1. Introduction
Welcome to the GOTHOMIS - NHIF Integration User Manual. This guide is written for healthcare staff who use the Government
of Tanzania Health Operations Management Information System (GOTHOMIS) at their health facilities. You do not need
advanced computer skills to follow this manual the instructions are written in simple, step-by-step language.
GOTHOMIS is the national health information system used across Tanzania to manage patient records, services, and billing.
The National Health Insurance Fund (NHIF) is Tanzania's main health insurance scheme. When these two systems work
together, your facility can verify patient insurance cards, get approval for services, and submit claims to NHIF all without
leaving GOTHOMIS.
📌 Who Should Use This Manual? This manual is for receptionists at registration point, clinical officers, nurses, and any
other staff who handle NHIF insured at a GOTHOMIS enabled facility.

faster by NHIF with minimal or non claims rejection.

Patient Registration Registers patients and links their NHIF card to their record.
NHIF Card Verification Checks whether a patient's NHIF card is valid and active.
NHIF Setup/Configuration Manages item mapping, user mapping, and NHIF system credentials.

Different staff members have different levels of access in GOTHOMIS . Your role determines what you can see and do in the
system. Below are the main roles involved in the NHIF integration.

permission. Contact your System Administrator to request access.
5. Step-by-Step Instructions
This section walks you through every key task in the GOTHOMIS - NHIF integration. Each task has numbered steps and notes
to help you complete it correctly.
5.1. NHIF Card Verification
When a patient arrives and says they have NHIF insurance, you must verify their card before providing services. This confirms
the card is valid and the patient is currently covered. Membership verification can be done by using card number of using
biometric.
📋 Before You Start: You need the patient to already be registered in GOTHOMIS, and you need their NHIF card number or
membership number. The system must have an active internet connection.
Open your web browser and go to the GOTHOMIS login page. Enter your username

Search for the patient by name, patient ID, or phone number. Click on their name to

A green message means the card is VALID and the patient is covered. A red message

not valid.
7 Save the Verification If valid, click 'Confirm' or 'Save' to record the verification result in the patient's file.
⚠ Warning: Never skip card verification. If you bill NHIF for an unverified or expired card, the claim will be rejected and your
facility will not be paid.

📌 Note: If NHIF rejects an approval request, do not re-submit immediately. Check the reason displayed, correct any errors
(e.g., wrong ICD code), and try again.
5.3. Claims
A claim is the request your facility sends to NHIF asking to be paid for services you have delivered to an insured patient.
GOTHOMIS allows you to create, submit, and review claims.
5.3.1. Submitting a Claim

6. NHIF Setup/Configuration
Before the NHIF integration can work at your facility, a System Administrator medical officer incharge must complete or a
one-time setup. This section covers three configuration tasks: Item Mapping, User Mapping, and NHIF Credentials. These
settings must be correct for the integration to function.
🔒 Who Does This? Only System Administrators or staff with configuration permissions/ medical officer incharge should
perform these steps. If you are not an administrator, please hand this section to your IT officer.
1 Open NHIF under insurance From the main menu, go to Insurance>NHIF> Item Mapping.

⚠ Important: Claims submitted by an unmapped user will be rejected by NHIF. Ensure all active clinical staff are mapped
before going live.

9. Frequently Asked Questions (FAQ)
Q: What do I do if the NHIF card verification screen is not showing in GOTHOMIS ?
A: This usually means your user account does not have permission to access the NHIF module. Contact your System
Administrator to check and update your user permissions.
Q: A patient says their card is valid, but GOTHOMIS says it is invalid. What should I do?
A: Ask the patient to confirm their card number again. Check for common mistakes like the letter 'O' vs the number '0'.
If the card number is correct and the card was recently renewed/created, the NHIF system may not yet be updated ask
the patient to contact NHIF's helpdesk.
Q: Who do I contact if there is a problem with the NHIF integration that I cannot resolve?
A: First, contact your facility's System Administrator or IT officer. If the issue is on NHIF's side (e.g., their system is
down or rejecting valid cards), contact the NHIF national helpdesk. If the issue is with GOTHOMIS software, contact
your GOTHOMIS system support team.
