Common questions

Using BotBee through a corporate network provides a secure and stable environment for uploading attachments, ensuring that sensitive data is handled within organizational firewalls, which enhances data protection. However, the limitation lies in the inability to use these features from an external network, potentially restricting flexibility for remote or offsite users who need to manage IT issues. This could result in delays when users are outside the corporate infrastructure .

Using unsupported file formats or networks with BotBee can hinder the user’s ability to report issues effectively, as it could lead to unsuccessful file uploads or inaccurate documentation. This misalignment may result in delays in resolving IT challenges and inaccurate communication of support requirements. When users are outside the corporate network or using unsupported formats, the system may fail to process the necessary attachments, causing inefficiencies in service delivery and potential aggravation of unresolved issues .

BotBee enhances organizational workflow efficiency by automating the ticketing process when solutions are ineffective, allowing quick issue elevation to support teams without manual initiation. Its approval and escalation matrix features streamline decision-making by providing clear, accessible paths for issue resolution and management oversight. By integrating these processes, BotBee reduces downtime and facilitates faster, more effective responses to IT challenges, directly impacting productivity and organizational efficiency .

To access BotBee services through the Heal IT portal, a user must first log in to the web URL https://healit.airtel.com using their valid Active Directory credentials. This step is crucial as it authenticates the user's identity and provides access to the portal's features. Following the login, the user should click on the BotBee icon to initiate a support query, ensuring they are connected to the appropriate support resources for their specific issues .

The escalation matrix in BotBee facilitates issue resolution by automatically identifying and involving higher management levels when necessary. By providing access to the specific escalation pathways and points of contact, issues that require additional attention or are time-sensitive can quickly be flagged to the appropriate decision-makers. This feature prevents bottlenecks and ensures a structured flow of responsibilities, accelerating problem resolution and enhancing communication throughout the management hierarchy .

When a solution provided by BotBee does not resolve an issue, selecting 'No' prompts the system to create an automated ticket. This ticket is then routed to the support team and includes an option for the user to add screenshots or documents to aid in troubleshooting. This process efficiently priorities unresolved issues by automatically initiating a support incident, ensuring that the support team receives detailed information directly from the user without additional manual intervention .

When attaching files to a BotBee incident or service request, users must ensure that the file formats are supported, which include jpg, jpeg, png, pdf, doc, docx, xls, xlsx, pptx, and ppt. The file size must be less than 10MB, and while files close to this size (e.g., 9MB) might take longer to upload, multiple uploads are allowed using the same link. The Heal IT Portal must be open, and the process must be conducted within a corporate network, as external network attachments are not supported. Additionally, files can be uploaded multiple times if necessary .

Using BotBee through Heal IT involves logging into the portal with Active Directory credentials and clicking the BotBee icon to proceed with issue submission and solution retrieval. Conversely, using BotBee via Skype for Business requires opening Skype, searching for BotBee, and entering queries directly within the application. Both platforms provide an option to download solutions and create tickets if the resolved option is not successful. However, Heal IT involves more web navigation, whereas Skype may offer a more integrated and direct communication channel for immediate queries .

If users encounter difficulties accessing external network features with BotBee, they should verify that they are connected to the corporate network, as external network attachments are not supported. It may be necessary to switch to the internal network environment to use the attachment functionalities effectively. Additionally, ensuring that the Heal IT Portal is pre-opened on the default browser may alleviate some access issues, allowing seamless file handling and submission .

BotBee's audit trail through automated ticket creation ensures all IT issues and solutions are documented systematically, promoting transparency and accountability among users and support teams. Users can easily reference past tickets for ongoing issues, while support personnel are accountable for timely resolutions. This structured documentation also assists in maintaining a detailed history of interventions, facilitating continuous improvement and quality assurance in IT management .
