4.0 The Existing System

The current system used by the Silver Link School of Caloocan Inc. is the Manual Enrollment

System. Microsoft Excel and Filled-up forms stored in filling cabinet, serves as their Data Base. Their

method is manual recording, computing, and updating student’s file. Everything they do is manually

encoded.

4.1 Company Background

Silver Link School of Caloocan, Inc. is a Private Institution which has Elementary and High School

level under DepEd Caloocan City. It provides

The school provides forms to students to fill up their information and pass it to the faculty staff,

then the staff will encode it to Microsoft Excel and the filled up forms will be stored in the filling cabinet,

this serves as their Data base. This kind of System takes more time and effort and sometimes causes

delays of transactions.

The Student’s Information is written on paper forms during enrollment. In terms of updating

records, they will look for the records of former students, this takes so much time and effort. This can

lead to misplaced information of Students.

 Computerized Enrollment System - This can result in a system with well-integrated processes

that can perform much faster and more accurate than a manual system.

 Student – a person who is officially enrolled for the current school year.

 Student’s List – List of students

 Registrar – The person in charge in of recording and updating student’s information.

4.5 Problem Areas

With our research and interview with staff of the Silver Link School of Caloocan Inc., We the
proponents found out these problems on their manual system

Here are the following:

 Time spent in recording and updating files.


They process their enrollment and registration using a ball pen and some forms, storing them in
an old-school archive. And when they needed it, they will manually find the student’s
information.

 Security of Information.
Unexpected problems such as loss of information may occur. It also prone to damage and being
misplaced.

 Time Consuming.
The productivity of the staff is lowered by spending so much time dealing with a paper filling
system.
