80/20 Principle
Also known as the Pareto Principle:
• A small portion of our actions produce maximum results
• A small portion of our actions produce maximum distractions
• A small portion of our staff produce the most results
• A small portion of our habits have the largest impact
Identify these small portions in your life and prioritise them

Examples of 80/20 in Islam
• Out of all of acts of Ibaadah, five are most important (the five pillars)
• Out of all the daily acts of worship, the 5 daily Salah are most
important
• A small percent of humanity were chosen to be prophets, a small
percent of prophets were chosen to be messengers, 5 of the
messengers were chosen above all
• 10 Sahaba were declared the blessed ten, out of these 10, 4 were
chosen to be the Rightly Guided Caliphs
• Out of the 12 months of the year, 4 were given importance, 1 was
chosen for fasting, and 1 for Hajj.

The 2 Minute Rule
If it can be done in 2 minutes, do it straight away
Examples of such activities:
• Replying to most emails
• A one minute phone call
• Copying and pasting something
• Moving a file to another folder
• Saving a file to the correct folder

The 4D system of Categorizing
• Categorize each task in your life into one of the following categories:
• Do It – Things you need to do now
• Defer it – Things that you need to do later (give it a date and time)
• Delegate it – Things which need to be done by others
• Dump it – Things which no longer need to be done
• Extra Category – File it if there is no action needed, but you might
need it later
Note: Do not dump anything without permission of your supervisor

Email Productivity Tips
1. As emails are primary means of communication at IOU,
they must be prioritised.
2. Answer your emails daily, multiple times a day if possible
3. Prioritise emails from IOU supervisors and admin
4. Do not leave an email unanswered for more than 48 hours
5. Star emails that you need to check again later
6. Draft standard replies to emails you receive often
7. Activate the ‘undo’ button
8. Do not reply to an email while angry or emotional

Shortcut Tips
• Learn the shortcut keys for your PC, Gmail, Office, and
Windows
• Each shortcut saves a few seconds, but this adds up to minutes
and even hours daily saved
Examples of shortcut keys:
• CTRL + C – Copy
• CTRL + V – Paste
• CTRL + X – Cut
• CTRL + Z - Undo

• If you do not take care of your health, you will feel lazy,
unmotivated, drained, and burned out
• Islam teaches us to stay healthy and balanced
• Get enough sleep daily
• Eat healthily and moderately
• Exercise daily and stay fit
• Take an annual vacation to recover and recharge
• Utilize your day off to completely relax and recover
