Introduction
eSuite is a light weight Managed Printing System (MPS) solution intended to work with Toshiba
e-STUDIO Series Copiers. The solution is aimed to provide below features.
Prerequisites
1. Windows Server 2012 R2 / Windows Server 2008 R2 / Windows 8.1 / Windows 7
2. EWB should be installed on MFP
3. SNMP V1 should be enabled on MFP.
4. MFP should have OpenPlatform SDK installed. (For Card authentication support,
OpenPlatform SDK version should be above V3.0)
5. MFP must have MDS mode enabled (08-3640 = 1), Card Reading enabled (08-3500 = 40002),
Image log enabled (08-8673 =1), In TA logs -> image log -> set as enable, Quota should be
colour/black (08-6084 = 0). And optionally to suspend the job when quota expires (08-9787
value 0) can be set.
6. Google Chrome Web Browser (Recommended for seamless working for real time events).
Some features may not work correctly on Internet Explorer.
7. Toshiba e-STUDIO Universal Printer Driver (The printer driver must be installed and
configured before eSuite installation. Refer to Setup Printer Driver for eFollow Printing for
detailed information).
8. We have observed some issues when two users with same name are created in User
management. Please avoid the scenario.
Notes
An eSuite installation by default is trial license based installation and provides supports for
maximum 10 MFPs for 30 days. A valid license must be purchased to manage more than 10
MFPs.

eSuite Solution comes with an easy to use installation package providing step by step guidance to
the end user for seamless experience.
To start eSuite installation, click on [Link].
Installation wizard lists prerequisites to be installed. Click on Install and follow message on
installation wizard.

Uninstallation Procedure
UnInstallation of eSuite is done through Control Program UnInstall program.
It is recommemended to stop web site manually from IIS server.
Upgrade Procedure
DB merge will be supported from this version onwards on upgrade.
Procedure:
1. Stop web site manually from IIS server.
2. Restart the IIS Application pool
3. Run eSuiteInstaller V4.2
User must provide same type of database server, database name and credential used in first
installation procedure. So that on upgrade the database contents are not lost.
Enter database server type, database name and type connection and press “Next”.

User can browse to the DataBase Server and select the SQL Server or Local DB (DataBase Server
same as the earlier installation).

Enable sharing of the default printer driver so that the printer driver can be accessed from other PCs
in the Network.
On Client PC (that will submit job to eSuite Server), eSuite printer should be installed as above.

On Successful Login, eSuite web page will be redirected to Device Management Page.
Various features of eSuite can be accessed by clicking grid on top right corner of the web page. A
click on the grid enlists below features of eSuite.

Default Settings
Additionally, Real-time notifications are visible for managed devices on the right hand side pane of
the Web page.
On click of white background notification, Floor plan containing that MFP will be opened. Grey
background indicates floor details not available for the notification.
Device Management
Device Management enables a user to discover Toshiba e-STUDIO series devices in the network and
configuring/adding to managed device list. When a device is added to the managed device list,
following are enabled for the device.

To start with Device Management, enter range of IP address and click on to discover devices in the
network. A search timeout can be specified for controlling SNMP timeout.
To add a device in managed device list from discovered device list, select the device and click
button. This will display a pop-up to provide admin credentials for the device. The pop-up also shows
option for MDS status. Click on to apply these settings. Once the settings are applied,
click to add the device into managed device list.

On successful addition to managed device list, a device is brought under purview of eSuite and
device is ready to be monitored. If MDS mode is enabled, MFP panel displays eSuite login screen and
eFollow printing is enabled. Also now, user can receive events from MFP.
Edit MFP
Already added device can be edited to change the MFP output management credentials, Name of
the device, MDS mode and notification alert email settings for that MFP.
Any managed device can be configured with 2 email IDs with separate alert levels. User can select
multiple alert levels. If alert email notifications are enabled from Admin settings, emails will be sent
to these recipients when event will be generated for the MFP.

Reconfigure MFP
MFP settings will be reconfigured. This is measure to get eSuite settings back if they were modified
by external means. If card authentication is enabled on MFP, And still events are not sent to eSuite,
then Please reconfigure the device.
e.g. If paper is placed on ADF, Notification “PaperOnADFTray” along with MFP details, Date and
time is displayed in eSuite side pane. And when paper is removed, Notification will disappear.

Search filter:
On top of Notifications pane, search text box is seen. This is added for string based search of
notifications. Meaning, when user enters any MFP Name, all notification matching that string will be
displayed. And for user convenience, all new incoming notifications are also displayed. Even though
search filter is applied.
Navigation:
If user wants to locate the event, on click of white background notification Corresponding Floor plan
is opened, in spite of current working page.
Report:
To view all the events, one can navigate to Reports -> Device Events Page. (Displayed in above
image)
According to filters selected, device events are displayed.
Floor Plan
Floor Plan feature allows an Admin User to arrange MFPs according to building and floor. The
feature enables a user to have quick glance of MFP status and helps to locate MFP in case of fault. To
add the floor plan by uploading floor plan image along with location details such as building name
and city name, Click on to create floor plan.
If cities and buildings are already added in other eSuite floor plans, they can be selected from the
drop down list.
And if floor plan image is not available for the floor, then select Default floor plan image.

User can view created floor plans in tab, as hierarchical structure in the form of
City --> Buildings --> Floors
Number of Mfps present in particular City, Building and Floor can be viewed in Bracket number.

User can zoom in/out the floor plan by placing the mouse pointer on image and scrolling the mouse
wheel.
With button user will be able to get the original image resolution displayed.
User can add MFPs to floor plan using the button available in the right side. List of MFPs will be
displayed on screen. One device can be selected at a time. Upon adding, the device will be added as
green circle on floor plan. This circle can be dragged to desired spot on floor plan.
On “Save”, the device will be saved on floor at the position and it will be displayed as eBX or eBN
MFP as per Model Type.
For device removal user can select the MFP and click on button.
After setting all positions and desired zoom for floor plan, click on button to save the changes.
For Each MFP, Device status is displayed in Floor plan. On mouse hover, short description for MFP
will be displayed. And on double click, detailed information will be displayed.

Admin user can add/remove floor plans as well as add/update MFPs in a floor plan. Non-Admin
user can only view floor plans.

If this tree views structure is open in web application, and meanwhile if MFP has any issue, then it
will be immediately reflected in tree structure. Same notification is displayed on right side
notifications pane. If initial issue was warning level then floor will be in orange colour. If error level
issue is generated, then it will be automatically updated to red colour.
Real Time Notifications and floor plan is linked by click. When user clicks on notification, If MFP is
added to floor plan, Floor plan page will open, in spite of current working page.
Note:
If MFP error is resolved immediately then change notification colour immediately on floor plan may
not work for now. To get the refreshed status, please re-load tree view structure by clicking Select
floor tab.
User Management
User Management intends to create/modify/delete users and groups. A user can be configured with
a set of job permissions (allows users to consume MFP device features like Scan/Print/Copy) and job
quota. eSuite can manage job permission for internal users (stored in eSuite internal DB) as well as
for Window Domain users.
Also Default Quota can be added to users. This Quota will be refilled to user quota after predefined
refill Quota interval. Refill Quota Settings : Admin Settings-> Refill Quota tab.

To create an internal user on eSuite, click button on Users tab. This will show a web page where
details of new user such as name, password, job permissions and quota can be provided.
If Feature control is “User” then Default Quota fields will be enabled.

On Successful creation of a new user, the user will be listed as below under Users tab.
To modify a user, click on the user name. This will invoke a pop-up where user details can be
modified.

To remove a user from eSuite DB, select the user and click button. A confirmation pop-up
will be displayed to proceed with the subsequent action.
To create an internal group on eSuite, click button on Groups tab. This will invoke a pop up
where details of a new group can be provided.
If Feature control is “Group” then Default Quota fields will be enabled.

To modify a group, click on the group name. This will invoke a pop-up where group details can be
modified.

AD Sync
Admin user can sync the domain user to eSuite user list using this feature by providing the domain
server credentials.
Configure domain
eSuite admin will configure domain credentials under “Domain settings” tab in “Users” page.
User name should be windows domain user name that is used for login into the domain.
Server name should be fully qualified domain name (FQDN) as described in next image.
The language selected will be default language for all users synced from this domain.
“Mail attribute name” is attribute in AD which defines email id for User.
“Card ID attribute name” is attribute in AD which defines Card id for User.
Admin can provide default quota and permission for user to be synced by this domain.
With button, Domain settings can be tested before saving.

Navigate to sync users tab and select the domain to be synced and click on “Sync” to initiate user
sync from domain. All the Organization Units (OU) in the active directory will be listed.
User can select any number of OUs and click on button to create a group. Separate groups will
be created for each OU. User can specify quota/permission of new Group. After group is created
successfully, we can see the details of the newly created groups under ‘Synced Users’ tab

If two different Organizational Units have same name, only a single group is created.
Another feature is, admin user can sync each group explicitly (manual sync).
Manual Sync will be initiated on clicking “Sync” button. On completion, status message will be
displayed.

Auto Sync
Admin can configure “Sync” operation to be performed at particular interval. Auto sync operation is
not specific to any group; instead it syncs all the existing groups in eSuite. Once configured user can
view, reconfigure and cancel auto sync.
If sync type is “Add only “ , then deleted users in eSuite will not be added again, even if they are
present in active directory. If sync type is “Overwrite” then the deleted users will be added in eSuite
again.

Navigate to eSuite Counter tab, provide values as per required filtering and click on to
generate counter reports on Web Page.

in admin settings.

Navigate to Log tab, enter/set required filters and click on to create log report on Web
Page.
All past event notifications can be retrieved from server in Device Events tab. MFP names, event
level; start date end date filters can be added to get required events.
This report can be sent as email, when email configuration is added in admin settings.

Default Settings
eSuite comes with few pre-configured settings to provide seamless working.
SMTP Settings
eSuite admin can setup SMTP server setting in Email Server Setting Tab using these setting eSuite
can send email for counter report and alerts.
Email Subscription
In email subscription tab admin can subscribe counter report and alerts.
Reporting mails can be scheduled to be sent on regular intervals (Weekly or daily) to the email
subscribers. In schedule report eSuite will provide consolidate report which contain mfp counter,
user counter, group counter and job logs in excel format.

From counter email subscription admin can subscribe counter report for daily or weekly in specific
time.
Each MFP could bind 2 recipients, and each recipient works with individual filter, for example, one
recipient requests for paper empty, paper jam, like some warning level alerts. Another recipient
requests for error level alerts.
In Admin settings Admin can enable email alert notifications. And default email list can also be
configured for alerts.
eSuite will send emails to these recipients, along with other individual MFP configured mail ids.

Alert levels and mail id settings are part of edit MFP, in managed devices tab. User can select Alert
levels to receive emails.

eFollow Printing
Admin user can set Job Retention time for both printed and non-printed jobs, Auto Release job on
login from panel and job to be released on basis of Username or Nickname efollow printed job
enable show printed job in ewb panel if false then printed job won’t display in ewb panel.

Image Log
If Admin sets enable image log as True then Copy, Scan, Fax image log will be available.
To support Print image log, admin has to upload Ghost PCL Software in eSuite.
Refill Quota
Admin can enable quota refill and set duration daily, weekly or monthly so that quota will be refilled
periodically with default quota values.
Admin can set default EWB page then after login through EWB eSuite will navigate to selected page.
Default value is welcome page. If User does not have permission for selected Panel page, then user
will be navigated to welcome page.

Customized Logo
User can add own preferred logo to eSuite, this logo will be displayed on right hand corner of web
page.
License
eSuite Trial Version support for 10 MFPs and its validity will be for one month. User can buy License
by sending email to eSuite license management team.

User can click in button for license request if email server setting filled eSuite
automatically send email to license management team.
User can activate license after clicking button and then enter License Code send by
eSuite license management team.

On EWB page, User can perform login operation using Username/Password or Pin or Card Swipe.
Windows domain users can use their windows credentials for log in. On selecting “Windows domain
authentication”, the user can select their domain from the list of synced domains in the drop down
list named “Domain name”. If QR code for external authentication is enabled from Admin settings,
then QR code will be displayed on Login page and register card page.
If “Default Login Mode” is changed to Windows, then check box for Windows Domain
Authentication will be checked at login page.

On successful login, By Default, Welcome page will be displayed for user for easy navigation.
If Admin has set Default EWB page in Admin settings, that page will be displayed after successful
login.
We have User Quota, current MFP events at bottom of the page. Quota will be displayed only if
Quota is enabled. The navigation tiles will be enabled based on user permissions.

In eFollow tab, a user can view/delete/print the listed e-follow jobs. All print jobs submitted to
eSuite server are displayed on eFollow Job List screen. These jobs can be released to MFP for
printing or it can be deleted if user wishes to.
User can also see the environment impact of eFollow job by clicking in document name.
After clicking Copy button, user is navigated to Copy screen of MFP. Similarly user may use Scan and
Fax options which will navigate to respective panel screen. This enables user to perform normal MFP
functionalities based on its quota and permissions.

In Change Password-Pin tab, User can change his own Password or register PIN or create PIN.
Console Application
Console application will be launched at the end of installation. If the application is closed, it can be
relaunched from start menu.

1. Launch Web Application in browser. And if any issue with website, it can be started from this
tab.
2. If any issue with eFollow service, and it is stopped, it can be started from console
application.
3. Installation language is default language of eSuite. To change the default language after
installation, we can use dropdown on right corner.
