Our Hosted BUYERS Program is designed to offer buyers an exceptional experience, complete with VIP
treatment, premium hospitality, seamless logistics, and curated networking opportunities. However, to
uphold the integrity of the program and ensure that all stakeholders—buyers, exhibitors, and
organizers—derive true value from it, we have established certain expectations.
Given that we are investing in buyers’ participation by covering their accommodation, meals, partial
airfare, and exclusive privileges, it is only fair that they, in return, commit to actively engaging in the fair.
This includes attending a set number of meetings per day and participating in key networking events
like the Gala Dinner (if any).
These requirements are not meant to be restrictive but rather to foster meaningful business
interactions, ensuring that exhibitors—who invest significantly in participating - have the opportunity to
connect with serious buyers.
Ultimately, this structure benefits everyone involved: Buyers gain exclusive access to industry leaders
and valuable suppliers, exhibitors maximize their opportunities to secure business, and the fair
continues to grow as a trusted global platform. By maintaining these standards, we ensure that the

Your Role in This Elite Program – A Mutual Commitment
As a Hosted Buyer, you are part of an exclusive circle of industry leaders. To maintain the prestige
and integrity of this program, we require active engagement to ensure meaningful interactions
that drive business success.
Participation Requirements
01 Business Verification & Documentation:
• Buyers must provide their company’s annual import volume, Trade License, and Tax
Registration Certificate for verification.
• A No Objection Certificate (NOC) from the company, confirming participation, is
required on official company letterhead, signed, and stamped by an authorized higher
authority (CEO/Director/Owner).
• Documents must be submitted with the application form for timely processing. Failure
to provide valid documentation may result in disqualification.
02 Media Consent and Promotional Participation
As part of the Hosted Buyers Program, each participating buyer provides full consent to the
following:
• Photography and Videography Consent: Buyers agree to be photographed and
recorded via video during the course of the event, including but not limited to exhibition
visits, networking sessions, and official functions.
• Pre-Event Testimonial Requirement: Prior to attending the fair, each buyer will be
requested to submit a short video & written testimonial sharing their expectations from
the event, what they are looking forward to sourcing, and their reason for participating.
• On-Site Testimonial Commitment: While at the fair, buyers agree to provide a brief
on-site testimonial about their experience at the event, their interactions with exhibitors,
and the value they gained from attending.
• Usage Rights: By participating, buyers grant International Apparel & Textile Fair the right
to use their name, image, video footage, and testimonials in event-related marketing
and promotional materials across print, digital, social media, and any other platforms
deemed appropriate by the organizer.

• No Additional Compensation: Buyers understand that no additional compensation will
be provided for the use of such media, as this is considered part of their participation
under the Hosted Buyers Program.
• As part of this cross-promotional effort, the buyer’s company, retail store, or brand may
also be featured across our marketing channels, offering visibility and exposure to a
global trade audience — making it a win-win collaboration for both parties.
03 Dedicated Meeting Commitments:
• Buyers must attend at least 10 pre-scheduled meetings per day, each resulting in
optimi ed business engagements
• A well-balanced schedule maximizes efficiency within the 8-hour event duration,
allowing time to explore the fair and discover new opportunities.
• Once a meeting is scheduled, cancellations are not permitted, as exhibitors rely on
these engagements for business growth.
04 On-Site Presence & Active Engagement
• Buyers consent to being added to a dedicated WhatsApp coordination group created
solely for on-ground communication during the fair. This group will be used for logistical
updates such as transport, schedule changes, and event reminders. Buyers are required
to provide their active WhatsApp number prior to their arrival in Dubai. The group will be
strictl for coordination purposes and will be dissol ed once the fair concludes.
• Hosted Buyers must be present at the fair at the time of the scheduled meetings, on all
three days (November 17th - November 19th, 2025).
• Attendance at the Gala Dinners (if any) is mandatory, offering exclusive networking
opportunities with industry leaders.
• To ensure program integrity, random verification calls may be conducted to confirm
participation.
05 Travel & Accommodation Guidelines:
• Hotel Check-in & Check-out: Check-in on November 16th, 2025, from 3:00 PM onwards,
and check-out on November 19th, 2025, after breakfast before heading to the fair.
Luggage storage will be available at the hotel’s concierge.
• Airfare Reimbursement Protocol
Upon successful completion of all Hosted Buyers Program requirements, buyers are
eligible for partial airfare reimbursement. To initiate this:
▪ Buyers must submit a copy of their e-ticket or travel voucher, along with the
corresponding invoice or receipt, clearly indicating the amount paid.
▪ These documents must be emailed to buyers@[Link] for
review and processing.
▪ The reimbursement will cover up to USD 250, or the actual cost of a one-way
economy class ticket to Dubai, whichever is lower.
▪ All documents must be submitted within 7 days of the conclusion of the fair to qualify
for reimbursement.

▪ Reimbursements will be made via bank transfer within 15 working days of receiving
and verifying the required documents.
▪ Reimbursements are conditional upon full participation in the program, including
attendance, scheduled meetings, and submission of pre- and post-event
testimonials.
• Arrival in Dubai: Buyers must arrive no later than November 16th, 2025 to comply with
the event schedule.
• Departure from Dubai: Flights should be scheduled after 6:00 PM on November 19th,
2025, to accommodate the full event duration.
• Airport transfers will not be provided; buyers must arrange their own transportation to
and from the airport.
• Additional nights at the hotel will be at the buyer’s expense, but a preferential rate
(subject to availability) will be offered with a payment link for reservations.

06 Program Integrity & Penalties for Non-Compliance:
• Misuse of the program, such as failure to attend scheduled meetings, falsification of
documents, or non-compliance with event rules, may result in disqualification, legal
obligation to cover expenses, and potential blacklisting from future IATF events.
• Each case of non-compliance will be reviewed individually, with penalties applied based
on the severity of the issue.
07 Confirmation of Participation & Program Changes:
• Participation is subject to approval by IATF management, and acceptance is at the sole
discretion of the organizers.
• Accepted buyers will receive confirmation details, including meeting schedules and
relevant participation information, within 20 business working days from the
application date.
• The organizers reserve the right to modify these terms at any time. Significant changes
will be communicated, and continued participation implies acceptance of these
updates.

08 Program Exclusions:
• Cancellation Policy: If you need to cancel your participation, please inform us in writing at
least 25 Calendar Days before the event starts. Cancellations made after this period may
result in forfeiting any fees paid. Send your cancellation notice to Email:

• Flights and Airport Transfers: Buyers must arrange their own flights and transportation
to/from the hotel. However, they can be assured that the hotel selected for their stay will
be centrally located between the airport and the venue, with economical commute fares
and easy access to taxis and ride-hailing apps.
• Meals taken outside of the scheduled program activities are not included and will not be
reimbursed by the organizers

• Hotel extras: Mini-bar, room service, upgrades, and personal expenses - Buyers will be
responsible for any damage caused to hotel property during their stay. Any such charges
must be settled directly with the hotel upon check-out.
• Unspecified transport: Any transportation not mentioned in the invitation.
• Visa & travel insurance: Buyers are responsible for their visa and insurance.

As part of the Hosted Buyers Programme, approved applicants will be eligible for a one-way
ticket allowance reimbursement of either the full ticket cost or up to a maximum of USD 250,
whichever is lower. To facilitate this reimbursement, please provide your complete and
accurate bank details in the section below. Refunds will be processed within 15 working days
after the successful completion of the programme during the fair.
Please note that only applicants who receive an official selection confirmation from our team
should proceed with booking their ticket. Once selected, you will be required to email us a
copy of your confirmed booked ticket in order for us to make the necessary arrangements for
our arri al including hotel accommodation meals and other related facilities.
