Policy brief & purpose
The employee bonus and incentive policy explains how the company distributes
bonuses and incentives to employees. The company wants to reward employees
whenever possible, since all contribute to the company’s success with their hard work.
This policy clarifies how the company chooses which employees to reward and how to
calculate bonus and incentive amounts.
I. Scope
This policy applies to all regular full-time voice and non-voice employees. Part-time
employees, seasonal employees, interns, temporary employees, employees with
contracts of less than one year, employees of the HR Department, security personnel
and maintenance staff are not eligible for bonuses and incentives.
The company may modify this policy at any time without notice.
Only written promises of bonuses will be considered valid. If a manager or another
executive verbally promises a bonus, it can not follow through unless they put it in
writing and the HR Department Head approves it.
Bonuses can be either discretionary or nondiscretionary:
Discretionary bonuses are determined at the company’s sole discretion. They are
not promised to employees and the company cannot guarantee anyone will
receive them.
Nondiscretionary bonuses are promised or announced to employees and
guaranteed to those who meet the established criteria for the bonus or
incentives.
II. Policy elements
The company rewards employees for outstanding individual and team performance, as
well as their contributions that help the company achieve its goals. For this reason, the
company will award bonuses/incentives in seven forms:
Physical incentives
Character awards and rewards
Complete attendance bonus
Lunch-out/Dinner-out/Cinema treat
Star of the Month, Quarter and Year
Year-end bonus and raffle
Travel incentives
Physical incentives
The company will provide unlimited food at the company’s cafeteria with delicious and
healthy food with different variants of drinks.
The company will also provide personal hygiene kit to all regular employees monthly
specifically every 1st day of the month. We would like to also give value with this to help
our employees maintain healthy body and environment.
III. In order to help our employees reduce their stress and exhaustion. Our company will
provide a banahaw heal spa voucher worth 400 pesos (Equivalent to 2 hours) in every
employees every 2 weeks.
- employees can get additional voucher worth 300( equivalent to 1 1/2hr) if the
employee make 250 calls a day.
- employees can also receive additional voucher worth 200 (equivalent to 1 hr) if the
employee got perfect attendance without being late.
Character awards and rewards
Before the end of each year, the company requires every employee to nominate and
cast their votes for those who they think deserve the different best employee recognition
award titles in order to build a fun tradition within the company and show appreciation
for their good characters. The employees who will garner the most votes will be the
winners of the awards.
All awardees will be given a plaque of recognition, gift check worth PHP 2,000 and
discounted store vouchers for their good character. These are the different character
awards:
1. The MacGyver Award- conferred on an employee who is always fixing things —
printers, light fixtures, coffee machines, etc. — even though it is not in their job
description.
2. The Fashionista Award – given to an employee who takes their wardrobe game
to the next level while also following the company’s dress code at the same time.
3. The Mr. Clean or Ms. Clean Award – granted to an employee who keeps their
work space immaculately clean — to the point where people say something
about it.
4. Mentorship Award – conferred on an employee who takes those who are less
experienced or newly hired "under their wing", even if it is not directly part of their
job description.
5. Exemplary Character Award – given to an employee who has shown
extraordinary integrity, poise, kindness, honesty, hardwork and generosity.
6. Overachiever Award – granted to an employee who go above and beyond and
put in the extra effort on their assigned tasks.
Complete attendance bonus
The company may award a bonus to employees who have complete attendance every
month.
Qualifications:
The company defines “perfect attendance” as having:
No sick leave usage;
No late arrival to work shift;
No late return from lunch or break time;
No absences for work-related/workers compensation time;
No leave of absence time (voluntary or involuntary) (defined as, a period of time
that one is away from his or her job while maintaining the status of employee);
No unexcused or unauthorized absence of any kind;
No absence for any disciplinary action; and
No unpaid excused absences.
The following approved absences will not affect perfect attendance:
Paid personal leave;
National regular and special holidays;
Absences for attendance at authorized company-related business;
Funeral leave for immediate family members;
The complete attendance bonus will be distributed to successful and qualified regular
full-time employees in their first paycheck issued every 15 th day of the month, subject to
the following:
1. The employee must be a current regular full-time employee on the day the bonus
is paid.
2. The PHP 3,000 bonus will be included in the employee’s paycheck.
3. The bonus is not subject to pension.
4. To participate in the Complete Attendance Bonus, the employee must complete
the “Complete Attendance Bonus Request Form” and submit it to his/her
Department Head for approval no later than the thirtieth (30 th) day of the month in
which there has been no sick leave used.
5. Upon receipt of ““Complete Attendance Bonus Request Form”, the departmental
payroll clerk will verify eligibility and attendance during the month.
Lunch-out/Dinner-out/Cinema Treat
The company may award lunch-out, dinner-out or cinema treats to employees who
show exemplary performance.
Qualifications:
The company defines “exemplary performance” as:
Exceeding targets or goals for the month, either financial or nonfinancial
Performing additional duties from what is expected
Maintaining a clean and comfortable working environment
Having the highest number of calls with less call-handling time
Having the highest average speed of answer
Having the lowest average call abandonment
Having zero percentage of calls blocked
Serving as a good example of professional behavior to other employees (e.g.
teamwork, ethics, leadership)
When the team leaders know their team members deserve a lunch-out/dinner-
out/cinema treat, they should send a formal written recommendation to their Department
Head and the HR Department, explaining how their team members showed exemplary
performance.
HR will:
1. Review and approve recommendations with the input of Department Heads
based on available budget. Lunch-out/dinner-out/cinema treat cannot exceed
PHP 5,000. Lunch-out/dinner-out/cinema treat that exceed PHP 5,000 needs to
be approved and signed by the CEO/President.
2. Send a formal letter to the team members who showed exemplary performance
congratulating them and informing them that they will receive a lunch-out/dinner-
out/cinema treat depending on their availability.
3. Coordinate with the Finance Department to arrange the lunch-out/dinner-
out/cinema treat on time. Employees should receive their reward within one
month after approval.
Lunch-out, dinner-out or cinema treats are discretionary.
Star of the Month/Star of the Quarter/Star of the Year
The company will give a certificate of recognition and gift check worth PHP 2,000 to the
employees who exert great effort in their performance at work.
Qualifications:
The company defines “best employee” as having:
Exemplary performance;
Dedication and commitment;
Enthusiasm in his/her work;
Effective relationship with colleagues; and
Perfect attendance
The certificate of recognition and gift check will be given every end of the month, quarter
and year to successful and qualified regular full-time employees.
. HR will:
1. Monitor and select the best employees who meet all qualifications with the input
of Department Heads.
2. Coordinate with the Finance Department to arrange the certificates of recognition
and gift checks signed by the CEO/President.
3. Handle the giving of the certificates of recognition and gift checks alongside with
the CEO/President to the selected best employees.
Year-end bonus
The company’s policy gives the HR Department the ability to decide on year-end
bonuses for all employees.
Qualifications:
There are two conditions for this bonus:
The company should have exceeded its annual financial goals
The CEO/President must approve the bonuses
If these two conditions are satisfied, then the company will give bonuses to employees
who:
Are employed by the company on the day when the bonus must be paid
Have not announced they intend to resign either verbally or in writing
Have received great performance reviews from clients and Department Heads
The company will pay out bonuses according to this tiered system:
Employees who were employed by our company for the entire year will receive a
year-end bonus payment of 8% of their annual salary.
Employees who are employed for at least six months will receive a 5% bonus.
Employees who are employed for fewer than six months will receive a 2.5%
bonus.
Travel incentives
The company shall give a grant of travel incentive to a regular full-time employee who
has served at least ten (10) years of continuous satisfactory service in the company. It
shall be in the form of travel to any region in the Philippines of their choice, pursuant to
the prescribed implementing rules and procedures. This covers travel expenses and per
diems and shall be given before travel is undertaken. It may be converted into cash
