CHAPTER I: COMPANY OVERVIEW

The Jens Marketing is a Sole Proprietorship owned by Engr. Jenor Salming

located at the Pico, La Trinidad, Benguet. Jens Marketing was established to provide

ease for the citizens of Pico, La Trinidad, Benguet. It is a business in which it mainly

focuses on retailing and wholesale distribution of general merchandise and they also

distribute car accessory supplies. Their small business provides their consumers a high

quality product that became the reason of the loyalty of their consumers.

A family run operation, the Jens Marketing is built upon a heritage of providing

customers with high quality products as well as friendly, accountable service. The

Company was offering great service to its customers for the past nine years.

Having already grown substantially in a short span of time, the company thrived.

Today the company is a strong competitor on the local market and continues to go from

strength to strength, building on its ethos that always puts the customer first.

Mission of the Company

Jens Marketing aims to satisfy their partners and customers with a unique

shopping experience offering quality, wide product selection, outstandingly friendly and

knowledgeable customer service, and by doing this better than any other conventional

store in their area and based on the attention and commitment of our employees.

Vision of the Company

This company envisions providing a grocery store, its quality and performance.

The sole vision of the company is to sell products and equipment conforming the

standards and satisfying the requirements and the expectations of their customers in

respect of quality, cost, performance, safety and reliability

Business Rules

Jens Marketing has rules and regulations that are needed to be followed by their

staffs and employees. Employees are encouraged to arrive at the physical store fifteen

minutes before the store opens at seven o’clock in the morning. For the late comers

they are given salary deductions but the company also give credits for over time. For

the absences, the only rule that the company has is that if there’s no work then there is

no salary. Employees are advised to separate their personal activities and their work.

They are also advised to be polite and respectful towards their customers and attend to

all the demands and request of the customers. Inquiries given by the customers should

always be prioritized and entertained by the employees. The employees are strictly not

permitted to smoke in or near the auto supplies. Vehicles contain flammable and

combustible fluids which can easily be set on fire if a hot ash from a cigar or cigarette

were to come into contact with such materials. They should always keep work areas

clean and organized. Pick up tools and use tool cabinets to keep walkways clear and

free from clutter. Employees should know the basics of fire drill to make sure that they

can keep themselves safe in case of emergency. In the event of a fire, extinguishers

need to be accessed quickly and be charged with the right materials to put out the type

of fire.

Business Process

The Chief Operations Officer oversees the operations happening in the store and

reports to the Chief Executive Officer. The stock keeper often checks the availability of

the products left on the physical store particularly on the shelves as well as inventory in

storage areas. The stock keeper will then report the summary of the inventory to the

store administrator for the planning of purchase. The store manager often handles

purchasing duties to their specific outlets or suppliers. The receiving of shipments,

which includes unpacking boxes, sorting received items and disposing of boxes and

packaging materials will be assigned to the helpers. Financial information shall be

regularly reported to the main office. Store administrator sends a daily updates to

report sales numbers, refunds and lost inventory to the Chief Executive Officer before

the work flow cycle begins again the next day.

CHAPTER II

PROBLEM STATEMENT

In managing a business there are always unexpected variables in running a

successful business and it can be extremely challenging. But, you need to be a risk

taker, someone who risk everything in the hope of achievement or accepts greater

potential for loss in decisions and tolerates uncertainty.

The problems below are the major problems of “The Jens Marketing”;

1. The System Malfunction

The inventory shrink rate at market stores is more than double that of retail market

across the board. The Jens Marketing inventory must survive the perilous journey

from the manufacturer to the market to the shelves to the hands of the consumer.

This includes loading, unloading, storing and stocking all of which leave material

open to warranty, theft, loss and harm.

2. Abnormally Function Operation System or Software

This is true when the operating system is functioning abnormally due to loss data or

error. When you troubleshoot the operating system you will also be prompted to

repair the software. You must also perform a thorough reboot. Once you have

software to repair and you will be able to prevent similar problems from happening

in the future of losing data materials and equipment.

3. Barcode Browsing is slow and Unresponsive

Caching is when browsers store static copies of your files then when users access

your memory their browsers can display the cached data instead of having to reload

it. Our customers have the advantage of built-in caching which is included with your

hosting account. Material of files such as stocks and quantity tend to be quite large.

Optimizing them through compression can help to decrease their size and therefore

improve your loading times. Certain items in the history or settings of a browser

can make your connection to the Internet very slow. Clear your browsing history

remove temporary files that may be causing problems, and to reset your settings.

4. Interruption of Electricity

Power outages or blackouts can cause major problems at a home and business.

Data loss, productivity, security and even profits can all be consequences. But in

addition to the related inconvenience, the cause of power interruptions can also put

sensitive electrical equipment at risk. These brief interruptions weren’t as noticeable

to consumers as they are today. Now the use of advanced electronics appliances

can be more sensitive to the slightest variations in the power supply.

PROPOSED SOLUTION

With cheapest point of sale (POS) system called Korona POS. Korona POS is

software and hardware, as well as the integrated payment solutions, is produced by

COMBASE USA. The company produces several Korona POS software variants to suit

businesses within the hospitality, and retail businesses. Their solutions have been

helping hundreds of local and franchise businesses uncover new ways of improving

their operations. KORONA provides point of sale software, inventory management, and

CRM services for all types of retailers, such as convenience stores, liquor shops, and

QSRs. The cloud-based solution can scale with businesses to serve multi-location and

franchise operations. It can automatically calculate commission and franchise royalties.

All business operations through the point of sale can be completed on-site or remotely.

The newer KORONA features provide advanced product analysis with ABC inventory

grading, detailed sales reporting, automated reordering, stock notifications, theft

prevention, and employee management tools.

FUNCTIONAL REQUIREMENTS

Functional requirements specify the functions that the proposed system must

perform to meet all the requirements to support, operate and maintain the system

(Nicholas & Steyn, 2012). The table below defines the intended system behaviour under

specific conditions.

Here are some functional requirement for the System:


- The system allows you to customize the level of authentication required before a void is

carried out. Even if the void is valid, the system will record all the actions and include

then in each staff member’s shift report.


- Saves receipts when doing inventory at the POS.
- Prints the activity of one POS for that day. Also, lists Commodity Group Revenue,

Customer Group Revenue, Income, Expenses, Sales Tax, Payment Method Used, and

Cashier Actions.
- Lists the stock of a product within multiple warehouses, the number of goods, the

number of Ordered Goods and the last known stock order.


- Scans and applies a barcode # directly to a product by allowing for a search of all

products

NON-FUNCTIONAL REQUIREMENTS

Non-Functional requirements are quality of service requirements that are often

used to describe some of the attributes of the system environment and should have

a set of quality attributes to meet end-user needs (International Institute of

Business, 2018).

The statement below defines the attributes or characteristics of the system and

describes the general characteristics that the system must have to reach the needs

of the business.

⮚ MAINTAINABILITY - The system should be user-friendly in order for the system

administrator to update the system which will have an effect to the customer’s

satisfaction.

⮚ SECURITY- The private information of the company is protected from

unauthorized access to the system and its stored data. Access permissions for the

particular system information may only be changed by the system’s data

administrator.

⮚ TESTABILITY- The system can be systematically tested and measured for its

performance capabilities.

⮚ USABILITY- Amount of training and ability on operating and maintaining the

system.

SCOPE AND DELIMITATION

This study aims to develop and cover a system for the development of “The Jens

Marketing”. The suggestions might change or improve the problems that the

business had been encountering and it might also improve their service to the

costumers.

 The system allows you to import your product database and vendor data

from a previous system.

 The system scans the items in your inventory while assigning each the right

information, such as pricing and container quantity details.

 The system allows you easily manage a single, but elaborate product catalog.

This makes it easier for you to transfer items, scale to new locations, and

change prices in simple and organized manner.

 The system makes it easy and convenient for your costumers to pay using

any payment method they prefer.

 The system administrator is responsible for managing the whole system and

only has the full access to it.

Table 3 shows the current system wherein the items bought and used for

calculating, record sales, and transaction electronically on their business. As seen in the

table above, most of the indicated materials are bought in online shopping while the

specifications were not modernized that cause or lead them into problems that were

stated.

OPERATIONAL FEASIBILITY

The Korona retail POS software offers real-time and in-depth reports and

Analytics on the various processes in your business. It is designed to continually collect

vital business data and update its records in real-time. You may then access this data

remotely through the Korona cloud management system. The system features the

renowned ABC product analysis technology. This makes it possible for you to get in-

depth reports and analysis as per product grade. The software is also capable of

generating a range of key performance indicators reports. These will give you an overall

overview of how the business is faring at any given time. At the same time, it will

highlight the areas that need to be improved for enhanced business health. This pool of

information will also come in handy whenever you are making important business

decisions.

ECONOMIC FEASIBILITY

The purpose of the economic feasibility assessment is to determine the economic

benefits of the proposed project. Cost Benefit Analysis is a process by which businesses

and individuals determine if the benefits of a project or investment are worth the costs.

Every project or investment carries with it both benefits and risks. Therefore it is best to

determine ahead of time if the benefits are worth the risks.

Table 4 shows the proposed system to the company wherein the specifications

and marketing expenses of “The Jens Marketing” already takes a part. It is categorized

in three parts; the specifications (Hardware, Software, Electricity, and Generator),

Source (where the specifications came from), Estimated Cost for each of the needed

specifications indicated in the proposed system.

of the proposed system for the company.
