- Initial pitch made to the Principal.
- Idea approved in principle → execution begins in January (post exams & festive season).
January – Week 1
- Kick-off: The initiative begins.

- Support Team: 3–5 senior students (data entry, phone outreach, event support).
- Deliverables: Alumni Contact Form draft + Excel Database setup.
January – Week 2
Alumni Contact Form rolled out via teachers. Questions:
Name (with maiden name if applicable).
Batch / Year of Graduation.
Current Profession / Designation.
Company / Organisation.
Sector (Finance, Tech, Creative, Startups, Healthcare, etc.).
City / Country of Residence.
Contact Number.
Email.
LinkedIn Profile (optional).

Open to Mentorship? (Yes/No).

January – Week 3
- Database building continues.
- Outreach Team trained on standardised scripts.
Cold Call Script:

This will also allow us to invite you for the Alumni Meet in March.

January – Week 4 & February – Week 1
- Full-scale outreach begins → cold calls + WhatsApp messages sent to alumni.
- Database updates daily (Excel).
February – Week 2 & 3
- Database is consolidated.
- Alumni sorted by sector.
- Soft “Save-the-Date” message for March reunion sent.
March – First Alumni Meet
Event Flow:
- Welcome address by Principal.
- Batch-wise introductions.
- Ice-Breaker 1: Speed Networking (2 min rotations).
- Ice-Breaker 2: Guess the Batchmate (school photos on screen).
- Open Networking with refreshments.
- Launch of Alumni Directory (compiled from Excel).
- Closing: Announcement of regular alumni events.
April onwards (Post-event)
- Event photos + highlights shared.
- Alumni WhatsApp/LinkedIn groups kept active.
- Monthly spotlight (success stories, job openings).
- Alumni invited for mentorship & school talks.
Logic of this Sequence
- Start in Jan: Alumni are free from exams/festivities, more likely to respond.
- Form first, calls later: Keeps info structured & avoids losing contacts.
- Cold calling in late Jan/Feb: Gives time to gather numbers and ensures personalised reach.
- March reunion: Timely enough to ride momentum, but not too rushed.
- Ice-breakers: Alumni may not know each other → structured activities help.
- Post-event activities: Prevents initiative from being “one-off,” keeps it alive.
Part 2: Initiative Details
Lead & Team
