Apex Racing Team Rules

Preamble

These rules define the governance, structure, and operating principles of Apex Racing Team.
Every Team Leader must review, agree to, and sign this document before the beginning of each
season.

These rules may only be amended or renewed through the approval process defined herein.

1. Team Structure
• Apex Racing Team consists of the leaders of all official competition teams and the Operations
Leader.
• Any modification to the organizational structure, leadership positions, or reporting lines must be
discussed collectively and approved according to the governance process.
• No individual leader has the authority to unilaterally modify the team's organizational structure.

2. Apex Council (AC)


The Apex Council (AC) is composed of former leaders and experienced members who safeguard
the team's legacy, ethics, and long-term vision.

The AC is responsible for:

• Resolving disputes that cannot be settled among the current leaders.


• Protecting the team's values and organizational identity.
• Approving major structural or constitutional changes.
• Acting as the final decision-making authority whenever consensus cannot be reached among the
leadership.

The decisions of the Apex Council are considered final unless otherwise agreed upon by the
Council itself.

3. Election of Team Leaders


Team Leaders shall be elected through the following process:

• Presentation before the Apex Council.


• Evaluation of leadership capability, technical competence, and vision.
• Voting conducted by:
o Current Team Leaders
o Apex Council
o Team Members

The election process must remain transparent, fair, and merit-based.


4. Leadership Accountability & Termination
All Team Leaders hold equal authority within the leadership committee.

Therefore:

• No Team Leader has the authority to dismiss or remove another Team Leader.
• Leadership termination may only occur following an official review conducted by:
o The Apex Council, or
o The Faculty Advisor.

Grounds for termination include, but are not limited to:

• Repeated negligence of responsibilities


• Abuse of authority
• Serious misconduct
• Actions that intentionally damage the team
• Violation of these governing rules

A terminated leader:

• Cannot return during the same season.


• May only reapply in a future season after obtaining approval from both:
o The Apex Council
o The Current Leadership

Immediate termination without reconsideration may occur in cases involving illegal or unethical
conduct, including but not limited to:

• Harassment
• Theft
• Fraud
• Violence
• Academic misconduct
• Any action that significantly damages the reputation of Apex Racing Team or HTI.

5. Team Mission
Apex Racing Team was established primarily as an Electric Vehicle (EV) engineering team.

Any proposal to expand or fundamentally change the team's scope must:

• Be presented to the Apex Council.


• Include technical, financial, and organizational impact assessments.
• Receive formal approval before implementation.
6. Competition Teams
Each competition team operates independently in its technical activities while remaining an
official part of Apex Racing Team.

No Team Leader may:

• Separate their competition from Apex Racing Team.


• Operate under the Apex name independently.
• Establish a competing organization using Apex resources or branding.

7. Operations Team
The Operations Team is responsible for supporting all competitions equally through:

• Marketing
• Social Media
• Sponsorship
• Fundraising
• Public Relations
• Administrative work
• HTI permissions and documentation

The Operations Team is a supporting function only.

It has no authority over:

• Technical decisions
• Competition strategies
• Internal policies of any competition
• Leadership decisions

The Operations Team must remain completely impartial toward every competition.

8. Social Media
The Operations Team manages all official Apex social media platforms.

Content planning should:

• Represent all competitions fairly.


• Reflect achievements based on objective milestones.
• Avoid favoritism or bias toward any competition.

Publication priority should be based on:

• Competition deadlines
• Major achievements
• Sponsor obligations
9. Funding
Independent Funding

Each competition team is encouraged to secure sponsorships or financial support independently to


meet its specific project requirements.

Collective Funding

Funds obtained under the Apex Racing Team name or through the Operations Team are
considered collective funds.

Unless otherwise specified by the sponsor, collective funds shall be distributed fairly based on:

• Team requirements
• Competition timelines
• Budget justification
• Leadership agreement

Financial transparency shall always be maintained.

10. Workshop Usage


The workshop is reserved exclusively for official Apex Racing Team members.

Therefore:

• Unauthorized individuals are prohibited from entering or using the workshop.


• Workshop access shall be coordinated among Team Leaders.
• Reservations should be made in advance whenever possible.
• Priority shall be determined according to project criticality and competition deadlines.

Every team is responsible for:

• Maintaining cleanliness.
• Protecting shared equipment.
• Reporting any damage immediately.
11. Team Unity
Although Apex Racing Team participates in multiple competitions, it remains One Team.

Every member and leader is expected to:

• Respect all competitions equally.


• Support collaboration rather than rivalry.
• Share knowledge whenever appropriate.
• Preserve the reputation of Apex Racing Team.
• Prioritize the team's collective success over individual interests.

Any action intended to divide the team, create unnecessary conflict, or undermine another
competition is considered a violation of these governing principles.

12. Professional Conduct


Every leader shall:

• Lead by example.
• Treat all members with professionalism and respect.
• Maintain open and constructive communication.
• Resolve disagreements through discussion before escalation.
• Accept accountability for their decisions and responsibilities.

Personal disputes must never interfere with the team's objectives.

13. Acceptance
By signing this document, each Team Leader acknowledges that they have:

• Read and understood these rules.


• Agreed to abide by them.
• Accepted the authority of the Apex Council as defined herein.
• Committed to acting in the best interests of Apex Racing Team at all times.
