ASSIGNMENT 5: ORDER HANDLING & PERFORMANCE GROWTH

Part A: Complete Order Workflow

The standard operational workflow for managing an incoming order through the seller center dashboard follows
a structured sequence to guarantee fulfillment accuracy:

1. Order Generation (Pending Stage)

The system registers the customer's purchase entry, holds inventory stock, and transfers the item sheet
directly into the merchant's operational panel.

2. Document Printing & Verification

The seller verifies product sizing variations, downloads the required inventory invoice sheet, and prints
out the unique barcoded customer shipping labels.

3. Packaging & Quality Control (Ready to Ship Stage)

The physical item undergoes a quick damage inspection, is securely boxed using protective bubble
materials, and is sealed. The status is modified to "Ready to Ship".

4. Logistics Hand-off (Shipped Stage)

The parcel is delivered directly to a local logistics drop-off station or picked up by a field rider, updating
the tracking database to "Shipped".

5. Delivery & Financial Reconciliation

The delivery carrier hands the order box to the customer, collects payment fees (for COD transactions),
and the system processes the payout balance to the merchant's account.

Part B: Three Return Reasons and Solutions

Managing returns properly is essential to shield store margins. Below are three common customer return
reasons encountered in the tools and hardware category alongside operational solutions:

• Reason 1: Incorrect Product Size or Sizing Mismatch: Customers frequently purchase incorrect
dimensions (e.g., ordering a 4-inch cutting wheel for a 4.5-inch grinder machine setup).
Solution: Build high-contrast, bold sizing infographic visuals directly into the main product image library.
Clearly label compatibility dimensions in the product title to stop buyer mistakes before checkout.
• Reason 2: Damaged or Broken Item Delivered: High-density or fragile items cracking due to improper
sorting behavior inside courier transport vehicles.
Solution: Implement multi-layer bubble wrap coverings and transition from single-layer poly bags over to
double-walled corrugated shipping box shells for all outbound items.

• Reason 3: Item Not Matching the Online Description: Buyers claiming that the received product
material, thickness, or weight parameters vary from the text displayed on the app store page.
Solution: Update product details to reflect true measurements. Use realistic mobile camera photos in the
description rather than highly edited supplier catalog images.

Part C: Operational Impact of Seller Cancellation Rate

The seller-initiated cancellation rate serves as a critical indicator of a store's supply health. Allowing this metric
to slip has severe consequences:

• Suppression of Search Visibility: High cancellation rates damage the storefront's standing with platform
ranking filters, causing a sharp drop in organic product search impressions.

• Campaign Participation Exclusion: Platforms block shops with cancellation rates exceeding 1% to 2%
from entering high-traffic flash sales or official shopping festival events.

• Financial Penalties and Account Deactivation: Continued cancellations lead to direct financial penalty
fees per order or automatic daily order volume limits, eventually resulting in permanent store suspension.

Part D: Strategy to Improve Shop Rating Above 4.8

Pushing a store's customer feedback rating above a premium 4.8 average requires a deliberate, customer-first
service approach:

• Implement a Strict Pre-Shipment Quality Check: Every hardware order must be physically inspected
before packing. This ensures zero rusty components, missing items, or cracked edges are sent out, which
naturally cuts down on poor reviews.

• Insert Professional Customer Gratitude Cards: Place a clean, politely written thank-you card inside
every shipping box. Include helpful instructions on how to use the item, along with a polite call-to-action
inviting the buyer to share a positive 5-star review on the app if they are happy with the quality.

• Proactive Post-Fulfillment Follow-ups: Use the dashboard messaging system to check in with buyers after
delivery. Ask if the product arrived safely, and resolve any hidden shipping issues immediately before the
customer decides to post a negative public complaint on your listing page.
