PROPOSAL FOR A MANAGEMENT AND UPLOADING

PLATFORM

PROPOSAL

Currently we are managing a particular project, for which we need to collect certain
documentation on a weekly basis from our partners. To try and improve this process
we need to have an online platform which can be easily accessible online from the
stakeholders involved.

The main scope of this platform is for the partners to login to this platform and upload
the required documentation, while from our side we can login and access/ download
the documentation.

The idea of the platform is to be divided as follows:

- A user logs in to the system and in the dashboard they will be able to see a number
of categories.

- To start with we will need 9 categories, but might be increased by time.

- Documents will be uploaded accordingly within these categories.

- Any uploaded documents will be linked to a particular reference ID, which in return
can be used to search with throughout the platform. Thus one of the modules needs
to be an upload functionality for these unique reference IDs, which will then be used
for both the uploading and the searching functionality.

- During the uploading process, a user need to be able to assign a reference ID and
also a category to it. Once the uploading process is done, the document will
automatically be saved under that category.

- Another module will be made up of a calendar in which the stakeholders can insert
colour-coded entries.

- System needs to have a user management module in which new users can be
created with two distinct user levels i.e. read only i.e. access documents and
download, and edit i.e. upload documents and add/ edit entries in calendar.

FUNCTIONALITIES LIST

The project involves the design and development a platform which will be used for
document management. Main functionalities of the project are the following:

- Online platform which can be accessed by credentials only i.e. username and
password

- Platform will be primarily used by two types of users: those who will upload
documentation and other who will only have read-only access.

- All of the categories will have a search functionality by which all users can search
documents linked with a particular ID.

- A total of 9 categories are needed in total, but can be increased if needed.

- Platform needs to also have a calendar functionality with read and write functionality,
which will be linked to user accesses. Calendar used can be a third-party plugin which
is already tried and tested e.g. Google Calendar.

Explanation of user types:

+ Users who "manage" system will be able to upload documents in PDF formats in pre-
defined categories, upload the reference IDs to be assigned to the documentation
uploaded, and add/edit entries in the calendar.

+ "Read-all" users need to have access to just view and download the PDFs available.
Also the "read-all" users will not all have access to all of the categories i.e. they might
only have access to some of the categories.
