Oracle EBS HRMS module

Define HRMS
Oracle HRMS (Human Resources Management System) is a part of Oracle EBS that helps
companies manage everything related to their employees — from hiring to retirement.

It’s like a digital system that stores employee data and helps HR teams do their work
faster and more accurately.

Creating HRMS Responsibility


1)Log in to Oracle EBS.
2)Navigate to System AdministratorSecurity  Responsibility Define

3)Assigning this created responsibility to a user - Save the data.


4)Switch the responsibility to XX_HRMS responsibility and you will get the following
menu.

Steps to Create and Set Up Oracle HRMS


Step 1: Create a Business Group

A Business Group is the highest level in the HRMS organization hierarchy. It separates
data for different companies or divisions within Oracle EBS. Each business group can
have its own employees, jobs, positions, payrolls, and HR policies.

Navigation:

XX_HRMSWork Structures  Organization Description

Click New (A) (button)

For the above form ,we need to fill details

1)Name.

2) location.

3)organization classification

1)Name : It is a user defined name (XX_LOCATION)

2) Location: Locations represent physical places like offices or branches.

Navigation

XX_HRMSWork Structures Location.

Enter Location details

Note : If you got an error like this , at the time of creating location .

FRM-40735: ON-INSERT trigger raised unhandled exception ORA-29273

Cause: IRC: Geocode Host profile option has been set to an inaccessible URL
Solution: Clear or correct the URL in the IRC: Geocode Host profile option

Navigate to System Administrator > Profile > System

In the Profile Name field, enter: IRC: Geocode Host

Click Find.

In the Site level field, remove the URL (delete the value).

Click Save.

Then you will not get this error, at the time of creating location.

3) Organization Classification : Organization Classification is a setting in Oracle HRMS


that tells the system what type of organization you are creating and how it should
behave.
When you create a Business Group, you must assign it a classification to let Oracle know
that this organization is meant to be the top-level HR structure. This classification
activates HR features like employee management, jobs, positions, and payroll.

when you create a Business Group, one of the required fields is Business Group
Classification. This classification tells Oracle what kind of organization the business group
represents in the HR context.

Business Group Classification –

The Business Group Classification is a label that defines the purpose or role of the
organization you're creating. It helps Oracle EBS understand how to treat the
organization in terms of HR functionality.

When you create a Business Group in Oracle HRMS, you also need to define several Key
Flexfields. These flexfields are essential for organizing and categorizing HR data like jobs,
positions, grades, and employee groups

What Are Flex fields in Oracle HRMS?

Flex fields are customizable fields that allow you to define your own structure for storing
data. In HRMS, they help you manage things like job titles, employee categories, and
organizational roles.

Here are the main flex fields you need to define at the time of defining Business Group
Classification

Flexfield Name Purpose

Job Flexfield Defines job titles and categories (e.g., Software Engineer,
HR Manager).

Position Flexfield Defines specific roles within jobs (e.g., HR Manager in


Hyderabad Office).

Grade Flexfield Defines employee levels or ranks (e.g., Grade A, Grade B).

People Group Categorizes employees (e.g., Permanent, Contract, Intern).


Flexfield

Cost Allocation Used for financial tracking of employee costs.

Competence Defines skills, qualifications, and competencies of


Flexfield employees.
Navigate to Flex field Setup

Application DeveloperFlexfield Key Segments

i)Job Flexfield
 Search for Job Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information

Click Segments (button)

Click Value Set (button) and enter following information


 Save and close the screen.
 Enter the Value Set name in the Value Set field on segments Summary screen.
 In the 2nd lines enter following information

Click Value Set (button) and enter following information


Save the data and click Edit Information (button) and enter the following information

Enter the Value Set name in the Value Set field on segments Summary screen.

 Save and close the screen.


 Enable Cross-Validation Segments, Allow Dynamic Inserts and Freeze
 Flexfield Definition checkboxes.
ii) Position Flexfield

 Application Developer FlexfieldKeySegments


 Search for Position Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information

Click Segments (button),


 Click Value Set (button) and enter following information,

 Save and close the screen.


 Enter the Value Set name in the Value Set field on segments Summary screen.
 In the 2nd lines enter following information
 Save and close the screen.
 Enable Allow Dynamic Inserts and Freeze Flexfield Definition checkboxes.

iii) Grade Flexfield


 ApplicationFlexfieldKeySegments
 Search for Grade Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information
 Save and close the screen.
 Enable Freeze Flexfield Definition and Allow Dynamic Inserts checkboxes.

iv) People Group Flexfield


 Application DeveloperFlexfieldKeySegments
 Search for People Group Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information
v) Cost Allocation Flexfield
 Application DeveloperFlexfieldKeySegments
 Search for Cost Allocation Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information.

V1) Competence Flexfield

 Application DeveloperFlexfieldKeySegments
 Search for Competence Flexfield.
 Insert a new record by selecting New from the toolbar.
 Enter the following information.
 Save and close the screen.
 Enable Freeze Flexfield Definition checkbox.
