Alpha Omega IT ensures quality through the implementation of a Quality Assurance Plan that requires each team member to follow quality practices and undergo reviews in each project phase and deliverable. Risks are managed by documenting tasks and responsibilities within the team, maintaining clear communication, and providing feedback and encouragement to bolster morale. Natural disasters are mitigated by backing up data weekly onto USB keys and having replacement hardware plans. Furthermore, any changes to system configurations are recorded to revert back if necessary .
Alpha Omega IT uses weekly informal face-to-face discussions and formal monthly meetings with Eastcoast Contracting. Emails supplement these meetings for progress updates or issue clarification, while final presentations are given to TAFE teachers outlining project processes and achievements .
Internal communications in Alpha Omega IT are structured around weekly face-to-face meetings where project status and problems are discussed, with minutes and actions recorded. Email is also used to share information and clarify issues, while mobile phones provide individual communication and issue clarification .
Project monitoring and control occur at both the team-wide and sub-team levels. The Project Management Team is responsible for macro-level oversight, while individual managers handle micro-level monitoring within their areas. Regular progress meetings and updates ensure adherence to project objectives and timelines .
Team responsibilities include using their skills and knowledge to contribute to a successful project outcome. Responsibilities are outlined according to each member's role as described in the organization chart, and further detailed in Quality Assurance and Human Resources documentation .
Maria Faraone is the main contact and Project Sponsor for Eastcoast Contracting. She formally meets with Alpha Omega IT on a monthly basis for sign-off on deliverables and to get project updates, playing a critical role in defining project requirements and approvals. In addition, she provides informal advice during weekly onsite sessions .
The Work Breakdown Structure facilitates project completion by organizing the total scope into manageable sections, allowing team members to delve into specific project aspects deeply. It provides clarity on interdependencies among work packages and helps allocate the right resources at the right times .
Resource allocation and planning are managed by dividing the project into eight work packages, each with specific interdependencies and due dates. Roles are assigned based on expertise and qualifications. The project schedule is managed by a Gantt chart, and budget allocations cover personnel, hardware, and software needs .
Training and support are implemented through the creation of documentation for system administrators, covering system components, user management, maintenance, and database functions. Initial face-to-face training is limited, with future training offered post-project via Service Level Agreements (SLAs) or third parties .
The major objectives include providing a wirelessly networked office for Eastcoast Contracting, integrating servers, network hardware, and software to support communication between offices and manage staffing requirements through a database.
