RFID Attendance System for Southern Metal

This document presents a proposed RFID-based employee attendance system for Southern Metal Fabricator. The system uses RFID tags as replacements for employee ID cards and readers to record attendance data. When an employee's tag is detected, their unique ID number is sent to a microcontroller and matched to stored employee data to mark their attendance in the database system. The objectives are to establish a complete RFID attendance monitoring system that strategically places readers around the company and connects them via structured cabling for effective employee tracking. The proposed design involves readers gathering data from tags and sending it to a server and database to filter, correct, and log attendance records.

Abstract

Manually recorded attendance of all the employees has produced some problems such
as the data accuracy and staff performance efficiency. The objective of this research is to design
and develop a software of RFID attendance system which is integrated with database system.
This RFID attendance system was developed using several main components such as tags that
will be used as a replacement of ID cards and a reader device that will read the information
related to the employee attendance. The result of this project is a software of RFID attendance
system that is integrated with the database and has a function to store the data or information
of every single employee. This system has a maximum reading range of 2 cm with success
probability of 1 and requires a minimum interval between readings of 2 seconds in order to
achieve an optimal functionality. By using the system, the discipline attitude of the employees
and also the performance of the staff will be improved instantly.

Introduction

RFID Based Attendance System is a system developed for daily employee attendance in
companies Employee‘s proper attendance management is till date a critical issue in many companies.
Attendance plays a vital role in managing salaries of employees and also in tracking the regularity &
sincerity of employee‘s towards their occupation. The process of tracking attendance manually using
pen and paper has become an outdated approach. It not only involves fake entries by employees but
even sometimes lead to improper evaluation of attendance. There always exist a threat of
records/register getting misplaced or may get damage due to unfavourable circumstances. To overcome
all these draw backs and many more than that we intend to develop a system which not only removes
the tedious task of tracking attendance manually but also helps in maintaining a system which will help
an organization in proper & appropriate evaluation of salary, regularity & even punctuality of an
employee based on attendance. The purpose of developing attendance management system is to
computerized the tradition way of taking attendance. The attendance of the employee will be taken by
rfid tags and will automatically get stored in the database. The system records details such as arrival and
departure of employees besides maintaining information regarding their personal and official profiles.

Proposed Work

When the RFID reader detects the ID card, it will send the unique card no. to the
microcontroller via serial terminal. With the help of suitable programming, we need to compare
the received card no. with the numbers that are already stored in the microcontroller or any
database. Once, if any of these numbers are match with the received card no., then the
corresponding name stored in that no. will be recorded in the system and also the attendance
for the name stored in the corresponding number is marked.

Objective of the study

The main objective of the systems to be designed is to establish a complete RFID system that
will monitor the attendance of each employee. A short range reader will be used and it will be
placed strategically inside the company. Structured cabling will be used in order to connect all
the readers inside the company. Each reader will be planned in accordance to the needs of the
company for a much better employee monitoring system. After the designs are made, all the
needed materials and equipment will be identified and the cost will be estimated.

System Design
The RFID card reader is successfully connected to the host computer; the data is gathered
from the readers, after that passed to the RFID Server then these data will be passed to the
database server after filtering and correcting the information. DB server will manages the
gathered information and maintains the attendance log.
