Logging In and Out of Constructware


This section contains information that will help you get logged in and out of Constructware.

Following is additional information about using Constructware:

Logging In as a New User


To log in to Constructware as a new user:

1 Click the Constructware link in the Welcome email you received from the Constructware Administrator.
■ The Login page displays.

2 Enter your Company name, Username, and user Password.


■ This information is included in your Welcome email.

3 Click Launch.
■ The Welcome to Constructware! page displays.

4 Enter your password in the New Password and Confirm Password fields.

5 In the Security Question field, select from a set of pre-defined security questions.
■ If you forget your password when logging in to Constructware in the future and click the Forgot
login information? link, the system will prompt you with this security question.

6 In the Your Answer field, enter the answer associated with your security question.
■ Constructware will expect you to enter this answer to verify your authenticity if you try to use the
Forgot Login Information feature.

7 Click the Terms of Use link.


■ The Collaboration Solutions Terms of Use Agreement displays. Click here (or go to
[Link] to see the Terms of Use
Agreement text.

8 Read all content on the page.


■ You can click the Print link to print the material so you can keep it for future use.

■ You can click the Email link to email the content.

9 When you are finished reading the Terms of Use information, close the window.
■ You return to the Welcome to Constructware! page.

10 Click the Privacy Policy link.


■ The Privacy Policy page displays. Click here (or go to
[Link] to see the Privacy Policy
text.

11 Read all content on the page.


■ You can click the Print link to print the material so you can keep it for future use.

■ You can click the Email link to email the content.

12 When you are finished reading the privacy policy information, close the window.
■ You return to the Welcome to Constructware! page.

13 Click the checkbox in the bottom left portion of the page to indicate that you have read and agree to
the Autodesk Terms of Use and Privacy Policy.
You are required to select the checkbox to agree to the terms to be able to log in to Constructware.

14 Click Save.
■ A dialog displays to confirm that your password has been changed.

15 Click OK.
■ The CW Desktop page opens.

Logging In as an Existing User


To log in to Constructware as an existing user:

1 Enter the site URL in your browser’s address line or select the bookmark link to the site, if you saved it
previously.
■ The Login page displays.

2 Enter your Company name, Username, and user Password.
■ If you cannot remember your log in information, click Forgot login information?. See Forgotten
Password on page 3 for more information.

■ If your password has expired, the Password Expired dialog displays. See Expired Password on page
5 for more information.

3 Click Launch.
■ If you have not already agreed to the Autodesk Terms of Use and Privacy Policy, the Terms of
Use page displays. Click the Terms of Use and Privacy Policy links, read all of the information,
and then click the checkbox on the Terms of Use page to confirm that you have read the required
information. You are required to select the checkbox to agree to the Terms of Use and Privacy
Policy.

text.

■ The CW Desktop page opens.

Forgotten Password
If you cannot remember your password when attempting to log in to Constructware:

1 On the Constructware Welcome page, click the Forgot login information? link.
■ The Login Assistance page displays.

2 Enter your Company name and either your User name or your Email address.
■ You can enter either your User name or your Email address—you cannot enter both of them.

■ If you enter an email address that is used by more than one member account for this company, you
are required to enter your User name.

3 Click Continue.

What happens next depends on what you have previously defined in Constructware:

■ If you have already set up your security question and answer, see Security Question and Answer Already
Set Up on page 3.

■ If you have not set up your security question and answer, see No Security Question and Answer on page
4.

■ If you have not already agreed to the Autodesk Terms of Use and Privacy Policy, see Have Not Agreed to
the Terms of Use and Privacy Policy on page 4.

Security Question and Answer Already Set Up


If you have previously set up your security question and answer, the Security Question page displays.

1 In the Your Answer field on the Security Question page, enter the answer associated with your security
question.
■ You must enter the correct answer to verify your authenticity so you can log in.

2 Click Continue.
■ The Login Assistance Email Sent page displays, notifying you that Constructware has sent a Password
Assistance Notification email to the email address associated with your user ID. This email contains
a temporary password for you to use to log in to Constructware.

3 Click Continue.
■ You return to the Login Page.

4 Enter the login information, including the temporary password, in the Password Assistance Notification
email that Constructware emailed to you.

5 Click Launch.
■ The system displays the Password Expired dialog.

6 Enter and confirm your new password.

7 Select or enter a new security question.

8 Enter the security answer.

9 Click Continue.
■ The CW Desktop page opens.

No Security Question and Answer


If you have not already set up your security question and answer, the Login Assistance page displays stating
that you must contact your Site Administrator.

1 Click Continue.
■ You return to the Login page.

2 Contact your Site Administrator.

Have Not Agreed to the Terms of Use and Privacy Policy


If you have not already agreed to the Autodesk Terms of Use and Privacy Policy, the Terms of Use page
displays.

1 Click the Terms of Use link.


■ The Collaboration Solutions Terms of Use Agreement displays. Click here (or go to
[Link] to see the Terms of Use
Agreement text.

2 Read all content on the page.


■ You can click the Print link to print the material so you can keep it for future use.

■ You can click the Email link to email the content.

3 When you are finished reading the Terms of Use information, close the window.
■ You return to the Terms of Use page.

4 Click the Privacy Policy link.


■ The Privacy Policy page displays. Click here (or go to
[Link] to see the Privacy Policy
text.

5 Read all content on the page.
■ You can click the Print link to print the material so you can keep it for future use.

■ You can click the Email link to email the content.

6 When you are finished reading the privacy policy information, close the window.
■ You return to the Terms of Use page.

7 Click the checkbox in the bottom left portion of the page to indicate that you have read and agree to
the Autodesk Terms of Use and Privacy Policy.
■ You are required to select the checkbox to agree to the terms to be able to log in to Constructware.

8 Click Continue.
■ The CW Desktop page opens.

Expired Password
If your password has expired since the last time you logged in, the Your Password Has Expired page displays
when you attempt to log in to Constructware:

1 Enter the New Password you plan to use to log in from now on.

2 Enter the same password again in the Confirm Password field.

3 In the Security Question field, select from a set of pre-defined security questions or define your own
security question.
■ If you forget your password when logging in to Constructware in the future and click the Forgot
login information? link, the system will prompt you with this security question.

4 In the Your Answer field, enter the answer associated with your security question.
■ If you forgot your password when logging on in the future, you must answer this question correctly
to be able to log in.

5 Click Save.

Logging Out of Constructware


Because there are a limited number of user accounts, log out of the system when you are finished using it.
Logging out of the system frees up your login “slot” for use by another user. If you do not log out, the slot
will not be freed up until the timeout occurs and you are subsequently logged out.

Information Required to Log In


The following table lists information that is required to log in to Constructware:

Company’s Con- The URL address to access Constructware.

Company Name This is the same for all users of your Constructware site or divi-
sion. It identifies the sites owning company whose information
is to be accessed.

Security question This field enables you to select a security question. If you forget
your password when logging in, the system prompts you with
this question to verify your authenticity.

User Name The user name identifies the user who is logging in. This user
name is issued by your Constructware supervisor or users who
have the permission to change or edit user accounts.

User Password The original password for a user name is issued by your Con-
structware supervisor (or users who have the permission to
change or edit user accounts).
You have the permission to change your own password, as well
as the supervisor (or users who have the permission to change
or edit user accounts), has the ability to force users to change
their password on a periodic basis.

Your answer This field enables you to enter the answer associated with your
security question.

Access to the System


The permissions that have been set up for your individual user account determine the functionality you
have within the site and the information you have access to (such as, specific projects). Normally, the Site
Administrator at the client’s firm maintains the user accounts.
Your company’s license agreement with Constructware determines the number of user accounts available
for your use. If you run out of accounts, you can request that more be added.
In addition to the arranged limit on the number of available login accounts, there is also a restriction on
whether a single user can log in more than once at a time. This restriction is also determined by the license
agreement with Constructware.

Timeout Period
After a successful login, your session is time limited. If no activity occurs within the timeout period (currently
set to 1 hour), the session is automatically ended and you must log in again to access the system.

Navigating Constructware
This section illustrates the general organization of the Constructware product. It also describes some of the
common functions used throughout Constructware.

Overview

Folders and Modules (1)


The folders in the left navigation pane (1) contain all the Constructware modules. For example, the Document
Management folder contains all modules pertaining to organizing your project's documents.

Toolbar Buttons (2)


The buttons along the top of the page are module specific. They invoke the actions you want to perform
based on the module you are working with. See Common Toolbar Buttons on page 39 for more information.

Main Content Area (3)


The Main Content Area of a Constructware page displays either already entered information (main log) or
allows you to enter and edit information (Create/Edit pages). Many of these pages contain buttons that
allows you to perform actions or select items. See Common Functions Buttons on page 40 for more
information.

Quick Launch Buttons (4)


The buttons along the left side of the page are the Quick Launch Buttons. They provide a shortcut to specific
modules in Constructware. See Quick Launch Buttons on page 43 for more information.

Menu Collapse Button (5)


You may prefer to hide the menu bar while working on Constructware. You can hide or show the menu by
default upon login. Hiding the menu provides more space on your screen. You can click the Push Pin button
or hover with your mouse over the menu to either display or hide the menu, depending on the option you
selected in Changing Your Start Page.

Reference/Support Buttons (6)


The four (4) buttons in the upper right corner of your page are available in every module you have permission
to. See Reference Support Buttons on page 45 for more information.

Favorite Projects (7)
Constructware allows you to identify your Favorite Projects either in the WWW Maintenance ➤ Current
Projects module or by clicking the Star button in the Quick Launch Toolbar (4). See Setting Up Favorite
Projects for more information.

Filter and Quick Find (8)


Constructware allows you to filter for particular information by entering search criteria to open the Filter
pop-up or by clicking the Find button in the Quick Search bar. See Filtering for Information on page 22.

Common Icons (9)


Throughout Constructware, the main log of most modules contain icons that indicate and allow you to
view more information about the line items. See Constructware Icons on page 45 for the most common
icons and their descriptions.

Browser Configuration
Because Constructware is an interactive, real-time application running on the internet, it is important to
make sure that the most current information displays at all times. To ensure this, do the following:

1 From the Internet Explorer menu, click Tools and then click Internet Options.

2 Click the Settings button.

3 Select the Every visit to the page option to check for newer versions of stored pages.

4 Click OK to exit Settings.

5 Click the Security tab.

6 Click Trusted Sites.

7 Click the Default Level button in the lower right corner of the Internet Zone section to set the level to
medium.
If you are using a custom setting, do not change it.
If you are using Internet Explorer 7 and you do not want to display the URL toolbar, click Custom Level
and select Allow website to open windows without address or status bars. This allows Windows to
open without displaying the address bar.
If you are using Internet Explorer 7, set the security level for trusted sites to Medium-Low or Low.

8 Click the Sites button.

9 Add *.[Link] and *.[Link] to your trusted sites list by typing them in the text field
and clicking Add.

10 Click the Privacy tab.

11 Move the slider to select a privacy setting for the Internet zone.

Opening Files Directly in the Browser


Office 2007 resets the file opening options in your Internet Explorer so that files, such as Word and Excel,
no longer open directly in the browser you are using by default. This is most noticeable in Constructware
in Document Templates. To maintain this functionality, you must manually reset these options after installing
Office 2007. If you prefer that Templates open directly in versions of Word prior to 2007 instead of in your
browser window, you can manually deselect this option.

Pop-Up Blocker
Pop-up windows perform various processes throughout Constructware. To work properly, your browser must
allow pop-ups from Constructware.
Your browser can still be set to block pop-ups from any other site not listed in the Allowed sites list. In
addition, not all browsers have a setting to block pop-up windows.
To configure your browser to allow Constructware pop-ups:

1 From the Internet Explorer menu, click Tools, Pop-up Blocker, and then Pop-up Blocker Settings.

2 Type *.[Link] and click the Add button.

3 Click Close to return to the log-in screen.

Technical Requirements
Product Summary
The Constructware solution is a true web-based application that is used through an Internet connection and
compatible browser. For networks that already support standard Internet browsing, there is very little (if
any) setup required from the perspective of the network and/or firewall Administrator. Users simply visit
the site, login, and being working in the application. The vast majority of the more than 140 individual
modules within Constructware application are rendered using current Internet standards (specifics follow)
with no dependency on ActiveX, Java applets or other external plug-ins.
There are a few processes within Constructware however that rely on Java applets and/or ActiveX controls
to perform the desired functions. These are separate applications that are embedded within Constructware.
These processes are most notably found in the File Director, Drawing Log, Documents, Document Templates,
and Manuals modules.
These include the following components:

■ Brava! – A view and markup tool.

■ File Upload/Download Components – Most notably an Upload Many component, and an upload
component that auto detects related reference files.

Because these components are installed on a user’s computer, they require the user to have adequate rights
to their local workstation during the install process. Without these rights, a user cannot install these
components on their computer. Users without adequate rights can still use the bulk of the Constructware
product, however, they cannot use the tools listed previously.
In summary, the entire product (including the applets) can be supported using standard Internet ports 80
and 443 (http and SSL https) that should fit within the scope of most firewall/proxy security policies.
Following is an overview of these components and helpful hints for optimizing performance when using
modules with these Java applets and ActiveX controls.

Helpful Hints
While we strive to keep the Constructware application as simple as possible, following are a few helpful
hints on use of the previous components.

■ The Java plug-in, Java applets, and ActiveX control require adequate permissions on the local machine
so that they can install and/or execute correctly.

■ Java applets execute within the Java Run-Time Environment and do not always detect proxy settings
that may be set up in the browser (if using a proxy). Furthermore, some proxy servers cannot handle
requests directly from applets. If you use a proxy, there maybe additional configuration steps required
to enable applets access to the correct servers.

■ Cookies must be enabled on the local machine for the Constructware domain (*.[Link]).

■ Some firewall content analyzing software programs could become overwhelmed with the volume of code
being delivered and cause speed issues. This is mostly noticed on programs that are virus scanning all
code (for example, JavaScript) being delivered. In most cases, an exception to Constructware can be
created to resolve this problem.

Summary of System Requirements


Following is a summary of the system requirements/recommendations necessary to use Constructware:

■ A 32-bit operating system such as Windows 95, 98, NT, 2000 or XP.

■ Internet Explorer 5.0 or above. Internet Explorer 6.0 is recommended.

Conclusion
This document was intended to provide a simple understanding of the requirements for network/firewall
administrators. Due to our continued effort to keep the Constructware application as simple to use as possible,
we rarely hear of problems from clients regarding configuration issues. However, they do occur from time

View Function

To use the View function:

1 Select the appropriate module.

2 Select your project from the Favorite Projects drop-down menu.

3 Click the radio button corresponding to the document you want to view.

4 Click View.

Edit Function

To use the Edit function:

1 Select the appropriate module.

2 Select your project from the Favorite Projects drop-down menu.

3 Click the radio button corresponding to the item or document you want to edit.

5 Modify the information you want to change.

6 Click Save/Close.

Multi-edit

The multi-edit function transforms the static fields listed on the item or document log into editable fields.
For example:

If you want to use the same value for all entries, enter the value in the top field and click the Push Down
arrow . That value displays in the same field for the other entries. Remember to save your changes.

To use the Void function:

1 Select the appropriate module.

2 Select your project from the Favorite Projects drop-down menu.

To reactivate a voided item or document:

2 Select your project from the Favorite Projects drop-down menu.

3 Select the Show Voided checkbox.

4 Click the radio button that corresponds to the voided item or document you want to reactivate.

5 Click Edit.

6 Select Active from the State drop-down menu.

7 Click Save/Close.

Copy Function

To use the Copy function:

1 Select the appropriate module.

2 Select your project from the Favorite Projects drop-down menu.

3 Click Copy.

4 Select the project containing the original item or document.

5 Select the project to which you want to copy the item.

6 Choose whether you want to copy a single item or multiple items.

7 Type the new item or document number, if the default is incorrect.

8 Type the new description for the item or document.

Attach Function

To use the Attach function:

1 Select the appropriate module.

2 Select your project from the Favorite drop-down menu.

5 Choose whether you want to create an attachment or add the item to an existing attachment.

6 Click the radio button that corresponds to the appropriate action.

7 Select the type of the other document from the Show drop-down menu.

8 Select the filter to apply from the Filter By drop-down menu.

9 Type the value you want to filter the display by.

10 Click the Display button.

11 Click the radio button that corresponds to the other item or document.

12 Click Save.

Distribute Function

The Distribute Function is combined with the Send Function. Click Send to send the selected document
with Message, Email, or Fax, or to build a distribution list that displays on the document. To view the
Distribution History of the document, click the History button.

Open Function
To open or download a document, click the appropriate button in the Open column in the main log of the
module. The button is also available on message views in the documents tables and on some edit pages.
This allows you to open the document locally in the appropriate application, based on your local file type
mapping.
In many locations in Constructware, including some Views, Logs, and Edit pages, direct access to an uploaded
file is required. When such a file is available, Constructware presents one or two buttons for file access.
If the file is a type supported by Brava!, the Brava! button displays on the right. Otherwise, only an
application-specific button displays. Clicking Brava opens the file in Brava.

Filtering for Information


To filter for information:

1 Click Filter at the top left of the screen.


■ You can also use the quick filter for Status.

2 Select the criteria for the filter and then click Filter in the upper right corner of the screen.
■ A value does not require that you enter all letters. Values are not case sensitive.

■ The Select Filter Criteria window displays a certain number of items.

■ Note: If after selecting the filter and entering the value you want to search for, you decide to use a
different filter for the same value, you can select a different value in the drop-down box and the
value entered in the Value field will remain.

3 If the item you are looking for does not appear on the screen, adjust the number of items shown by
selecting the drop-down list next to Show and then select the appropriate amount.
■ Two additional buttons display when the amount shown increases. These buttons are Previous and
Next. Use these buttons to scroll through the list.

4 Click the red Close button.


■ If you click the Filter icon, select the filter in the drop-down box and enter the value, and then
decide to search a different filter for the same value, you can select a different value in the drop-down
box and the value entered in the Value field will remain.

5 Click No Filter at the top of the screen to remove a filter.

Module Customizations
Establish Client level defaults through Maintenance ➤ Data Maintenance ➤ Module Customization.
Establish defaults at the Project level by selecting the Customize button within that module.
See Module Customization Interactions for a list of modules available through Module Customizations.
Use the Module Customization feature to establish defaults for numbering and other attributes by project
or client-wide. For example, you can define that every event letter setup creates a correspondence that is in
Draft state.

You can establish this by setting the default value for Correspondence State to Draft, then when you create
an Event Letter Setup, Draft is automatically the value for Correspondence State. Module Customization
also allows you to either hide fields, or define them to be read only.
Example: Hide the Initial Estimate - Cost and Initial Estimate - Time fields on the General tab of a Cost Event
for certain users so they cannot see this data at all. Additionally, you can customize selected label names for
modules.
Additionally, users can create custom fields for projects that enable users to capture specific information
and values that are unique to your organization. Only users with Module Customization permission can
create custom fields.

Lookup Tables
Navigation: Maintenance ➤ Data Maintenance ➤ Lookup Tables
Lookup tables are used extensively throughout Constructware, they allow you to determine the contents of
the drop-down menus in Constructware.
Examples of Lookup Tables include Project Roles (for example, Engineer, Architect, Contractor), Submittal
Responses (for example, Approved, Rejected), RFI Status (for example, Closed, Open, Returned), and Meeting
Types (for example, Prebid, Progress). For instance, you could add a project role of Owners Representative
to the Project Role Lookup Table.

The default view when opening the Lookup Tables module is the Lookup Tables log, which lists the Lookup
Table name, whether it supports restricted values, the date last modified, and the user who last modified it.
Restricted values are values that are explicitly assigned to a project.
By default, the Lookup Table column sorts the list alphabetically, but you can sort on any of the four
columns—ascending or descending.

Routing Documents
Routing is a feature that enables you to define an electronic work flow for a document(s) requiring approval
before being processed and/or achieving a certain status. Documents are locked while in the Routing process.
Users with permission to the module can click the Route button and see the routing history for a document
and where it is in the Routing process.
You can submit a document to a route in the following modules: Bid Packages, CCOs, Contractor Pay Apps,
Contracts, Cost Items, Cost Events, File Director, Invoices, Issues, RCOs, OCOs, Pay Apps, POs, POCOs,
Projects, and from the Recent tab in the Personal Organizer.

You define a route to be set up in Maintenance ➤ Data Maintenance ➤ Module Customizations.

NOTE If the route is for the entire company, access the Module Customization module in the Maintenance folder,
select the module and click the Edit button. For project-specific routing, use the Customize button in the module.

Routing Tabs
The Routing feature contains the following tabs.

Routing Documents | 25
Action Tab
The Action tab displays the details of the document using the Constructware system template and allows
you to take action on the routed document. The permission of the user logged in and the type of route
determine which actions are available in the Action drop-down. The available actions are: Approve, Do Not
Approve, Skip on page 35, and Recall on page 34.
If you have permission to edit the document, an Edit button is available. Clicking Edit opens the edit pages
for the document, allowing you to make modifications from the Response Window. In addition, you can
check out, check in, and undo a checkout for File Director documents.
Clicking the View button allows you to view the document using the system or document template.

Associated Documents Tab


The Associated Documents tab lists any attachments (linked documents), cost items or associated documents
related to this document. Clicking the View button displays the Associated Documents and Routing History.

NOTE If the module does not have routed documents, this tab is not visible.

Routing History Tab


The Routing History tab lists the users in the approval routing process; the number of days the document
has been in their queue and the date received. If a user responded to the document, this tab also lists the
response and response date. Clicking the View button displays the Associated Documents and Routing
History.

■ Display Previous Routes is available if Show Past History is selected in the Routing definition.

Copying a Route
NOTE Routings can only be copied from the client level to the project level. Client routings cannot be edited at
the project level.

To copy a route:

1 Access the module for the document to be routed.

2 Select the document you want to route.

3 Click Customize.

4 Click the Routing tab.

5 Select the route you want to copy.

6 Click Copy.

7 Select whether you want to copy the previously selected route or all project routes.

8 Select the project from which you want to copy the route.

In addition to the standard external email notifications, Constructware also sends internal notifications for
these actions:

■ Recall notification – Anyone that has touched a document is notified when it is recalled.

■ Response notification – The initiator is notified whether the document was approved or not.

■ Skip notification – The approver who was skipped by the Administrator is notified at the time of skip.

If their user preferences are set to do so, the user also receives a corresponding external notification.

Responding to a Document
A document stays in the routing process until:

■ It follows a Step Exit Condition that leads to the END.

■ An Administrator or the route initiator recalls it.

If modifications to the document are needed and the user has permission to edit that document, they have
an Edit button on the Take Action floating menu on the Action tab. In addition, a user can check out, check
in and undo a checkout of File Director documents.

Routing Action Required


The Routing Action Required section displays at the top of the Today page if routed documents are in your
queue. Any document waiting for your approval are listed here. Documents remain in this list, until you
respond to that document or the initiator or Administrator recalls it.

■ The Closed Envelope icon indicates that you have not yet opened the document. An open envelope
identifies a document that you have opened, but have not yet responded to.

To respond to a document in your queue:

1 Select the document from the Routing Action Required section.

2 Select the appropriate action from the Action drop-down menu.

3 Enter any notes if necessary or required.

4 Click Save/Close or Save.

1 Select the module for the type of document you want to review.

2 Click the radio button or checkbox that corresponds to the document you want to review.

3 Click Route, or click the Route Status icon for that document.

4 Select the appropriate action from the Action drop-down menu.

5 Enter any notes, if necessary or required.

Route Approval from Approval Documents


The Approval Documents module, under Personal Organizer, is another location to find routed documents
in your queue. Only documents still in a routing process are listed.

Users with Administrator permission also use this module. They can see all documents in the routing process
for the modules in which they have Administrator permission.
Approval Documents - Only seen if the site is using Routing to ensure approvals of some documents.

Routing a Document
Documents are locked while in the Routing process. While a document is in route, users with permission
to the module can click the Route button and see the routing history for that document and where it is in
the Routing process.
To route a document:

1 Select the module for the type of document you want to route. Optionally, navigate to the Multi-Edit
Log.

2 Click the radio button or checkbox that corresponds to the document(s) you want to route.

3 Click Route.

4 Select the item(s) to be routed, if available.
■ Some routes allow the user to select which documents to lock at the end.

■ By default, all items are selected.

5 Select from the list of routes that apply to this document.


■ Routing options are only available if there is a combination of routes that lock or do not lock at the
end of the route, and/or there is a No Entry Conditions option(s).

■ Routes are listed in the following order:


■ Routes that match the criteria and lock the end of the route.

■ Routes that match the criteria and do not lock at the end of the route.

■ Routes with no Route Entry Conditions.

6 Click Continue to route the document and return to the main log of the selected module.
■ Note the Routing icon that now displays in the Document Routing column.

Recalling a Document
Occasionally, you might need to withdraw your document from the routing process. Recalling unlocks the
document and its associated items, and the document can be re-routed.
By default, the user who initated the route can recall the document they initiated,regardless of their
permission. If the Allow non-Admin users to recall documents from this route option in Module Customization
is selected, users with Change and Approve permission can also recall documents, whether still in route or
completed.
To recall a document:

1 Select the module for the type of document you want to recall.

2 Click the radio button or checkbox that corresponds to the document you want to recall.

3 Click Route.

4 Select Recall from the Action drop-down menu.

Skipping a Step
You may need to skip a step in the route process. For example, if a cost event is in the queue of an employee
on vacation, you may need to skip that approval to meet your deadline. Only users with Administrator
permission can skip a step.
To skip a step in the routing process:

1 Select the module for the type of document whose route you want to modify.

2 Click the radio button or checkbox that corresponds to the document whose route you want to modify.

3 Click Route.

4 Select Skip User or Skip Step from the Action drop-down menu.

5 Enter any notes, if necessary or required.

6 Click Save/Close.

Defining a Route
To define a route:

1 Navigate to: Maintenance ➤ Data Maintenance ➤ Module Customizations.

2 Select a Module.

3 Click Edit.

4 Click the Routing tab.

5 Click New.
■ The Workflow Route window opens with the General tab displayed as the default.

6 Type a name for this route.


■ This field is required.

7 Set the State of the route to Active.


■ Select Void to remove a route. Only active routes are available to end users.

8 Choose an Uploaded File, if desired, intended to give end-users explanation about the use of the route.

9 Determine the Rules During Route.


■ Select Allow Previous Routes to Display to indicate if you want to allow the step participants to view
prior instances of routes when reviewing the document.

■ Determine which users you want to Allow to Make Changes While in Route. BIC User refers to a
current Participant. This option gives participants with the appropriate module-level permission
the ability to modify the document while it is in the route.

■ Determine if you want the route to Lock Documents at End of Route When Route Ends with
“Approved.” Other responses do not have the power to lock a document. Please note that the
Approved response is only available for “Approval” type steps.
■ Determine whether you want Administrators to be able to edit locked documents (not typically
recommended).

■ Determine if the initiator can select individual cost items to lock (Cost Events, CCDs, RCOs, and
OCOs only).

■ Select whether you want to Allow BIC User to Solicit Additional Response(s), and whether in doing
so they can pass responsibility for a decision (delegate) to others. You can solicit responses from
multiple people, but can only delegate to one.

■ If you want to Specify a Document Template on the Route Action tab, do so. Otherwise, the
document's selected Document Template will be used.

10 Determine the Step Default Settings.


■ For one type of step, determine the defaults for whether a Note is required of step participants. The
available Step Types are Approval, Review, Workflow, Separator, and Aggregator, defined as follows:
■ Approval – Has available responses of Approve and Do Not Approve.

■ Review – Has available responses of Reviewed and No Comment.

■ Workflow – Has available responses of Step Complete and Could not Complete

■ Separator – No users assigned to step. This special step is intended to enable more than one
process to be active at a time. All of the Step Exit Conditions will be followed at once in Separator
steps.

■ Aggregator – No users assigned to step. This special step is intended to re-aggregate the parallel
steps in the workflow.

11 Create any Route Entry Conditions.


■ A Route Entry Condition determines whether to make the Route available to documents. Routes
with no Route Entry Conditions will be available to any document.

12 Click Save.

Document Updates Tab


1 Click the Document Updates tab, if available.

2 Select the statuses to update the document automatically when it enters the route, when the route ends
with an approved status, when the route ends with a not approved status, or when it is recalled from
the route. Only Approval type steps can cause a route to end in Approved or Not Approved.

3 Select the amount(s) to update automatically on the document when it completes the route. To add
multiple amounts to update, complete a row and click Save. You can add another row.

4 Click Save.

Routing Steps Tab


On the Routing Steps tab, you can establish the steps to be followed in the Route. The step numbering is
not what controls the order the steps flow in the Route—they can flow in any order as defined by the Step
Exit Conditions.

1 Click the Routing Steps tab.

2 Click New.

3 Type a Description for the routing step.

4 Determine if this is the Starting Step (the Route will start with this step without regard to the step
numbering).

5 Choose the Step Type.


■ Approval – Has available responses of Approve and Do Not Approve. This Step Type is the only one
that can perform Document Updates and Lock documents if ending the Route.

■ Review – Has available responses of Reviewed and No Comment.

■ Workflow – Has available responses of Step Complete and Could not Complete

■ Separator – No users assigned to step. This special step enables more than one process to be active
at a time. All of the Step Exit Conditions will be followed at once on Separator steps.

■ Aggregator – No users assigned to step. This special step re-aggregates the parallel steps in the
workflow.

6 Determine the Masking Template to apply to the step. This is useful in controlling what information
a user is allowed to edit during a certain step.

7 Determine which responses require notes. The responses vary per Step Type.

8 Add Instructions for the User(s). This text is provided to help you on the Action tab.

9 Determine the Step Participants and rules for them.


■ If you do not want to select individuals, select by Routing Role. Team members that are Users can
be assigned a Routing Role (or multiple Roles) in Project Information ➤ Project Team.

■ Determine the number of responses required to proceed to the next step:


■ At Least One – Any affirmative response results in the affirmative condition being followed.

■ One Accept – One participant must accept the step, but then that user becomes the only
participant in the step.

■ Custom % – You can specify the percentage of affirmative responses required to cause the
affirmative exit condition to be followed.

■ Majority Required – One participant over 50% must provide an affirmative response to cause
the affirmative exit condition to be followed.

■ All Required – 100% affirmative responses are required. Any negative response constitutes a
negative response as a whole and causes the negative exit condition to be followed.

■ Decide whether to see an Allowed Time. Setting an Allowed Time of 0 days is the same as leaving
it blank (no notifications sent).

■ Determine whether reminders will be sent.

10 Set up Step Exit Conditions. You are required to click Save before conditions can be created. The
conditions are the possible paths that can be followed from a step. By default, an affirmative and a
negative step are created. These automatically created steps cannot be removed, and they must remain
at the bottom of the list.
■ Create additional conditions that have logic in them (for example, Cost Event Approved <= 1000).

■ Conditions are evaluated from top to bottom, and the document follows the first matching path.

■ Creating a Summary condition allows you to create conditions based on the sum of all of the
documents of that document type (available only for Cost Management documents).

11 Click Save/New or Save.

12 Repeat steps 3-11 until you enter all the users who need to process the document. By using Segregator
and Aggregator steps you can create workflows that split into parallel processes. Aggregator steps wait
until all of the separated threads catch up before following their Exit Conditions.

13 Click Close.

NOTE It might be helpful to consider creating your steps in reverse order. This way, your steps used for the Exit
Conditions have already been created when their precedent steps are created.

View the distribution history and access previous versions of the item.
Locked documents cannot be edited so new versions are created.
Previous versions are stored in History. This button is available in most
modules.

Enables you to create or upload a new item.

Opens the Process Wizard on page 73 so you can process the selected
item into another document.

Enables you to remove the selected item.

Short cut to the Reports module.

Enables you to save your entries and keeps the current window open.

Enables you to save your entries and closes the current window.

Enables you to save your entries and clears all fields to allow for new
entries.

Opens the Send Wizard, so you can send your item by fax, messaging
or email. See Send Wizard on page 59 for more details.

Enables you to check the spelling of text entered into the system.

Allows you to remove a selected item in Constructware.

Date Popup
Allows you to open the Date pop-up window. Two months are shown at one time. You can switch years
using a drop-down list. The current date is highlighted in orange.

You can enter the time directly in the field, or, clicking the Clock button turns the field into a drop-down
list that lists time in half-hour increments.

■ Selecting a time from the list inserts the selected time into the field.

Down Arrow
Clicking this button to the left of text entry fields or clicking the tan bar section in Constructware enables
you to increase the size of the field three (3) times its normal size. The arrow image changes to an up arrow
image.

Up Arrow
When you click the up arrow image or tan bar section, the field height returns to normal size, and the arrow
image changes to the down arrow image.

Quick Launch Buttons


The buttons along the left side of the page are the Quick Launch Buttons. They provide a shortcut to specific
modules in Constructware.

Button Description

Opens the CW Desktop to the tab you have specified in CW Desktop


Module Customization.

Clicking the Star button opens a drop-down menu. This drop-down


menu lists the modules you may already have defined (Personal Calls,
Project Calls, and Feedback in our example) as your “Favorites”, as
well as the two options:

Organize Favorites: Selecting this menu item directs you to the


Preferences tab of the User Info module. See Selecting a Favorite
Module on page 98 for more information.
Favorite Reports: Selecting this menu item directs you to the Favor-
ites tab in the Reports module.

Opens the New/Edit Call window. Here, you can create a Call Entry.
See Personal Calls and Project Calls for more information.

Opens the Send Wizard on page 59, so you can send a message,
email or fax, with or without a document and/or create a Distribution
List.

Opens the Criteria tab of the Search window, allowing you to enter
search criteria and run a search. You must have the View permission
to the Search module for this button to display.

Opens the Create New Task window, allowing you to create a Personal
or a Project Task. See Personal Tasks or Project Tasks for more inform-
ation.

Clicking the Menu button or hovering over it with your mouse dis-
plays the menu containing the module list. (The functionality depends

Open the Infodex on page 17, which is a quick way to find Compan-
ies, Contacts, Projects, and Employee information.

Open the Constructware online help system. Clicking this button


automatically opens the Overview help page of the module in which
you are currently working.

Exit Constructware and terminate the session on the server.

Constructware Icons
Throughout Constructware, the Main log of most modules contains icons that indicate that more information
about the line items is available and allow you to view the information.

Button Description

Indicates that supporting documents are linked to the doc-


ument.

Indicates that the document has an “Active” state.

Indicates that the document has a “Draft” state.

Indicates that the document is locked.

Indicates that the document is void. Voided documents are


by default not shown in any log, but can be displayed by
marking the Show Voided checkbox.

Enables you to view the selected document.

Enables you to edit the selected document.

Lists the current version of the document. Clicking the hy-


perlinked version number opens the History pop-up window.

Feedback
In Constructware, Feedback provides a means for communicating with the Constructware Support or
Development staff. All users have access to this tool.
The types of feedback that can be submitted are:

■ A Data Request to remove data entered in error that a user cannot delete.

■ A Program Error in which the system is not performing a function accurately.

■ A Question about how or why it works the way it does.

■ A Suggestion to enhance the functionality of Constructware.

■ An Admin Request for the users to direct any action/information request to their Supervisor.

When saved, the Feedback item is sent to Constructware or your company's internal Feedback Supervisor.
The routing depends upon rules as determined by your company.
Feedback Admin located in the Maintenance folder is used to set the rules for the routing of Feedback items.
Users can view or edit this module according to permissions.
A log of all Feedback items is saved in the Feedback Log, located in the Maintenance folder, from your
company's Constructware site. The Constructware Feedback Supervisor can assign priorities to the items
here. Users can view or edit this module according to permissions.

Creating a Feedback Message


1 Click the Feedback button in the top right portion of your page.

2 Select a Type and a Module from the available Lookup Tables.

3 Enter an appropriate Short Description and Detailed Description. These descriptions can be used later
as search criteria.

4 Select a Feedback type. The types of feedback that can be submitted are:
■ A user cannot delete a Data Request to remove data entered in error.

■ A Program Error in which the system is not performing a function accurately.

■ A Question about how or why it works the way it does.

■ A Suggestion to enhance the functionality of Constructware.

■ An Admin Request for the users to direct any action/information request to their supervisor.

5 Click Save on the toolbar.


■ You will see a notification page informing them that the Feedback was logged, you are given a
tracking number, and are informed who received this Feedback (Constructware or the company’s
Feedback Supervisor. Constructware sends an email to you when the item is closed.

Wizards
This section discusses the wizards.

Project Wizard

With the Project Wizard, you can build a checklist of items to track modules or sections of the project to be
set up, with special notations being made if the sections were copied or set up manually. The checklist serves
as a central document that encompasses all project-specific setup items, so you can track project setup
progress.
You can access the Project Wizard from Projects or Project Checklist.
After a project is created with the Project Wizard, the state of the project is Uninitialized until all of the
necessary files have been copied and updated, then the State becomes Active.

NOTE You cannot access the details of the project until it is fully initialized in the system. The person who creates
the new project will receive email notification upon completion.

If project information is accessed before it is complete, the following message displays:

Initiating the Project Wizard
To initiate the Project Wizard:

1 Access the first step of the Project Wizard by clicking New Project button while in Project Information
➤ Project Checklist, or New in the Projects or Project Details.

2 Choose if you want to create a project manually or copy an existing one.

3 If the Copy option is selected, choose which items to copy.

4 Select any additional Checklist Items, which are Constructware modules.


■ You can only add those Items to which you have access.

■ If you select the Include Permissions and Auto-Notifications checkbox and the Project Team checkbox,
but do not select the Include Groups checkbox, then only individual users’ and the project team
group permissions and notifications will be copied—no other group permissions or notifications
will be copied.

■ If you select the Include Permissions and Auto-Notifications checkbox but do not select the Project
Team or Include Groups checkbox, then no permissions or notifications will be copied.

■ To save navigation, you can link directly to these modules or document types and perform actions
on them (provided you have permission to do so) by clicking the Take Action button beside the
Checklist Item.

■ Example: Selecting a Checklist item, clicking the Take Action button, and then choosing Edit opens
the Edit pop-up for the selected Checklist Item or module.

5 Confirm the Sections to copy and the checklist items to be created and complete the wizard.

Creating Single Projects Manually


To create single projects manually:

1 Navigate to Projects and click the New button, or in Project Checklist, click the New Project button.
■ Step 1 of the wizard opens.

2 Click the Set Up Manually radio button.

3 Mark the Notify Me on Project Copy Completion checkbox if you want to be notified when the copy
process is completed.

4 Select 1 from the Number of New Projects to Create drop-down list.

5 Click the Next button.


■ Step 2 of the wizard opens.

6 Enter/Select a New Project Number, Name, Division, and Currency for your new project.

7 If you are set up to receive auto-notifications upon New Project creation, you can enter your auto-notify
information by clicking the drop-down arrow.
■ The following fields are available: Estimate No., City, State/Province, County, Project Status, Project
Description, Projected Project Value, Project Type, Delivery Type.

Creating Multiple Projects Manually


To create multiple projects manually:

1 Navigate to Projects and click the New button, or click the New Project button in the Project Checklist.

2 Click the Set Up Manually radio button.

3 Mark the Notify Me on Project Copy Completion checkbox of you want to be notified when the copy
process is completed.

4 Select a number greater than 1 from the Number of New Projects to Create drop-down list.

5 Click the Next button.

you are creating.

6 Enter/Select a New Project Number, Name, Division, and Currency for your new project.
■ Optionally, enter a number for each of your new projects.

■ If you are entering information for less projects than you previously chose to create, then only those
number of projects are created for which you are entering information.

■ If you select the Include Permissions and Auto-Notifications checkbox and the Project Team checkbox,
but do not select the Include Groups checkbox, then only individual users’ and the project team
group permissions and notifications will be copied—no other group permissions or notifications
will be copied.

■ If you select the Include Permissions and Auto-Notifications checkbox but do not select the Project
Team or Include Groups checkbox, then no permissions or notifications will be copied.

Send Wizard

The Send Wizard is a multi-step process that combines different ways of sending documents or messages
into one simple interface. You can use the Send Wizard to send documents through e-mail, fax, or
Constructware message to users and contacts, or simply notify them about the document without actually
sending the document. If you uploaded an image of your signature in the User Info module, the image will
be included on your system template documents for correspondences and transmittals. In addition, it is
used to build a distribution list for a document regardless of the sending method.
For example, if you use the Send Wizard to fax a document, but also send a printed copy per mail, you can
record these actions through the Send Wizard.
To set up the fax function, contact Autodesk Customer Support at 1-800-892-0449. Some items to note when
using the Send Wizard:

■ The fax function is available only to those users who have the Initiate Faxing permission, which the Site
Supervisor grants.

■ The Outbound Faxing Service must be also be enabled for your Constructware site for this permission
to be granted.

You have two additional options to create and send a cover page with the document(s) you are sending.

Creating a Fax Cover Page


You can create a fax cover page using the following:

■ Generic Constructware Fax Cover Page: Click Preview to preview the generic fax cover page. This fax
cover sheet is not stored in Constructware; it is created as part of the send process and is not stored in
Correspondence or any other Constructware module. It is a basic fax cover page with your company's
logo similar to the fax cover sheet template ([sys] Fax Coversheet) found in the Correspondence module.

■ Correspondence Template: Use one of the Correspondence Templates available for the project you are
sending from. This option creates and logs a correspondence in the Correspondence module. If you
uploaded an image of your signature in the User Info module, the image is included on your system
template documents.

■ Create a Transmittal using Template: Each recipient listed as “To” in the Send Wizard receives a
Transmittal. All “CC” recipients are listed on all Transmittals. If you uploaded an image of your signature
in the User Info module, the image is included on your system template documents.

■ When Sending from File Director: The email function is available when you are the Parent Folder owner,
have Administrator permission to File Director or Download or higher permission for the Parent Folder
of any document selected for sending.

Working with Documents


■ When sending a Submittal Package through the Send Wizard, you can optionally include the Linked
Docs for the Items within the Package.

■ When sending a Meeting through the Send Wizard, you can optionally include the Linked Docs for the
Agenda or Minute Items.

■ Not all documents can be sent by message, email, and fax. Exceptions to this include Reports (cannot
be sent by message) and Custom Forms (cannot be sent by email or fax).

■ A set of documents being faxed cannot exceed 10 MB. Constructware does not enforce this limit, but
the faxing service provider enforces it and will return an error if the documents exceed the size limit.
Constructware does not monitor the size limit of a faxed set of documents.

■ The Send Wizard is launched when the user selects Send from a module or from the Quick Launch bar;
creates a new Message; or replies to, or forwards a Message or Send Confirmation.

■ You can finish the Send Wizard on Step 1. This closes the Wizard and sends a Message to users in the
Recipients list. It will not send an email or fax.

■ The options Send All Documents to All Recipients and Select Documents to Send per Recipient on Step
2 determine whether the Wizard has 3 or 4 steps. The 3-Step wizard sends all documents to all recipients
and the 4-Step wizard allows the user to specify document-recipient combinations on Step 2.

■ You can use the Move Up and Move Down arrows to change the order in which the documents will be
sent. The document at the top of the Documents list will be sent first; the document at the bottom of
the Documents list will be sent last.

Using the Send Wizard
Using the Send Wizard does the following:

■ Create a Distribution table on the sent document.

■ Create an entry in your Personal Outbox.

■ Create an entry in the Project Outbox if non-confidential.

■ Create an entry in the Distribution History for the document being sent.

Uploaded Files
Note the following when uploading files:

■ Sending an uploaded file through email or fax the Send Wizard will treat the documents as separate files
(even those supported by Internet Explorer, for example, *.jpg). These uploaded files do not count toward
Constructware’s ten-document limit. The Constructware document page (the “cover page” with attributes
about the document) is not sent when sending outside of Constructware.

■ Links for documents are displayed in the HTML document but will not be active. This applies to
Documents, Drawing Log, and File Director.

■ If the recipient is still connected to the Internet, logos and graphics are viewable in the email.

■ Document types that have uploaded files that can be sent through the Send Wizard are: Project Inbox,
File Director, Documents, Drawing, and Correspondence.

Changes the order in which the documents are sent. The Move Down
button moves the selected document down in the list. The first doc-
ument in the list is the first document that will be emailed or faxed;
the last document is the list is the last document that will be emailed
or faxed.

Changes the order in which the documents are sent. The Move Up
button moves up the selected document in the list. The first document
in the list is the first document that will be emailed or faxed; the last
document is the list is the last document that will be emailed or faxed.

Enables you to preview the Generic Constructware Fax Cover Page.

Use the Quick Add button to add contacts and companies to your
document quickly. When you click the button, the Quick Add pop
up displays so you can type a string of characters and then click Add.
If no exact match is found, the standard contact dialog displays so
you can select from the matches that were found, or enter additional
criteria. The system assumes that you will enter the text in the form
of “firstname lastname (company)”. If you enter only one word, it is
considered to be a last name. Anything entered between parentheses
is considered to be a company name. Note: If you are using a project-
specific document, the contact names will default to the members
of the project team.

Removes all selected contacts or documents.

Opens the Contacts on page 123 dialog box that allows you to select
recipients.

Send Wizard Interactions

The Send Wizard interacts with most Constructware modules. Select the Send button to start the Send
Wizard.
Because Constructware does not store criteria or the report output, Reports cannot be sent by Constructware
Message; they can only be sent by email and fax.
POs and Contracts can optionally have Exhibits associated with them. These Exhibits are sent with the PO
and Subcontract.
User must be the parent folder owner, have Administrator permission for FD, or have Markup permission
or higher for the parent folder of any document selected for sending to be able to send through email. Any
user can send File Director documents by Message. Users must have Initiate permission to be able to Fax.

Sending a Document
Note the following when sending documents using the Send Wizard:

■ You can send up to ten documents at once. If you are launching the Send Wizard from a Multi-Edit page,
only the first ten of the selected documents will be sent, since this is the limit.

■ If you are sending a document with linked documents from a document log, for example, the document
you are sending is the primary item in the Attachment, up to nine of the linked documents will be
automatically added to the list. A document's linked documents are not included in the list of documents
to send if you launch the Send Wizard from a Multi-Edit page.

■ You can only send documents you have permission to access the document. Restrictions on document
access include permissions, confidential settings, and internal/external settings.

■ You can upload a file on-the-fly to send. Choosing this option allows you to enter attributes about the
file and the file is logged in the Documents module.

■ Only when sending a new message, email or fax from Messaging Inbox, Personal Outbox, Project Outbox,
or Quick Launch, is the Copy to Subject button available to copy the project name into the Subject field.
In other instances, the document and project information is included in the subject by default.

Steps to Sending a Document


To send a document:

1 Select the recipients on Step 1 of the Send Wizard.

2 Enter any information in the Body field.

3 Click Select in Step 1 of the Send Wizard on page 59 to select documents to send.
■ If you are clicking Send from a multi-edit page, the documents selected will populate the Documents
list box by default.

■ When you select additional documents to be sent, those document's linked documents will not be
included. The linked documents are included only when you click Send from a log.

■ Click View or Open if you want to view the document prior to adding it the list of documents to
be sent.
■ Clicking one of the buttons in the Open column allows you to access the file associated with
the Constructware document.

■ See to the “Open Function” portion of Constructware Functions on page 19 to learn more about
the possible application options.

4 Choose from the following:


■ Send All Documents to All Recipients: All documents are sent to all recipients. The Wizard in this
case contains 3 steps.

■ Select Documents to Send per Recipient on Step 2: Allows you to specify document-recipient
combinations. The Wizard in this case contains 4 steps, since the documents selected display as

columns on Step 2 for you to be able to select the documents. Recipients specified when creating
or editing a specific document previously are selected by default.

5 Click Next.

6 Depending on your selection in Step 4 of this procedure (Step 1 of the Send Wizard), either:
■ Specify document-recipient combinations. This step allows you to choose which documents are
sent to which recipients and is defaulted based on the default recipients for the documents you are
sending. Select the column heading checkbox to select all recipients, or

■ Specify the sending method for the documents. See Selecting a Document on page 72 and Selecting
Send Options on page 71 for detailed information.

■ If all recipients are users, only the message column is checked by default. If one or more recipients
is not a user, email will be selected by default for all recipients.

7 Click Next.

8 Depending on your selection in Step 4 of this procedure (Step 1 of the Send Wizard), either:
■ Specify the sending method for the documents. See Selecting a Document on page 72 and Selecting
Send Options on page 71 for detailed information.

■ or

■ A distribution table is displayed.

■ The Documents section lists all documents that were sent. This section displays only if any documents
were selected for sending.

9 Click Next.

Sending and Notifying


To send and notify:

1 Click Send; or if in the Messaging Inbox or Outbox, click New, Reply, Reply All, or Forward.
■ The Send Wizard on page 59 Step 1 opens.

2 Select a Project from your list of Favorite Projects.


■ Depending on where you launched the Send Wizard from, the Project field may be pre-selected for
you and read only.

3 Choose the contacts as recipients of the selected documents you want to send.
■ Certain document types have default recipients when sending (for example, if you are sending
Meeting Minutes, the Required Attendees populates the Recipients field by default. You also have
the option to choose other or additional recipients.

■ Your options are:


■ Select the recipient by clicking the Select button. The Contact Select on page 123 dialog box opens
allowing you to select and add contacts to the recipient list. The Team Members Only checkbox
is marked by default.

■ Select the recipients by clicking the Groups button. The Group Select pop-up dialog box opens
allowing you to select and add contacts that are members of a group to the recipients list.

■ You can remove contacts by selecting the contact and clicking Remove.

4 Select Concerning.
■ Depending on where you launched the Send Wizard from, the Concerning field may be pre-selected
for you and read only.

5 Click the Select button next to the Documents field to select the documents to send.
■ See Selecting a Document on page 72 for more information.

■ See Sending a Document on page 69 for more details about sending options through the Send
Wizard.

6 Click Finish to send your document(s) to users only in a message or click Next to proceed to the next
step of the Wizard.

Desktop module ➤ Recent Tab.

Selecting Send Options


Method and Fax Cover
To select the Send options:

1 Select the delivery type for the recipients; choose from the following:
■ To: Sends the message/email/fax directly to the recipient.

■ Cc: (Carbon Copy) Sends a copy of the message/email/fax to the recipient, and the recipients name
is visible to other recipients.

■ Bcc: (Blind Carbon Copy) Sends a copy of the message/email/fax to the recipient, and the recipients
name is not visible to other recipients. Bcc Recipients will be displayed on the Send Confirmation
for the sending user

2 Select the method of sending your documents.


■ The document types previously selected determine the method of sending. This means that not all
document types can be sent by message, e-mail, and fax. For example, if you are sending a Design
Review and a File Director document, the only method available to you is Message because File
Director documents cannot be sent through email and fax.

■ If you are sending a document by fax, you can select to not use a fax cover page (default) or to use
a Constructware cover page by marking the appropriate radio button. The Constructware fax cover
page is an HTML document using the Send Wizard on page 59 values; it is not a Constructware
document.

3 Click Finish to send your document(s) by all methods selected or click the Next button to proceed to
Step 3 of the Wizard, which allows you to view a summary that lists your selected recipient contacts,
company, and sending method.
■ This Summary page is not a Send confirmation. Nothing is sent until you select the Finish button
on one of the Wizard steps.

4 On Step 3, click the Finish button to send your document(s) based on the values you entered in the
previous steps.

Selecting a Document
When selecting a document:

■ You can send up to ten documents at once.

■ If you are sending a document with linked documents (for example, the document you are sending
is the primary item in the Attachment), up to 9 of the linked documents will be automatically added
to the list.

■ This only applies when sending a document from a document log (for example, you select a document
and click Send). If you are starting a new message/mail/fax and add documents, then the documents
linked documents are not automatically included in the list.

■ You can only send documents you have permission to access. Restrictions on document access include
permissions, confidential settings, and internal/external settings.

■ You can upload a file on-the-fly to send. Choosing this option allows you to enter attributes about
the file and logs the file in the Documents module.

Sending Documents using the Send Wizard


To use the Send Wizard to send documents:

1 Click the Select button in Step 1 of the Send Wizard on page 59.
■ The Document Select dialog opens.

■ The columns that are available depend on the type of document selected.

■ You can sort on column headings; and filter on column headings and other document attributes
to find the document you want to send.

2 Select the radio button that precedes the document number and then click Open if you want to view
the document before adding it the list of documents to be sent.
■ Clicking one of the buttons in the Open column allows you to access the file associated with the
Constructware document.

■ See the “Open Function” portion of Constructware Functions on page 19 to learn more about the
possible application option.

3 Click the Select button that precedes the document number to add the document to the list of documents
to be sent.

4 Click Close to close the Document Select dialog box.


■ You can remove selected documents by clicking Remove.

Sending Multiple Documents


Constructware allows you to send multiple documents at once using the Send Wizard.
This procedure can be completed in the following two different ways:

67), click Send on the toolbar to open the Send Wizard.
■ The document's linked documents are included by default (10 maximum).

Sending from a Multi Edit Page


To send from a multi-edit page:

1 From any module that supports the Send Wizard functionality, click Multi Edit on the toolbar.

2 Select the documents you want to send by marking the corresponding checkboxes.
■ Each document's linked documents are not included by default.

■ A maximum of 10 documents can be sent at one time.

3 Click Send.

Process Wizard

You use the Process functionality easily create one document from another document or set of documents
using a two or three-step wizard.
The Process Wizard can pre-populate fields from one module to another, and, for Cost Management
documents, can pass Cost Items along from one document to another.
The Wizard consists of two or three steps, depending on the source and destination documents:

■ Wizard Step 1 – The document to process into, options to link documents, the status change of the source
document, the choice to move money, and the option to be notified when processing is complete and
the documents have been created.

■ Wizard Step 2 – The status of the destination document and the Cost Items (if processing cost-related
documents) to include are chosen, source documents may be dropped, and markups may be dropped.

■ Wizard Step 3 – The documents have been created, and can be viewed and individually edited.

Processing Documents

You use the Processing icon to process documents. Following is the actual procedure for processing
documents. This section contains information about the types of documents you can process.

1 Navigate to any of the documents listed in Interactions with other modules.

2 Select a document to process.


■ To process multiple documents, click Multi-Edit (where available) and select multiple documents to
process.

3 Click Process.
■ The Process Document Wizard opens (Step 1 of 3).

4 Select the destination Document Type to Process Into.

5 Select a radio button to determine whether your destination document is a New or an Existing document.
■ Existing documents: Locate the appropriate document and click Continue, if the document is a fax
from the Project Inbox, click Finish.

6 Select Link options, as needed.

7 Select the Notify Me When Processing is Complete and Documents Have Been Created checkbox if the
document has multiple child documents and you want to perform other tasks while the job is processed.

8 Click Next.
■ The Process Wizard Step 2 of 3 window opens, displaying the document to be processed.

9 Click Next.

Transmittal Wizard
The Transmittal Wizard allows you to create a transmittal for a selected item. When an item is selected and
the Transmit button on the toolbar is clicked, the current data is captured. Changes made to the item after
being transmitted do not affect the transmittal.

Transmittal Wizard Interactions
The Transmittal Wizard interacts with the following module:
Submittals: A submittal item or package can be used to create a transmittal.

Transmitting an Item or Package


To transmit an item or package:

1 Navigate to: Document Management ➤ Submittals.

2 Select your project from the Favorite Projects drop-down menu.

3 Click the radio button that corresponds to the Item or Package you want to transmit.
■ Items must be in a Package to be transmitted.

4 Click Transmit.

■ Transmit is available from multiple locations in the Submittals module.

■ Step 1 of the Transmittal Wizard opens.

5 Select the Recipient(s) of the Transmittal.


■ Optionally, notify the recipients by clicking the Notify checkbox.

6 Select the Sender of the Transmittal.

7 Enter a Subject for the Transmittal.

8 Enter the number of copies you want to forward.


■ You can manually enter the number of copies to forward by clicking the radio button to the left of
the text field and typing in the number. That number will apply to each item included in this
transmittal.

■ Or, allow Constructware to pull the copies needed for each Item and Package included on the
transmittal from existing tracking data. This option allows each Transmittal Item to have a unique
copy value. For this option, click the radio button to the left of the drop-down menu and select the
appropriate value.

9 Specify the Due date (optional).


■ Specifying the Due date automatically populates the tracking data if it is blank for the corresponding
transmittal recipient. If this field is left blank, Constructware pulls the Due date from existing tracking
data.

10 Optionally, mark the Link Submittal Package to Transmittal.

11 Add or remove additional packages (optional).

12 Select the items from each package you want included on the transmittal.

13 Click Next.
■ Step 2 of the Transmittal Wizard, which is a follow-up confirmation window, opens, listing all of
the transmittals created. You may close the window and return to the Submittals log or view or edit
any of the transmittals in a pop-up window.

Form Letter Wizard
Click the Form Letter button to access the Form Letter Wizard:

Form Letter Wizard Setup


Before the Form Letter Wizard can be used, a Form Letter template must be created in the Form Letter Setup
module.

Navigation is as follows: Maintenance ➤ Data Maintenance ➤ Form Letter Setup.


A Constructware Administrator typically creates and maintains form letters.

Using the Form Letter Wizard


To use the Form Letter Wizard:

1 Click the module you want to use the Form Letter Wizard.

2 Click the radio button that corresponds to the document about which you want to write a
correspondence.

3 Click Form Letter.


■ For the Form Letter button to display, there must be at least one active form letter for the module
you are currently using.

4 Select the form letter you want to use from the list of active form letters.

5 Select the Link [document] to new Correspondence checkbox if you want to link the documents and
create an Attachment.

6 Click Next.

7 Review the populated letter Subject and Body, edit as necessary.

8 Click Next.

9 Select the letter State and the Template.

10 Select the recipient, the sender, and cc recipients.

11 Optionally, select contacts for whom you want to create Identical correspondence.

12 Mark the Notify checkboxes to send a notification to the recipients.


■ Proceeding to Step 4 creates a correspondence.

13 Click Next.

14 Finish the Wizard, or view or edit the letter directly from Step 4.

Copy Wizard
The Copy Wizard is a two-step process that combines different ways of copying documents and their attributes
into one simple interface.

The Wizard is launched when you click the Copy button on the toolbar of select Constructware modules.

Copy Wizard Buttons

Favorites
Constructware keeps track of your most recently accessed Projects and Employees. These lists are called your
Favorites lists. They help your speed and efficiency by keeping small, manageable lists of those active items
instead of requiring you to constantly filter from the entire set of items that are in the database.

Favorite lists are kept even when you log off the system, and so redisplay when you next log on. Features
of this module include:

■ The Favorites list is user-specific and accessible from any module, which uses the Favorite Projects or
Favorite Employees Lookup Table.

■ The permissions are driven from the View all Projects permissions. The user may view all projects entered
into Constructware and does not have to be an assigned team member to view project data. However:
■ View – The user may view all projects entered into Constructware and does not have to be an assigned
team member to view project data.

■ None – The user may only view those projects to which the user is an assigned team member.

Favorites Buttons
The following table contains the Favorite button descriptions.

Button Description

Opens the Favorite filter tool. Here, you can assign certain Projects or
Employees to be part of the Favorites list. This button is located to the
right of the Favorite Projects or Favorite Employees Lookup Table.

Enables you to save any changes made to the Favorites lists.

Enables you to select all Projects or Employees displaying in the list. Only
Projects that you are a Team Member of will appear in the list.

Modifying Favorite Projects

1 Click the Favorites button beside the Favorite Projects Lookup Table.
■ A separate browser window opens with a list of Projects.

■ When a large number of projects displays in the list, it may be useful to use the Filtering tool to
modify the list.

■ Up to two filters can be applied to the list at one time. The list can be sorted (ascending or descending)
by any column whose heading text is underlined.
The list, by default, is limited to displaying only twenty projects at a time.

■ Users may select a different number of projects (or all projects) with the Show items at a time Lookup
Table.

2 Select the desired projects by clicking the corresponding box for each in the Favorite e column.

3 Click Save to record your changes. When you click Save:


■ Checked items are added to your favorites list.

■ Unchecked items are removed from your favorites list.

■ Use the Sel (select) column to pick one item, add it to your favorites, and jump to that project. This

Modifying the Favorite Employees List


1 Click the Favorites button next to the Favorite Employees Lookup Table. A separate browser window
opens with a list of employees.
■ When a large number of employees are displayed in the list, it may be useful to use the Filtering

4 Click the right arrow button to copy the selected modules to the Favorite Modules list box.

5 Optionally, highlight a module and click the Move Up and Move Down buttons above the Favorite
Modules list box to change the order in which the Favorite Modules display.

Bookmarks
Although Constructware provides some standard forms for project documentation, you may want, or need,
to customize the format of certain documents. Creating custom templates in Microsoft Word and importing
them into the program enables you to apply any format you create to your project documents.

Creating a Custom Template


To create a custom template:

1 Open Microsoft Word.

2 Open a new file.

3 Create and format the document you want.


■ Use the Constructware Bookmark for a field where you would normally use specific information
(for example, use SCOScopeOfWork where you would normally type the Scope of Work for a CCO).

4 Define the bookmarks. (See Defining Bookmarks on page 101 for additional information.)

5 Select File ➤ Save As.

6 Enter a file name for your template.

7 Select Word Document (*.doc) from the Save as Type drop-down menu.

8 Click Save.

Defining Bookmarks in Microsoft Word
Templates use bookmarks to direct Microsoft Word to the specific data within Constructware. Bookmarks
tell Microsoft Word what information to retrieve and where to place it in the template.
For information on determining which bookmarks to use, go to this topic in the Constructware online help.

You can access an extensive list of bookmark buttons in Maintenance ➤ Data Maintenance ➤ Document
Templates.

To define bookmarks in Microsoft Word:

1 Open Microsoft Word.

2 Open your template.

3 Highlight the text you want to Bookmark.

4 In Word, select Insert ➤ Bookmarks.

5 Type the bookmark name.


■ Type the bookmark name exactly as it appears in the list. Bookmarks cannot contain spaces.

6 Click Add to add the bookmark to the list.


■ The text you highlighted now appears framed by brackets.

7 Repeat steps 3 - 6 until you bookmark each of the generic descriptors.

8 Save your template.

Do not place bookmarks in protected areas of the document, unless you provide the password to unprotect
the document in Document Templates.

Using a Bookmark Multiple Times


When you use a bookmark more than once in a single document, you must indicate for Microsoft Word to
pull the same bookmark again by placing a number behind the bookmark name. Increase the number
consecutively for each instance of the bookmark.
For example, the fax cover sheet references the company name three times. The first time you add the
bookmark, type CompanyName. The second time you add the bookmark, type CompanyName1. The third
time you type the bookmark, type CompanyName2.

Using Macros to Bookmark


If you know how to make macros in Microsoft Word, you can use the following information to make a
macro that takes the selected text and turns it into a bookmark.

with creating Macros in Microsoft Word, please see your LAN Administrator or another individual with such
experience.

Troubleshooting Bookmarks
Make sure that you have entered the bookmark into your document exactly as it appears in the Current List
of Bookmarks. If you are using the same bookmark several times in one document, make sure that you have
entered a 1, 2, 3, and so on, after each use of the bookmark.
If your bookmarks are entered correctly and you are still experiencing problems with your document
templates, please call Autodesk Customer Support at 1-800-892-0449.

Importing Data

The Excel import process allows for users to import an indefinite number of records, which are prepared
off-line, into a specific module within the Constructware system.
The Import process requires Excel 2000 or later. It will not work with Excel 97.

Permissions
To perform an import, users must have Change permission to the specific module as well as the Import Data
permission (a separate permission on the Maintenance tab). Without both of these permissions, the Import
button will not display and the process will be unavailable. Also, the unnamed Supervisor account does not
have permission to create or edit this information.
Each separate module has unique requirements specific to that module. The modules where you can use the
import feature include:

■ Budget

■ CSI Codes and Divisions for project templates

■ Design Review - Note: No template is required for Design Review imports. See Design Review for more
information.

■ Drawing Log

■ Performance Journals

■ Punch Lists

■ SOV

■ Submittals

The Excel Template


The Excel template is a pre-formatted Excel sheet designed for a particular module. It contains the column
headings for the data elements that are allowed for import into that module. Add data to the template only;
do not attempt to alter the format or heading names of the file.

This file contains Excel Macros, which are required for the file to work properly. In Excel, select Tools ➤
Macros ➤ Security and be sure that you have the settings on either Medium or Low.

Populating the Template with Data


Data entered into the columns of the template must conform to the same formatting requirements within
the product. This data is not validated until the form is uploaded to the system so it is important to know
these requirements up front.

NOTE Excel 2002 or higher allows the width of the spreadsheet columns to expand for data entry purposes.

You can find the specific requirements in the import help specific for that module.
It is also important to note that the file you save and upload will have an .XML extension. It will not have
the standard Excel .XLS file extension.
XML is a special formatting language that is used to import the data. When you save the data, it automatically
saves the file in the .XML format. Excel also prompts you to save the file in the .XLS format (using the same
file name used for the XML file - for example, [Link] &amp; [Link]).
The XLS file is not required for the import process but is something you may want to keep for reference. If
you want to keep the same file name for the XLS file, simply click okay or press enter on the second prompt.

Importing a File
To import a file:

1 Download the Excel template on page 105 for the desired module.
■ Populate the Excel template with data (off-line).

2 Upload the XML project file on page 107.


■ Specify the import file and Duplicate Records on page 109 options, if applicable.

3 Verify that Validating the Uploaded Data on page 111 is checked.


■ Critical Errors? End process.

■ Non-critical errors? Fix exceptions online.

■ Final confirmation before import into database.

4 Import the data into the selected module.

Downloading an Excel Template


To download an Excel template:
Skip to Step 3 if continuing from a module.

1 Navigate to/from any of the following:

2 Click Import.
The import window varies depending on the data being imported.

NOTE The Import pop-up opens and remains open until the XML file is uploaded or the window is manually
closed.

3 Select Download Excel Template.


■ From the import screen, download the Excel template for the selected module and then upload
XML. If you have your template already, select the upload XML option. The import process begins.
Only the Download Excel template can be used for importing.

4 Click Continue.
■ A File Download dialog opens.

■ This file contains Excel macros, which are required for the file to work properly. In Excel, select
Tools ➤ Macros ➤ Security and be sure that you have the settings on either Medium or Low.

5 Click Save to save the template.

6 Name the template and click Save.

■ The Download complete dialog box opens.

7 The Excel template opens.
■ The first tab of the spreadsheet provides information on the available fields.

8 Click Open to edit the template.

9 Complete field information on each tab as needed.


■ The Excel template is a pre-formatted Excel 2000 sheet designed for a particular module. It contains
the column headings for the data elements that are allowed for import into that module. Only add
data to the template and do not attempt to alter the format or heading names of the file.

■ Data entered into the columns of the template must conform to the same formatting requirements
within the application. This data is not validated until the form is uploaded to the system, so it is
important to know these requirements up front.

10 Click Save from the File menu to save the document in XML format and in the folder that you specify.
■ Name the file, make sure the name ends in XML.

■ Click Save.

11 Close Excel and proceed to Uploading XML Project File on page 107.

Uploading XML Project File


If you have just completed filling in the template, the Import pop-up will still be open to upload the XML
file. Otherwise, follow steps 1 and 2 of Downloading an Excel Template on page 105 and return to the following
step:
To upload an XML project file:

1 Click the Upload XML Project File radio button.

NOTE The Import pop-up varies depending on item being imported.

2 Click Browse.

3 Locate the *.xml file you want to upload and select it.
■ The Excel template you saved to the specified folder will have an .XML extension because of the
Macros you have enabled. It will not have the standard Excel .XLS file extension. XML is a special
formatting language that is used to import the data. When you save the data, it automatically saves
the file in the .XML format.

4 Click Open.
■ Checks are performed on the data.

■ See Validating the Uploaded Data on page 111 and Duplicate Records on page 109.

■ Budget and Performance Journals skip the next step.

■ The Confirmation window opens.

■ Before importing data into the database, the system provides a final confirmation screen. This
summarizes your options selected (for example, duplicate options and field identifiers) as well as
the total number of records read from the uploaded file. Confirm this data and click Continue. This
starts the process of importing your data into the database.

■ Click Continue or Close to cancel the import of the data.

5 After the data has been imported, the Import Results screen opens.
■ Click Close or View to review a detailed report.

■ The report results can be printed or saved.

Duplicate Records
In dealing with duplicate records, the system must know how to identify duplicates. Therefore, select which
fields to use as a basis for determining if a record is a duplicate. This is unique for each module, but ends up
being a small group of primary identifying fields for that module. Select the fields to use by selecting the
checkbox next to each field. If multiple fields are selected, the system will link these with the and clause in
determining if a record is a duplicate.

For example: In the drawings module, if you select Drawing Number and User Number, both of these fields
will be compared against the existing data to determine if the record is a duplicate. If only one of the fields
match (for example, Drawing Number), the record will not be considered a duplicate.

Type Description

Allow Duplicates Any duplicates encountered will be imported into the system.
There is no danger of existing data being overwritten; how-
ever you may end up with duplicate records.

Edit Imported Fields Enables Editing of Fields


on Duplicates

Do Not Import Duplic- Duplicate records that are encountered will not be imported
ates into the system. These records will simply be skipped and
not put into the database.

Replace Duplicates Any duplicates encountered during the import process will
be replaced. This may result in existing records being over-
written by the new data so be careful when selecting this
option. This selection may not be available for all modules.

NOTE Not all modules will support all of the options. Some (for example, Budgets) will not support any of the
options.

Validating the Uploaded Data
For some of the modules, data that is uploaded to the system is not immediately imported into the database.
The data is validated before the import process. Data is checked for the following conditions:

Type Description

Lookup Values In some cases, users will be importing data on fields that must
match values on existing Lookup Tables. This is all validated
before the data is imported.

Template File Format The overall format of the template file that is uploaded is verified
to ensure that the basic integrity of the file has not changed. It
is imperative that the structure of the file remains intact.

Date Values Fields that require a date value must contain the proper type
of data.

Other Anomalies There may be specific requirements for each module that are
also validated in this step.

Depending on the type, number, and/or severity of the errors encountered, the system will either abort the
process, or bring up an error correction screen.

Critical Errors
Critical errors that are encountered will cause the import process to abort. Critical errors would be those
errors that cannot be corrected online due to either the severity or number of errors encountered.

Non-Critical Errors
If there are less than 25 non-critical errors encountered (for example, lookup values do not match, and so
on), the system will supply a screen that can be used to correct these errors online. After the errors are
corrected, the system will revalidate the data and continue with the process.
In correcting values online, the system will provide the user with drop-down selections for lookup values
that do not match. Date or other errors display in a text box.

To import drawing logs:

Specific Rules/Conditions
The drawing log has the following special rules or conditions:

■ Records marked as a revision, must have a parent drawing that is locatable within the database.

■ Revisions never replace original or parent drawings, even if replace duplicates is selected.

If a revised record is being uploaded and multiple parent possibilities exist in the database (for example,
multiple drawings with the same drawing number), the first parent potential will be used. For example, the
database will allow multiple records to exist with the same drawing number

Fields that can be Imported


In addition, the template file contains a column titled Revision that is used to flag records as revision
drawings. To identify a record as a revision, a “Y” must be entered in the Revisions column in the template
file.

■ Importing is accomplished with the Import button on the SOV Setup Headings and Heading Items tabs.

■ When using unit price SOVs, the amount field will be calculated upon import based on the Quantity
and Unit Price.

■ Leaving the Record State blank will result in Active records.

■ The Heading Items must be keyed to a Heading No. If more than one Heading has the same number,
the first one found will be used.

■ Leave Included After blank unless you want to hide the item until after a certain date.

Selecting Users Fields


The Select Users pop-up allows you to enter search criteria to locate a specific user. The availability of the

Field Description

City The city where the contact who matches the criteria is located.

Company The company name of the employee who matches the criteria.

Div. Lists the division to which the contact's company is assigned,


if applicable.

Division Enables you to select a division as part of your search criteria.


■ This criterion is available only if the client has at least one
division defined and the user is assigned to All divisions.

Main Phone The main phone number of the contact who matches the cri-
teria.

Include Only Favorite Employees: Search for employees who are listed in
your Favorites.
