TEXT PROCESSING SOFTWARE

Text processing software, like Microsoft Word, enables users


to create documents, edit text (inserting, deleting, and modifying),
and save files electronically. To manage a document, you can also preview it for
printing and then send it to a printer using the "File" menu. This software
provides tools for formatting, spell checking, and more, making it versatile for
professional and personal use.
• Start a new document: Open the software and select "File" > "New" to
start a blank document or choose a template.
• Save your work: To save, go to "File" > "Save" or "Save As." Give your
document a name and choose a location. The file will be saved with an
extension like .docx.
• Save frequently: Use the "Save" button or the shortcut key combination
(Ctrl + S) to save your progress often.

Editing a document

• Insert text: Simply move your cursor to where you want to add text and
start typing.
• Delete text: Use the "Backspace" key to delete characters to the left of
the cursor or the "Delete" key for characters to the right. To delete a
block of text, select it and press "Delete".
• Copy and paste: Select the text you want to move, copy it, and then
paste it into a new location.
• Check for errors: Use the built-in tools for spelling and grammar checks.

Previewing and printing a document


• Preview: Before printing, go to "File" > "Print." The print preview will
show you exactly how your document will look on paper.
• Adjust settings: In the print dialog box, you can select your printer,
choose the number of copies, set the page range, and adjust other
options like paper size and orientation (portrait or landscape).
• Print: Once you are satisfied with the preview, click the "Print" button to
send the document to the printer.

Text formatting

• Font styles and size: Change the font (e.g., Arial, Times New Roman) and
size of your text.
• Text emphasis: Apply bold, italics, or underline styles to highlight words
or phrases.
• Text color and highlighting: Change the color of the text or use a
highlight color to make it stand out.
• Alignment: Align text to the left, right, center, or justify it to create a
clean block of text.
• Spacing: Adjust the line spacing and indentation for paragraphs.

Layout and page formatting

• Page layout: Control settings like margins, page orientation, and


headers/footers.
• Tables: Create and edit tables to organize information visually.
• Inserting elements: Add images, links, and other elements from different
sources into your document.
• Templates: Use pre-designed templates to quickly create documents like
resumes, letters, or reports.

Steps to Insert Graphic Elements:

1. Open your document in Microsoft Word.


2. Navigate to the Insert tab on the top ribbon.
3. Select the desired graphic tool from the Illustrations group:

o Pictures: Insert images saved on your computer or online.


o Shapes: Choose from basic lines, arrows, geometric shapes, and
flow chart symbols to draw simple diagrams or add visual
elements.
o Icons: Insert scalable vector icons (in newer versions).
o SmartArt: Add pre-formatted graphics for lists, processes, cycles,
hierarchies, etc., where you can enter text directly into the shapes.
o Chart: Insert various chart types (bar, pie, line, etc.) by linking
them to data in a small, embedded Microsoft Excel window.

4. Manipulate the inserted graphic by resizing, moving, or applying


formatting options (colors, shadows, text wrapping) using the handles
and the temporary Format or Design ribbons that appear when the
graphic is selected.

Bookmarks, cross-references, and hyperlinks are linked through the "Insert"


tab, while footnotes and endnotes are added from the "References" tab.
Bibliographies are also generated from the "References" tab after citations
have been added.

Creating specific features-

• Bookmarks:
o Select the text or object you want to mark.
o Go to the Insert tab, click Bookmark, and give it a name.
o Click Add.
• Cross-reference:
o Place your cursor where you want the cross-reference to appear.
o Go to the Insert tab, click Cross-reference.
o Choose the "Reference type" (e.g., bookmark, heading, footnote)
and select the specific item.
o Check "Insert as hyperlink" if desired.
o Click Insert.
• Footnotes and Endnotes:
o Click the "References" tab.
o Select Insert Footnote or Insert Endnote.
o Type your note. The program will automatically add a reference
mark in the main text.
o To return to editing, double-click the reference mark in your note.
• Hyperlinks:
o Insert a cross-reference as a hyperlink or select existing text.
o Right-click the text and choose Link or Hyperlink.
o Choose where the link should point, such as another document or
a web page.
o Click OK.
• Bibliography:
o Go to the "References" tab.
o Click Bibliography and choose a style to create a bibliography from
the sources you have cited in your document.

Advanced and efficiency-focused features

• Templates: Pre-designed documents for various needs, such as resumes


or reports, to ensure consistency and save time.
• Collaboration: Real-time co-editing, commenting, and tracking changes
to facilitate teamwork.
• Document management: Features like auto-save, version history, table
of contents, and indexing help in organizing and managing large
documents.
• Automation: Macros and mail merge automate repetitive tasks for
creating mass mailings or labels efficiently.

Integration and accessibility

• Multimedia insertion: Ability to insert images, tables, and other


elements from different software.
• Cloud-based access: Cloud options allow for access and collaboration
from various devices without being tied to a specific computer.
• Cost-effectiveness: Many tools are available for free or at a lower cost,
with cloud-based versions reducing hardware expenses.
