanner works by directing a beam of light across the
barcode and measuring the amount of light that is reflected back. The
dark bars on the barcode will reflect less light than the white spaces
between them. The scanner then converts the light energy into
electrical energy, which is then converted into data by the decoder and

This chapter presents the summary of findings, the
conclusions drawn and the recommendations offered.
The data analysis in this chapter was aimed at addressing
the propose of the study which was to investigate the factors
influencing effectiveness of the supreme students council.
Problem 1. Can the system manage the record fines of the
students?

In question 1.1 results show that the record of all the fines of the
Students are recorded the design of the system is appealing to the eyes
of the respondents/ user. 15 out of 20 respondents/students rated
Strongly Agree which is equivalent 75% and 5 respondents equivalent
25% rated it Agree. In short, the design is interesting to use and easy to
access for monitoring purpose.
Problem 2. Can the system add and update student
information?
In question 1.2 says the system is capable of adding and
updating the students. Result shows out of 20 respondents 16
Students/Respondents or 80% rated Strongly Agree, And 3 of them
are Agree and one of the respondent are moderately.
Problem 3. Can the system queue the total fines and penalties
of the student for the whole semester?
In question 2.1 which talks about the system performance if it’s
easily queue to the total fines and penalties of a student. It says, the
system has the capability to register a new student easily and
functionally The result showed that out 20 respondents there are 15
respondents rated strongly Agree which is equivalent 75%, and 5
respondents equivalent 25% rated it Agree. And can the system queue
the total fines and penalties of the student for the whole semester.

In question 4.3 say that the system is effective and friendly to
use, in short the system can give specific barcode of the students for

Summary
This study was conducted at the Irene B. Antonio College of
Mindanao Inc. It was focused on the development of the SSC
MANAGEMEN SYSTEM. for Supreme Student Council (SSC). This study
was aimed to determine whether or not the system performance is acceptable
to the students and teacher/Users, and whether or not, such monitoring is
reliable in checking Attendance.

The data were gathered by employing the expertise of the expert and
implemented to the system as the basis in the attendance of the students. The
students who answered the questions were coming from the Irene B. Antonio
College of Mindanao Inc. in Valencia City; the researcher chooses them to
answer the questions because they were enrolled here in I.B.A College of
Mindanao.
Findings
1. The Barcode Scanner: Programs Attendance Checking of SSC-IBA
College of Mindanao INC. was able to monitor the attendance of the
students as shown in the reports the penalties of the students. The Barcode
Scanner is used by the researcher is found to be effective and capable to
manipulate the Attendance such as searching the unique code base to the
database. The programming language used by the researcher Visual
[Link] was found to be capable for the development of the system
environment, implementation of the functionalities, and the deployment of
the Attendance Checking. The MySQL Workbench Server used by the
researcher as the storage or database of the system found that it is strongly
and secure server capable of holding data even at a short or long period of
time.
2. The Barcode Scanner: Programs Attendance Checking of SSC-IBA
College of Mindanao INC. is found to be reliable in the sense that it was
able to monitor the Attendance of the students. The system always is
looked at the expert response stored at the database upon Checking
Attendance of the students. The system Attendance Checking is Efficient
and friendly to the users, also faster to response.

Conclusions
Based on the findings, the following conclusions are drawn:
1. Since it was found that the Barcode Scanner: Programs Attendance
Checking of SSC-IBA College of Mindanao INC. was acceptable in
checking the attendance in IBA-College of Mindanao, the system is
effective of helping the teachers/users in the process of checking
Attendance. Further, it is concludes that the system which is computer-
based we do not should do manual work.
2. It concludes that Attendance Checking is capable to be used in checking
the attendance.
Recommendations
1. Since there is an expert consulted to give the responses to the questions, more
experts should be asked to give their answers to allow responses from a
number of experts. In this manner, the Barcode Scanner: Programs
Attendance Checking of SSC-IBA College of Mindanao INC. will have richer
concepts to be referred to as responses.
2. The researcher recommend to the next researcher to develop Barcode Scanner:
Programs Attendance Checking of SSC-IBA College of Mindanao INC. with
the semantic net implementation for the better understanding of the same
concepts but different in functions. Because the system has its limited
functions to manipulate this situation.
3. The researcher recommend that the system is also be used for the other way of
monitoring or checking the attendance.
