Pavilions Pop Up Arts Shop Easter 2010

The Event
Pavilions Shopping Centre have agreed to allow a group of professional local artists
to take part in a Pop Up Shop for five days, coinciding with the Easter weekend and
start of the school holidays. The event will be promoted by their own PR company
S&X Media, and co-ordinated by Jamie Lewis (Moseley Arts Market Coordinator)
and Screenprinter Emma Hardicker (Birmingham Printmakers).

The shop will be situated on the high street level of Pavilions, include two large
window display areas to be used to attract attention and the events area in the main
foyer directly outside the unit. We aim to present the shop as an arts department
store, where each artist has an area displaying retailable art or craft works. We hope
that artists will take the opportunity to display some experimental, larger or high end
pieces that they wouldn’t necessarily take to a market or other one day events.

Hosts, Promoters and Co-ordinators

Pavilions Shopping Centre is home to brands such as Marks and Spencer, Laura
Ashley, Waterstones, Woodka Touch (a hand crafted furniture store), Julian Graves
(natural food and ingredients) and various other higher end fashion and home
names, located centrally where New Street and High Street meet the Bullring.
Pavilions have already hosted successful and high profile Pop Up Shops for
Brilliantly Birmingham and Student Fashion shows as part of ongoing support of local
creative industry.

S&X Media client list includes, in addition to Pavilions, Selfridges, Birmingham


Museum and Art Gallery, Urban Outfitters, the Mailbox, Harvey Nichols and
Birmingham Opera Company. We can expect some really good promotional support
in the form of press releases, editorials in magazines, e-flyers to a huge mailing list
which we can in turn forward to our own contacts and physical flyers for us to
distribute.

Jamie Lewis and Emma Hardicker are both fulltime professional creatives with
several years trading experience at retail events and are both keen to promote the
validity of individually created quality works in town centre and high street settings.
Jamie has coordinated Moseley Arts Market for 3 years, introducing and maintaining
stricter selection criteria to provide opportunity to those making their own product.

Selected Artists

Artists will be invited by the co-ordinators, concentrating initially on those who are
known to be working fulltime as self employed artists and crafts people in
Birmingham (and immediately surrounding areas), whose work they respect and is at
a level suitable to Pavilions audience. It is intended that a good mix of practises are
represented, competition minimised, and that the opportunity is offered to those that
will benefit the most first i.e. those whose income depends on selling work.
Details

The shop is spacious with good lighting and fitted with a light grey slat walling
system used in many shops to create flexible displays which we will use to our
advantage. We will be sourcing mainly plain white display equipment in the form of
sturdy tables, plinths, glass covered cases and shelving.

Trading areas will be of various sizes and shapes with differing qualities and benefits
for different artists and all will be charged at the same basic rate. The events area
outside the shop will act as additional space for us to promote the shop as a group
and Pavilions are very keen for us to have a presence there.

The basic cost to participate will be £120 and include:


• A designated trading space for 5 days
• Display surface(s) to suit your work as best possible (choice of table(s) or
shelves mountable on slat walling or similar or free standing metal and glass
cabinet for Jewellers)
• Picture hooks for use on slat walling if required
• Opportunity to promote educational/workshop services in ‘events arena’.

In addition to this we will hire out extra shelves suitable for use with slat walling,
plinths and tables of varying sizes to help you build your ideal retail area. There will
also be space on larger group tables within the shop.

Artists would be welcome to bring their own display equipment to add to their area
providing it fits in with our intended look and is deemed suitable and safe by
Pavilions, who we have already had to show examples of display equipment to.

So over 5 days that’s potentially less than £25 a day to trade in a city centre
shopping centre with an existing audience in our target demographic and promotion
from a professional PR company to help us make this a real event.

We will also offer gallery spaces for wall based artists to hang work on a commission
basis which will be suited one off pieces of higher value. Information on this side of

It is intended that we hire a card machine for the event to help increase sales
potential and a small commission will be payable to the co-ordinators for it’s use.

Attendance

We all know that we are the best at representing our own work and it is intended that
all artists staff their area during all Pavilions opening hours stated above to make the
most of this opportunity. However, the co-ordinators will be present at all times and
will set up a main payment area. Whilst we can’t take responsibility for security of
your work we will endeavour to deal with your sales if you can’t be there every day.
We will take a commission of 25% for this so the incentive is to staff your area as
much as you can. Sales Service arrangements must be made in advance and
specific dates and times identified.

Security

The shop shutter will be shut and locked over night and opened in the morning by
the co-ordinators but overall responsibility for your stock and belongings remains
with the artist. Stock should be left as set up overnight and insurance to protect your
stock from fire, theft, or any other damage should be obtained at your own discretion.

Artists will be required to attend a security briefing on the first day of trading.

Trading Standards

To meet trading standards requirements we have to ask that artists clearly display
full permanent trading address, all prices their refund and exchange policy. Ideally
each separate item should be priced so that the co-ordinators can easily deal with
sales if necessary.

Terms and Conditions

1. All artists to be covered by Public and Product Liability up £5m for the period
31st March to 8th April to cover set up and removal of work. If you are
unavailable to attend all days this must cover your work in absence.
Subscription to a-n magazine online for £30 a year is sufficient – please
supply proof of your membership. For other insurance policies you must
supply a copy of the documents highlighting the area proving the above
situation is covered.
2. Work to be displayed and traded during all event opening hours.
3. Artists are responsible for the security of their work and cash takings.
4. All electrical equipment supplied by artists must be proven to be under 12
months old or be PAT tested.
5. All display equipment installed by the artist must be approved by the co-
ordinators.
6. Artists to supply high quality images on disc and agree to possible use in
promotional material (300+ DPI) NOW NOT APPLICABLE
7. Sales made by co-ordinators on retail items in artist’s absence subject to 25%
commission.
8. Sales made by co-ordinators on card on behalf of artists in their presence
subject to 10% commission and payable when funds have deposited in co-
ordinators account.
9. Initial payments of £120 to be made by March 1st. NOW ON BOOKING
10. Payments will be non refundable after 1st March as your work may have been
used in publicity material and suitable replacement artists may not be
recruited.
11. Artists to adhere to any Health and Safety rules and regulations identified in
other documentation.
12. All items must be clearly priced.
13. A refund and exchange policy must be clearly displayed
14. Artists full trading address must be displayed
15. Any other requests made in order to maintain the presentation, safety and
security of the event made by the co-ordinators or Pavilions staff will be
obliged by artists.
16. Artists are to provide us with exclusivity within the City Centre prior to and
during our event and not sell through the CIB shop within the Bullring until
after our event is over, assuming it is still open.
