Time Management Checklist

A practical daily and weekly checklist for improving focus and completing important work.

Daily Planning
[ ] Choose the three most important tasks.

[ ] Block focused time for the hardest task first.

[ ] Keep calls and meetings in fixed windows where possible.

[ ] Turn off non-essential notifications.

[ ] Leave a buffer for unexpected work.

Focus Method
Work in a focused block of 25 to 50 minutes, then take a short break. Keep only the tools and tabs needed for the current
task.

• Write distracting thoughts on a note instead of acting on them.

• Group similar tasks such as calls, email and data entry.

• Define what 'finished' means before starting.

Priority Matrix
Urgent Not Urgent

Important Do first: deadlines and critical commitments Schedule: planning, learning and relationship building

Not Important Delegate or simplify routine requests Reduce low-value browsing and unnecessary meetings

End-of-Day Review
