EXECUTIVE SUMMARY

The project titled "Office Management and Administrative Practices at S R Polymers" was
undertaken to understand the practical functioning of a business office environment. The
internship was conducted for a period of one month at S R Polymers, a leading manufacturing
firm in the plastic industry.

The primary objective was to bridge the gap between theoretical knowledge gained at Sitaram
(Babanbhau) Anandramji Baheti College and practical application in the corporate world.
During the internship, I was involved in various activities such as data entry, file management,
billing, inventory tracking, and assisting in daily administrative tasks.

CHAPTER 1: INTRODUCTION

1.1 Introduction to the Study


In today’s competitive and dynamic business environment, management
education plays a crucial role in preparing students for professional careers.
Management education is not limited to classroom teaching and theoretical
concepts; rather, it emphasizes the practical application of knowledge in real
organizational settings. The integration of theory with practice helps
students understand how businesses operate in real-life situations and equips
them with skills required to face professional challenges confidently.

As a student of Second Year Bachelor of Commerce (S.Y. [Link]) at Sitaram


(Babanbhau) Anandramji Baheti College, it is an essential part of the
academic curriculum to gain practical exposure through project work and
internships. Such exposure helps in bridging the gap between academic
learning and professional expectations by allowing students to observe,
analyze, and participate in actual business processes.

This project report is based on my one-month internship at S R Polymers,


where I worked as an Office Management Intern. The project documents my
observations, experiences, and learning outcomes related to office
management and administrative practices followed in the organization. It
also highlights how theoretical concepts learned during the course are
applied in day-to-day office operations.

The office is often described as the nerve center of an organization because


it serves as the hub of information, coordination, and control. All major
activities such as planning, communication, record keeping, billing,
correspondence, and decision implementation are routed through the office.
Efficient office management ensures the smooth flow of information between
departments, timely decision-making, and effective coordination of
resources.
During my internship, I had the opportunity to observe and actively
participate in various office activities such as documentation, filing and
indexing, billing and invoicing, data entry, communication with clients and

suppliers, and coordination with production and sales departments. This
practical exposure helped me understand how effective administrative
practices contribute to organizational efficiency, accuracy, discipline, and
overall business performance, particularly in a manufacturing organization.

1.2 Need and Importance of the Study


The transition from classroom learning to the corporate or industrial
environment often presents significant challenges for students. While
theoretical knowledge provides a strong foundation, it does not fully prepare
students to handle real-life business situations unless supported by practical
exposure. Therefore, the need for this study arises from the necessity to
understand how theoretical concepts of commerce and management are
implemented in actual organizational settings.
The study was undertaken to gain a clear understanding of:

1. The actual workflow and day-to-day functioning of an administrative


office.
2. The practical application of theoretical concepts such as filing systems,
indexing, record management, documentation, and business
communication.
3. The administrative and operational challenges faced by
manufacturing organizations in managing office records,
coordination, and information flow.

From an academic point of view, this study helps reinforce classroom


learning by connecting theory with practice. From a professional
perspective, it provides valuable exposure to office systems, accounting
procedures, and workplace discipline.
The importance of this study also lies in its contribution to career
development. For a commerce graduate aspiring to work in the fields of
accounting, administration, management, or finance, practical knowledge of
office operations is indispensable. This study provides a strong foundation in
office administration, enhances problem-solving abilities, and improves
adaptability to professional work environments.

1.3 Objectives of the Study
The objectives of the study define the purpose and direction of the project
work. The objectives are classified into primary and secondary objectives
for better understanding.
Primary Objective

• To gain practical exposure and hands-on experience in office


administration and office management practices in a manufacturing
organization.

Secondary Objectives

• To understand the organizational structure and administrative setup


of S R Polymers.
• To study office systems, procedures, and routines followed in daily
operations.
• To learn billing and invoicing procedures using accounting software.
• To assist in maintaining daily attendance records, stock registers, and
office documents.
• To develop interpersonal, communication, and professional skills
through interaction with staff, clients, and suppliers.
• To understand coordination between the office, production, and sales
departments for smooth functioning of the organization.
• To gain familiarity with office discipline, time management, and

1.4 Scope of the Study


The scope of the present study is limited to the administrative and office
management activities of S R Polymers. The study covers a period of one
month, from [Start Date] to [End Date], during which I was actively involved
in office-related tasks as an intern.

• Front office activities such as handling inquiries, receiving visitors,


documentation, and correspondence.

1.5 Limitations of the Study


Despite sincere efforts to make the study comprehensive and accurate, it is
subject to certain limitations, which are as follows:

1. Time Constraint:
The duration of the internship was limited to one month, which
restricted an in-depth study of all administrative and managerial
functions.
2. Confidentiality:
Certain financial records, client details, pricing policies, and internal
documents were confidential in nature and could not be disclosed or
included in the project report.
3. Limited Scope:
The study focuses mainly on office management and administrative
practices and does not cover technical, production, or engineering
aspects of the manufacturing process in detail.
4. Dependence on Observation:

CHAPTER 5: WORK PERFORMED (PRACTICAL TRAINING)

5.1 Overview of Daily Routine


My daily routine as an intern at S R Polymers was well-structured and carefully planned to
provide maximum exposure to office management and administrative practices. The fixed
schedule helped me understand the importance of time management, punctuality, discipline,
and coordination in a professional office environment.

Each working day began with reporting to the office on time and preparing myself for the
assigned tasks. The routine ensured that work was completed systematically and without
confusion, while also allowing me to observe how different departments functioned together.

The daily schedule was as follows:


• 9:30 AM – 10:00 AM:
Reporting to duty, marking attendance, checking official emails, reviewing daily
instructions from the Office Manager, and organizing the workstation for the day’s
tasks.
• 10:00 AM – 1:00 PM:
Performing data entry work, updating attendance registers and stock records, verifying
documents, and assisting the Office Manager with routine administrative activities.
• 1:00 PM – 2:00 PM: Lunch Break.
• 2:00 PM – 4:00 PM:
Assisting the accounts department in billing and invoicing work using Tally accounting
software and understanding GST-related entries.
• 4:00 PM – 5:30 PM:
Filing documents, handling phone calls from customers and suppliers, coordinating
with departments, and preparing the daily work report.

This structured routine helped me develop professional work habits, a sense of responsibility,
and the ability to manage multiple tasks efficiently within a fixed time frame.

5.3 Billing and Invoicing


Billing and invoicing were among the most important learning areas during my internship. I
assisted the accounts department in preparing and generating sales invoices for goods
dispatched to customers.

• Receiving the dispatch challan from the production or sales department.
• Verifying details such as item name, quantity, rate, HSN code, and GST applicability.
• Entering the verified data into Tally Prime software.
• Reviewing the invoice before final printing or sharing with the customer.

• Creation of new customer ledgers in Tally.
• Application of appropriate GST rates, including CGST and SGST.
• Understanding the structure, format, and legal importance of tax invoices under GST

During the internship period, I successfully assisted in generating more than 50 sales invoices.
This practical exposure enhanced my confidence in using accounting software and
strengthened my understanding of billing procedures and taxation concepts.

5.4 Inventory Management Support


Inventory management is a critical function in any manufacturing organization, as it directly
affects production continuity and financial performance. During my internship, I assisted in
maintaining accurate inventory records of finished goods and raw materials.

• Physically verifying stock available in the godown and matching it with system records.
• Identifying low-stock items and informing the Office Manager or Factory Manager for
timely re-ordering.
• Maintaining Bin Cards for selected high-value items to track receipts, issues, and
balance stock.

This experience helped me understand the importance of inventory control in preventing stock
shortages, overstocking, wastage, and financial losses.

Effective communication is a key function of office management. As an Office Management
Intern, I played an important role in facilitating both internal and external communication.

smooth workflow.

Learned voucher entry for Payment, Receipt, Contra, and Sales vouchers, and
understood the basic accounting cycle followed in the organization.
This practical exposure strengthened my technical skills and prepared me to handle realworld

Billing and invoicing activities contributed around 26–27%, while filing and administrative
work accounted for nearly 20%. Communication and coordination activities made up the
remaining 13–14% of the work schedule.

Interpretation:
This distribution clearly shows that data handling and documentation form the core of office
management practices. The significant time spent on billing also highlights the importance of
financial accuracy and compliance in business operations. However, comparatively lower time
spent on communication suggests scope for improving coordination efficiency through digital
tools.
2. SWOT-Based Analytical Summary
A structured SWOT analysis was conducted to evaluate the office management system. Each
category—Strengths, Weaknesses, Opportunities, and Threats—was found to have an equal
number of key factors identified.

are managed manually, leaving scope for technological improvement.

There is significant scope for modernization through digital tools, automation, and staff
training. Such improvements can enhance efficiency, accuracy, and competitiveness in the long
run.

developed a clear understanding of how an office functions as the backbone of an
organization. The experience reinforced the fact that office management is not
limited to routine clerical work but plays a strategic role in ensuring the smooth
flow of information, coordination among departments, and effective
implementation of managerial decisions.

Working closely with the Office Manager, accounts staff, and other employees
helped me understand the importance of teamwork, discipline, responsibility, and
adherence to organizational procedures. The exposure to accounting software such
as Tally enhanced my technical skills and provided practical knowledge of billing
systems, GST compliance, and basic accounting processes. Additionally, the use of
MS Office tools strengthened my computer proficiency and analytical ability.

The internship also contributed significantly to my personal and professional
