Key components of the Management System


In the development of systems to manage the quality on projects, the following 4 components must be incorporated into the management system as illustrated in the following diagram:

Each component of the management system is now explained in detail.

! Project Management Documentation


Management documents are higher level project documents and include such things as a project plan, quality plan, drawings, specification, etc. These documents shall have: " Documentation number " Date of Original issue " Revision dates & numbers " Controlled copies listed to specified parties " Register of documentation & revisions " Revised sections identified

See example quality plan attached as Quality Plan 1. Later in the program we will look at completing a Quality Plan.

!Inspection & Test Plans (ITPs)


ITPs are used as a control mechanism on projects. They detail the procedures you will be following to complete the key tasks on the project. This component should include: " Required standards & specification compliance, including limits " Method of testing " Frequency " Responsibility " Verification checklist See an example of Inspection an Test Plan (ITP) attached as ITP 1. Later in the program, we will look at completing and ITP.

! Technical Product documentation


Product documentation is often the outcomes from the ITPs and provides data that can be handed over to your client. In addition, your client may want to see copies of these documents as they may be on-selling the product to others. This component should include: " Test certificates " Product data " Warranty information " Component material certificates Product documentation relates to the technical information required on your building and construction project. It is the information that gives you the specification and quality detail required to design and build your project.

! Specifications
Specifications are further product detail. This component includes: " Scope of work

" Process or what needs to be controlled " Standards to be tested/verified to " Tolerance for standards " Frequency of testing " Witness & Hold points for client monitored testing " Form in which records are to be kept " Specified warranties Again, the specifications relate to the technical information required on your building and construction project. It is the information that gives you the specification and quality detail required to design and build your project, including any building and construction detail that need to be complied with, as part of your work.

Developing Simple Quality Management Systems


In developing a quality system, you are really endeavouring to develop a simple management system, with the focus particularly concentrated on the following: # # # What the quality requirements are in the of overall management system The company strategies for all areas, such as Risk, OH&S, Quality, Environmental, HR, IR, etc. How to integrate company, project, standard and guideline quality requirements into overall management plan.

To develop a simple management system for your organisation, you need to develop process and procedures that deal with: ! Risk analysis ! Safety requirements ! Environmental Issues ! Resources ! Reporting ! Document Control ! Auditing and Review

Consider the diagram below. It depicts the many different areas that must be taken into consideration in the design of a management system for an organisation in the building and construction industry.

Therefore, an organisation should develop processes that not just cover quality requirements, but deal with the many other regulations and issues that building and construction operators must meet in order to be successful in operation.

Benefits of developing a management system


The benefits of developing a simple management system are very substantial and include: Being more effective in our work ensuring all construction staff have same knowledge on each project

Our communication & documentation improves - we have identified the best consistent documentation - we have standard procedures for information reporting Enables us to achieve our requirements client requirements

- project requirements - legislative requirements - certification requirements

Protects from litigation The management system assists in demonstrating our construction and project management skills. It protects us from claims that might occur if we do not have adequate systems in place.
