Problem Definition:
Established in 2012, the Starz Cafe is located at the corner of Henry Hartley
Avenue, Chegutu. It focuses on providing breakfast and refreshments for
both working and non-working class. Despite employing about 35 people, the
manual system in place slows down productivity. This results in long lines,
poor customer service, and reduced average daily sales.
The current system relies heavily on pen and paper for recording orders and
updating menus, which is time-consuming and prone to errors. Handwritten
notes can easily be misplaced or misinterpreted, leading to order
inaccuracies and delays. Additionally, a digital calculator is used for
calculations, creating further bottlenecks and inefficiencies.

To gather data on the current system, I employed these methods interviews
and questionnaires. These approaches provided a comprehensive
understanding that is essential for a thorough analysis. I used a range of
methods, I aimed to gather perspectives which will aid in designing an
improved system based on the existing one.

Problems With Current System:


 Inefficiency in Order Processing: Manual systems often involve writing
down orders, which can lead to delays. Staff may take longer to input
orders, resulting in slower service and longer wait times for customers.
 Mistakes in taking orders or entering them into the system can occur
frequently. This might lead to incorrect orders being served, causing
customer dissatisfaction.
 Staff may spend more time managing orders and payments rather than
engaging with customers. This can affect the overall customer
experience
 Counting change and processing credit card payments may lead to
many errors being emerging this reduces customer experience.
 Training staff on a manual system can be time-consuming and
inconsistent. New employees may struggle to remember procedures,
leading to further errors.
 Customers often experience longer wait times due to the inefficiency of
manual order processing. When staff take orders by hand or rely on
verbal communication, it can slow down the entire service, leading to
frustration
 Inconsistent service quality can affect customer experiences. With
varying levels of staff experience in a manual system, some customers
might receive excellent service while others face delays or mistakes.
 Cafe inventory is not up to date which means some items can be lost.

Feasibility Study:
1. Operational Feasibility
The current manual system leads to inefficiencies, such as longer wait
times and frequent order errors. Implementing a computerized system
can streamline operations, allowing for quicker order processing and
improved inventory management, which will enhance customer
satisfaction. Staff training will be essential, but most employees are open
to adopting new technology with proper support.
2. Financial Feasibility
Initial investments for hardware, software, and training are high around
1000$ but however the potential benefits include a 20% increase in sales
within the first year due to improved service speed and accuracy. This
could lead to a return on investment within the few years to come.
3. Legal Feasibility
It investigates whether any aspect of the proposed system conflicts with
legal requirements like data protection acts and social media laws. With
this we can conclude that the system is not in any conflict with any laws,
and it will not result in any lawsuits.

Requirements specifications
These are the requirements for the development of the new system.

USER REQUIREMENTS:
 The system should have a user-friendly interface that is easy to
navigate, requiring minimal training for staff.
 It must provide reliable performance with high availability.
 Efficient resource management to ensure smooth operation of
applications.
 Support for multiple payment methods, including cash, cards, and
mobile payments.

SOFTWARE REQUIREMENTS:

 It is the interface between the application and the computer which
allows the software to execute.
 It allows the system the access various computer resources like RAM
and CPU.

 For creating the user documentation.

 Used to protect both the operating system and the software.

Black Box testing:
Black-box testing involves testing the entire program for errors using test
data. This method allows me to identify errors in the system that I might
overlook because I have knowledge of how software behaves. The individuals
performing this testing will not have any knowledge of the software’s code or
how it responds to certain data. This lack of insight eliminates potential bias
during testing.
Justification:
The main reason for using black-box testing is that the program is evaluated
based on its specifications, ensuring it behaves as expected. Different values
are entered as input variables to determine whether the system can handle
them correctly. Black-box testing will involve the use of Standard, Extreme,
and Abnormal Data:
 Standard Data tests the system under normal conditions with valid
inputs.
 Extreme Data evaluates the system's ability to handle boundary values
or limits.
 Abnormal Data checks how the system responds to invalid or
unexpected inputs.

User Documentation

To install the system, open the setup application.

The system will start to install and after installation it will launch automatically.
After installation enter the username and the password. The username is admin and
password is admin. Next click the login button.

After login you can now choose to navigate to sale or orders using the labelled
buttons.
On sales module click on new button to start the ordering process.

Next enter the order details and press the pay button.
A message is shown when order has been processed.

Now you can press the exit button and close the application.

Limitations

The system is unable to generate order id’s automatically, which results in


the user having to enter order id manually which can slow down the orders
manually. Additionally, the system is unable to add new menu items without
the system analyst which can reduce the system’s usability.
The system also cannot be integrated on Linux and Macintosh operating
systems reducing the system’s compatibility. The system also lacks platform
for automatic update which may be crucial for fixing bugs.

Opportunities for future developments


With the right resources and time, the system analyst will implement new
features to further improve the software. These include a menu for modifying
menu items or removing menu items. Online platforms can also be put in
place to make the system more flexible, user friendly to the customers and
reduces the time for order processing.
