THE PROCESS OF DATA PROCESSING
Introduction
Data processing is the transformation of raw data into meaningful information. Computers
collect, process, store and present information that helps people make decisions.
Definition of Data Processing
Data processing is the process of collecting, manipulating and transforming raw data into
useful information.
Data Processing Cycle
INPUT → PROCESSING → OUTPUT → STORAGE → FEEDBACK
Stages of Data Processing
1. Input Stage
This is the process of gathering raw data and entering it into the computer. Data is captured
via input devices, which convert physical actions or signals into digital form (binary: 0s and
1s) that the computer can understand.
Examples: Typing on a keyboard, clicking a mouse, scanning a document, or capturing audio
via a microphone.
The input stage involves collecting and entering raw data into a computer system using
devices such as keyboards, scanners and mice.
2. Processing Stage
This is the “brain” of the operation. The Central Processing Unit (CPU) takes the raw input
data and performs calculations, comparisons, or logical operations based on instructions
from a software program.
Key Components: * ALU (Arithmetic Logic Unit): Performs math (addition, subtraction) and
logical comparisons (is x > y?).
Control Unit: Directs the traffic, telling the computer’s components how to respond to
instructions.
The computer manipulates data through calculations, sorting, classifying and summarizing.
3. Output Stage
Processed information is presented to users through monitors, printers, speakers or
projectors.
4. Storage Stage
Computers must hold data somewhere, both during processing and for long-term use.
Primary Storage (RAM): Temporary, high-speed memory that holds data currently
being processed. It is "volatile," meaning it clears when the power is off.
Secondary Storage (SSD/HDD/Cloud): Long-term, non-volatile storage used to
save files, applications, and operating systems permanently.
Data and information are saved for future use on storage devices such as hard drives, flash
drives and cloud storage.
5. Feedback Stage
Once the CPU has processed the data into information, it must be presented in a human-
readable format. Output devices translate digital data back into a physical or visual form.
Examples: Displaying text/graphics on a monitor, printing a document, or playing sound
through speakers.
Feedback helps identify and correct errors to improve future processing.
Example in a School
Input: Examination marks entered into a computer.
Processing: Totals, averages and grades calculated.
Output: Results displayed and printed.
Storage: Results saved in a database.
Feedback: Errors corrected and records updated.
