Subject: Representation Regarding Improper Hostel Management and Request for Revision of Hostel
Fees
Respected Sir,
We, the undersigned [Link] girl students of COEP Technological University, wish to bring to your kind
attention several serious concerns regarding the hostel admission process and the management of the
girls' hostel for the current academic year. The manner in which the process has been conducted has
caused unnecessary stress, confusion, and inconvenience to students.
The issues faced by us are as follows:
comfort, privacy, hygiene, and overall living conditions. Managing personal belongings and
maintaining a healthy environment under these circumstances is extremely difficult.
1. No proper instructions or clear guidelines were provided regarding the hostel admission
process, leaving students uncertain about the procedure.
2. The hostel fees have been increased despite no improvement in the facilities provided. On the
contrary, several essential facilities have been reduced.
3. The hostel wardens themselves had little or no information regarding the admission process,
making it difficult for students to obtain accurate guidance.
4. Important decisions were taken at the last moment without prior communication, forcing
students to face unnecessary difficulties.
5. The official hostel notice clearly mentioned 9th July as the date of room allotment. However,
the allotment process was conducted on 8th July without any prior notice, causing many students
to miss the opportunity to participate fairly.
6. During the final few minutes of the allotment process, students were suddenly instructed to
form groups of four for accommodation in rooms originally designed for three occupants. Those
who could not form such groups had their preferences assigned without adequate consultation.
7. As per the current arrangement, up to nine students are expected to share a single unit with
common washroom and bathroom facilities, without any additional cupboards or storage space.
Such overcrowding severely affects students'
Despite these compromises, students are being asked to pay the same or even higher hostel fees. This
is neither reasonable nor justified.
We therefore request the hostel administration to either provide the facilities and accommodation
standards that justify the revised hostel fees or reduce the hostel fees proportionately.
If the revenue generated from a room accommodating three students is approximately ₹1.5 lakh, then
under the new arrangement, where four students are accommodated in the same room, the total amount
collected from that room should remain approximately ₹1.5 lakh, with the hostel fee per student reduced
proportionately. It is unfair for students to pay the same or higher fees while receiving significantly
reduced space and facilities.
We sincerely request your kind intervention in this matter and urge the administration to review the
hostel management practices, ensure transparency in the admission process, and revise the hostel fee
structure in a fair and equitable manner.
We hope our genuine concerns will be considered sympathetically and appropriate action will be taken
at the earliest.
