 Hospital Management Information System
(HMIS)
 Hospital Information System (HIS)
 Hospital Automation
 Hospitals are complex businesses where
multiple functions are combined.

 First of all, the hospital is a business, then it

is an institution that provides medical
services, they also provide hotel management
services.

 Even the management of medicines and

medical supplies with thousands of items can
be considered as a separate service.
 Health Sector is in great change today.
 In order to provide better healthcare today, it is
imperative to adapt to rapid changes in the field of
information technologies and to benefit from
existing technologies. Therefore:
◦ collecting necessary data and knowledge,
◦ use and sharing of these data and knowledge,
◦ realization of knowledge production by standard
methods,
◦ Ensuring the highest level of utilization of the
information produced should be its main
objectives.
 Hospital Information Management System (HIMS)
facilitates to minimize the problems of the health
sector basically by two key functions:
◦ reducing the burden on the shoulders of the hospital
management with the financial and managerial modules
and
◦ reducing the burden on the shoulders of the health care
professionals with the medical modules
 It is the software that will enable the hospital to
be financially stronger by increasing the
profitability of the hospital by providing efficient
use of hospital resources, increase the patient
satisfaction, and minimize service losses
In summary, Hospital Information Management System (HIMS)
enables;
◦ all medical and administrative procedures in a hospital to be transferred
on to a computer system

◦ entering all kinds of data into a main database with different users by
using various modules that work integrated with each other

◦ all necessary outputs / data to be retrieved in a meaningful way from this

main database

◦ Hospitals to have more time, labor force, financial gain, and most
importantly, smooth and reliable statistical data / knowledge
 effective use of resources in hospitals and prevention of waste,

 ensuring the best quality for the health service to be provided,

 monitoring of income and expenses,

 prevention of income leaks,

 providing information support for important decisions to be

made by the hospital management,

 setting the right target for the future with the information
provided,

 information systems used to keep accurate resource

management, complete medical records, accounting, database,
warehouse, and fixtures/assets records.
 Providing the medical, administrative and
financial information integrity required by
hospitals and all institutions those provide
inpatient and outpatient healthcare services;
it is a collection of easily accessible and
manageable information systems.
 It can be defined as an information system
designed to facilitate the management of the
hospital's administrative and medical
information and to improve the quality of
health services.
Hospital Information Management System (HIMS); In
summary means that, all medical and
administrative procedures in a hospital are carried
out on the computer, all kinds of data are entered
into a main database through different users, with
the help of various modules that work integrated
with each other, and all necessary outputs / data
are retrieved in a meaningful way back from this
database. They can be defined as a body of
software that provides hospitals with time, labor
force, financial gain, and most importantly, smooth
and reliable statistical data / information.
HASTANE BİLGİ SİSTEMİ
* Advantages and disadvantages

 Speed, quality and quantity of the information

production increase.
 The speed of information access increase
(saving available time).
 The speed and reliability of decision-making
increase.
 Reduced costs.
 Personnel productivity increase.
 Patient satisfaction increase.
 Supports the transformation of healthcare
services
 It is reliable and systematized for protecting the
patient rights.
 It is flexible; It can be configured according to
hospital protocols and rules.
 It allows the effective use of all resources (time,
manpower, goods, finance) of health institutions.
 Accurate monitoring of income / expenses ensures
that leaks are prevented.
 It provides a contemporary structure by evaluating
the data in a fast / contemporary environment.
 HIMS, which is believed to be obligatory in
ensuring the functioning of the hospitals, which
constitute an important part of the health sector,
can offer advantages for the following topics:
◦ diagnosis and treatment,
◦ patient care,
◦ health information management,
◦ medical documentation,
◦ quality management,
◦ financing,
◦ invoicing,
◦ inventory control,
◦ data storage,
◦ data querying,
◦ communication
 Reliability: The system must be working properly
whenever required.

 Usability: Users should be able to perform operations

those are defined and authorized for them without
any problems.

 Efficiency: The processing time and output speed of

the system should be at the desired level.

 Security: The system should be protected against

unauthorized interference.

 Flexibility: It should be adaptable to new

technological developments.
 HEALTH RECORDS
◦ EBERS Papyrus of 1550 BC found in the City of Tab, Egypt in
1872
◦ Medical records of the Father of Medicine: HIPOCRAT
◦ Nizamiye Madrasahs (Medical parts 1606)
◦ Şişli Etfal Hospital (1899)
◦ The encrypted text called “Siyakat” was used for data
security in the Ottoman Empire.
 Pennsylvania Hospital, founded in 1752 in
Philadelphia
 1771 New York Hospital (records started from 1793)
 September 3, 1821 Boston-Massachusetts General
Hospital
 1880 Minnesota Mayo Clinic
 Health information systems first started in the early 1960s by
automating some selected administrative operations, such as
payrolls and patient accounts for a small number of hospitals.
 By the 1970s, work was undertaken to create integrated
databases for financial and clinical applications. During this
period, the emphasis was mainly on discharge analysis and
statistics.
 With the development of personal computers (PC) in the mid-
1980s, a revolution occurred in the field of computers. The
second major advantage in this period is the development of
electronic data networks where personal computers and large
systems work together to share the information distributed
from a center.
 Again in this period, the increase in the number of software
companies that entered the field of Health Services and the
further development of hardware products enabled it to be
used in both clinical and administrative functions.
 Computer applications in medicine started firstly in the
early 1960s
Massachusetts General Hospital,
Kaiser-Permanente-California and
In hospitals like Wisconsin Hospital
 It was started to be used to keep patient records and to
monitor wages and bed capacities.
 The first patient care system, which is claimed to automate
patient registration, was developed in the late 1960s as
the IBM Medical Information Systems Program.
 Another system for patient care information systems in
this period is the Technicon Data System designed by
Lockheed Aircraft.
 In 1969, a shared computer system named "Shared
Medical Systems", which was developed by MC AUTO, was
accepted.
 Thanks to HIMSs for medical records and
hospital archives;
◦ Order (standards) are provided for keeping medical
records and patient files.
◦ Standards are set on the forms used in the hospital.
◦ It provides easiness in raising and controlling the
quality of the health services provided.
◦ It shortens the decision-making process in the
diagnosis and treatment of the disease, thus
minimizing errors.
◦ It allows the patient to combine information about
health services provided in various health
institutions.
 Since the information about the patient's previous
health status can be easily accessed, it prevents
unnecessary analysis and examination and thus reduces
the costs.
 It ensures that statistics are made based on reliable and
accurate data.
 By providing convenience to the researches, it increases
the willingness to do research and makes the
researches easily and reliably.
 It helps the courts to decide in a shorter time, especially
with the responses given in time to the articles from the
courts.
 It provides assurance to healthcare workers in cases and
events related to medical treatment that have been the
subject of judicial events or courts, and ensures that
they work with the quality of evidence in unnecessary
and unfair accusations.
 Institutions are obliged to decide whether to
produce the software that will meet their needs
in case they have the necessary infrastructures or
to outsource it from companies
 While software is being purchased;
◦ The companies producing the hospital information
system should be consulted,
◦ The technological infrastructure, expertise, knowledge,
problem solving skills and support of the companies
should be taken into consideration,
◦ The product's openness to development, enabling the
update of data and information by authorized users,
enabling data exchanged over the internet, dynamic
reporting, query and statistical skills should be
considered,
 During the trial, the size of the software to meet
the specified needs should be considered, and
the solution suggestions of the company should
be evaluated in this regard,
 When discussing with companies, their approach
to training, support services and on-site
application should be asked.
 Sites that use the software should be visited,
users should be interviewed,
 Hardware should be purchased after information
systems are selected,
 Network infrastructure should be established
under company control.
 Professional and expert staff should be
behind the hospital automation system,
 Hospital subsystems (clinic, polyclinic,
emergency services, administrative financial
transactions) should be designed properly
due to their different informational features
and a network connected to independent
mainframes should be used for each sub-
system.
 Hospital automation system reliability should
be considered.
 Software in hospital information management
system;
◦ Data entries must be made with appropriate
standards and codes,
◦ All disease, materials, etc. must be within the
context of coding systems,
◦ Ensure the confidentiality and security of
information at the user, transaction and information
levels throughout the system,
◦ It should allow the integration of new modules with
the system
 Software in hospital information management
system;
◦ It should be adaptable. When a new unit is opened
in the hospital, a new service that can be offered
should be easily included in the system within the
framework of its authorizations.
◦ All rankings and comparisons must be in
accordance with the national language,
◦ It should be preferred that the software is
independent of the hardware and operating system
and that it can work on different platforms,
◦ User manuals and training manuals must be
available to ensure effective use of the software.
