Quick Guide: How to Use the Pastry Batch & Returns Tracker

Please follow these steps daily to ensure our pastries have accurate batch tracking codes for
food safety, and to help us track our daily sales and waste.

Kitchen Team (Production)

1. Open the Excel File and go to the first tab named Production Log.

2. Find the next empty row at the bottom of the list. Do not clear or delete old rows—we
need them to keep history.

3. Fill in these 3 columns only:

o Date (Column B): Type today's date (e.g., 2026-07-09).

o Pastry Name (Column C): Type the full name of the item (e.g., Brown Bread).

o Initials (Column D): Type a 2-letter code for the item (e.g., BB for Brown Bread,
CR for Croissant). Make sure to use the exact same initials for this product every
time.

o Quantity Produced (Column E): Type the total number of pieces baked this
morning (e.g., 50).

4. Leave Column A and Column G alone! Excel calculates those automatically.

Printing Labels: P

1. Switch to the second tab named Label Generator.

2. Click on the light grey cell next to "Select Batch ID:" (Cell B4).

3. Click the small dropdown arrow that appears on the right side of the cell.

4. Select the item you just baked (it will look like YYYY-MM-DD_Initials, for example: 2026-
07-09_BB).

5. Copy the Codes: The table below will instantly generate your unique batch codes (e.g.,
2026190BB001 to 2026190BB050).

6. Highlight Column C, copy (Ctrl + C), and paste the codes directly into your label/sticker
printer software to print your tags.
Handling (Returns)

1. Go back to the Production Log tab.

2. Find the row for the items that were sold today.

3. Fill in the Unsold Amount:

o Returns / Unsold (Column F): Count how many pieces of that batch were left
over, came back, or went to waste, and type that number in (e.g., 4).

o If everything sold out completely, type 0.

4. The sheet will automatically calculate the Net Quantity Sold in Column G so the chefs
can see exactly how much revenue was made!
