Task 5(a): Prepare a Report Using a Word Processor (3 Marks)
Step 1a: Open a Word Processing Application
Step 1b: Open Microsoft Word
1. Click the Start button.
2. Search for Microsoft Word.
3. Open it.
4. Select Blank Document.
Step 2: Save Your Document
Before typing anything:
1. Click File → Save As.
2. Choose a folder (for example, Documents or Desktop).
3. Name the file:
Grade 9 Computer Studies Project Report
4. Click Save.
Step 3: Type the Title
At the top of the page, type:
PROJECT REPORT
Now format it:
Highlight the title.
Click Center Align (or press Ctrl + E).
Make it Bold (Ctrl + B).
Change the font size to 16 or 18.

Your page should look like this:

Step 4: Type the Group Members
Press Enter twice after the title.
Type:
Group Members
Make Group Members bold.
Press Enter.
Now type the names.
Example:
1. John Mwangi
2. Mary Wanjiku
3. Brian Otieno
4. Faith Njeri
Step 5: Type the Materials Used
Press Enter twice.
Type:
Materials Used
Make it Bold.
Press Enter.
Use bullets.
Example:
Cardboard
Glue
Paint
Colored paper
Plastic bottles
To add bullets:
Select the list.
Click Home → Bullets.

Step 6: Type the Tools Used
Press Enter twice.
Type:
Tools Used
Make it Bold.
Press Enter.
Example:
Scissors
Ruler
Pencil
Paintbrush
Camera
Step 7: Format the Report
Make the report look neat.
Font: Calibri or Arial
Font size: 12
Headings: Bold
Title: 16–18
Line spacing: 1.5
Leave one blank line between sections.
Your report should now look something like this:

Step 8: Save Again
Press Ctrl + S to save your work.
Step 9: Take a Photo of the Finished Product
Use a phone or digital camera to take a clear picture of your completed project.
Tips:
• Place the project on a clean background.
• Make sure there is enough light.
• Hold the camera steady.
• Ensure the whole project is visible.
Step 10: Transfer the Photo to the Computer (if needed)
If the photo is on your phone, transfer it to the computer by:
• Connecting the phone with a USB cable, or
• Sending the photo to yourself via email or a messaging app, or
• Using cloud storage (such as OneDrive or Google Drive).
Save the photo in a folder where you can easily find it.
Example filename:
Finished_Project.jpg
Step 11: Insert the Photo into Microsoft Word
1. Open your report in Microsoft Word.
2. Place the cursor below the "Tools Used" section.
3. Press Enter once or twice to leave some space.
4. Click the Insert tab on the ribbon.
5. Click Pictures.
6. Choose This Device (or Picture from File, depending on your version of Word).
7. Browse to the folder where the photo is saved.
8. Select the photo.
9. Click Insert.
The photo will appear in your document.
Step 12: Resize the Photo (if necessary)
If the picture is too large:

1. Click on the picture.
2. Small circles (handles) will appear around it.
3. Drag a corner handle inward or outward to resize it while keeping the correct
proportions.
Avoid dragging the side handles only, as that can stretch the image.
Step 13: Add a Caption
Click below the picture and type:
Figure 1: Finished Project
You can make the caption centered if you like.
Your report should now look something like this:

Step 14: Save Your Work
Press Ctrl + S to save the updated document.
Final Step (Question 7)
The last task is to share the report with your teacher using an ICT communication tool,
such as email, Google Classroom, Microsoft Teams, WhatsApp (if your teacher allows it), or
another platform your school uses.
