Digital Document

1. Open the Styles and Formatting window in a document using LibreOffice Writer and
apply at least three different style categories (Paragraph, Character, Page) in the
document. Explain all three different styles including steps and paste the screenshot of
the style and formatting window.

Answer:

Styles and Formatting window (also called Styles sidebar) helps us apply consistent
formatting quickly across the document.

Steps to open Styles and Formatting window:

1. Open LibreOffice Writer.

2. Press F11 on the keyboard OR go to View → Styles (or Format → Styles → Manage
Styles).

3. The Styles window appears on the right side.

Three different style categories and how to apply them:

- Paragraph Style (used for entire paragraph formatting like headings, alignment,
spacing):

1. Select the paragraph.

2. In the Styles window, double-click Heading 1 (or any Paragraph style).

Example: Applied “Heading 1” to the main title.

- Character Style (used for specific words/phrases inside a paragraph like bold, color,
font):

1. Select the text.

2. Double-click Strong Emphasis or create your own character style.


Example: Made “LibreOffice” bold and green.

- Page Style (used for page layout like margins, headers, footers, orientation):

1. Right-click in Styles window → New → Page Style.

2. Or double-click Default Page Style and modify.

Example: Changed page margins for the whole document.

2. What do you mean by the Fill Format tool in LibreOffice Writer and how you will
apply the same style to multiple sections quickly. Choose character style and apply the
same style in multiple sections in the document.

Answer:

The Fill Format tool (also called Format Paintbrush) is used to copy formatting from
one part of the document and apply the same formatting to other parts quickly without
manually selecting styles again.

Steps to use Fill Format tool:

1. Apply the desired style (e.g., Character style “Strong Emphasis”) to one section of
text.

2. Go to Format → Styles → Fill Format Mode OR click the Fill Format icon (paintbrush
icon) in the Standard toolbar.

3. The cursor changes to a paintbrush.

4. Click on any other text/section where you want to apply the same style.

5. Press Esc to exit Fill Format mode.


Example used: I created a Character style named “Highlight” (red color + bold) and
applied it to multiple headings using the Fill Format tool.

3. What is a Table of Contents (ToC) and why is it important in a document? Imagine


you are preparing a project report that has several sections and subsections. You have
been asked to add a ToC to make it more organized and easier to navigate. Write steps
to create Table of Content in LibreOffice Writer and can you share a real life scenario
where you will use a table of content in a document.

Answer:

A Table of Contents (ToC) is an automatically generated list of headings and sub-


headings with page numbers that appears at the beginning of a long document.

Why is it important?

- Makes navigation easy (clickable links).

- Gives a professional look.

- Helps readers find specific sections quickly.

Real-life scenario:

In a school project report (like this IT Practical File itself) or a company annual report,
ToC helps the teacher/examiner or manager jump directly to any chapter.

Steps to create Table of Contents in LibreOffice Writer:

1. Apply proper Heading styles (Heading 1, Heading 2, etc.) to all chapter titles and
sub-titles.

2. Place the cursor at the beginning of the document (after the title page).
3. Go to Insert → Table of Contents and Index → Table of Contents, Index or
Bibliography.

4. In the dialog box, select Type = Table of Contents.

5. Click OK.

6. ToC is inserted. (It is automatically updated when headings change.)

4. What do you mean by track change and why track change options are used in
documents? Write some content in the document and enable the track changes option
and describe to others how accept or reject the changes option is used for the specific
section.

Answer:

Track Changes is a feature that records all insertions, deletions, and formatting
changes made by different users in a document.

Why is it used?

- Useful for group projects or teacher-student editing.

- Allows seeing who changed what and when.

- Helps in reviewing and finalizing the document.

Steps I performed:

1. Wrote sample text: “This is my IT practical file.”

2. Went to Edit → Track Changes → Record (or click the Track Changes icon).

3. Made changes: Deleted “my” and added “Raghav’s”.

4. Changes appear in red with strikethrough.


How to Accept or Reject changes:

1. Go to Edit → Track Changes → Manage Changes.

2. In the Manage Changes window, select a change.

3. Click Accept or Reject.

4. For specific section: Right-click on the changed text → Accept Change / Reject
Change.

Steps for inserting image in LibreOffice Writer:

1. Place the cursor where you want the image.

2. Go to Insert → Image OR press Ctrl + D.

3. Browse and select the image file → Click Open.

4. Image is inserted.

Difference between Resize Image and Text Wrapping:

Electronic Spreadsheet

6. You have the following data of students’ and their marks for Pre Mid Term, Mid
Term and Post Mid Term stored in three different worksheets in the same workbook.
How you will use consolidate data features in LibreOffice Calc to summarize the data
in a single worksheet that will show the average marks of each student.

Answer:

The consolidated feature combines data from multiple sheets and applies a function
(Average, Sum, etc.).

Steps to consolidate data:

1. Create a new sheet named “Average Marks”.

2. Go to Data → Consolidate.

3. In Function, select Average.

4. Click Add and select the range from Worksheet 1 (Pre Mid Term): `$A$2:$C$7`

5. Repeat and add ranges from Worksheet 2 and Worksheet 3.

6. Check Use labels (because Student Name and Roll No are same).

7. Click OK.
Result: A new table appears showing average marks of each student across all three
terms.

7. You have the following sales report, you need to calculate the total quantity sold for

Steps to apply Subtotals:

1. Enter the Sales Report data in a sheet.

2. Sort the data by Category (Data → Sort).

3. Select the entire data range.

4. Go to Data → Subtotals.

5. In the dialog:

- Group by: Category

- Calculate: Sum of Quantity Sold

6. Click OK.

LibreOffice automatically inserts subtotal rows for each category (Electronic) showing
total quantity sold.

8. What do you mean by Macro? Write the steps to record Macro in LibreOffice Calc.

Answer:

A Macro is a recorded set of commands that can be played back to perform repetitive
tasks automatically.

Steps to record a Macro in LibreOffice Calc:

1. Go to Tools → Macros → Record Macro.


2. Perform the actions you want to record (e.g., format cells, insert formula, change
font).

3. When done, click Stop Recording (small window appears).

4. Give a name to the macro and save it.

5. To run later: Tools → Macros → Run Macro → select your macro.

Example recorded: A macro that formats the header row in bold and blue color.

9. You want to create a yearly budget and you want to see how different monthly

Steps to create What-if Scenarios:

1. Create a sheet with:

- Monthly Savings (cell B2)

- Total Savings = B2 × 12 (in cell B4)

2. Go to Tools → Scenarios.

3. Click Add.

4. Give scenario name e.g., “Low Savings”, “Medium Savings”, “High Savings”.

5. Change the value in cell B2 for each scenario (e.g., ₹500, ₹1000, ₹2000).

6. Click OK.

7. Now you can switch between scenarios from the Scenarios dropdown and see how
total yearly savings change instantly.

This helps in financial planning.

10. Consider the following table: Students

(a) Identify the fields which of the above fields you will use to store information of each
record.

Answer: The fields are:

- Admission_No

- Class

- Student_Name

- Address

(b) Which of the above fields in the table would be used to make a primary key and
why?

Answer: Admission_No will be used as Primary Key because it is unique for every
student and cannot be repeated (S1234, S1235, etc.).

(c) Identify the above field which could be used as an alternate key and justify why.

Answer: Student_Name can be used as an Alternate Key because in this sample data
all names are unique and it can serve as another unique identifier (though in real life
names can repeat, here it works as candidate key).

(d) Justify how you will use the primary key from the students table and a foreign key
in the Fees collection table to create a relationship between the two tables.

Answer:

- In Students table → Admission_No is Primary Key.

- In Fees table → create a new field “Admission_No” and set it as Foreign Key.

- This links both tables. Example: One student (S1234) can have multiple fee payment
records in Fees table.

Answer:

- Field = Column = one piece of information (e.g., Admission_No, Student_Name).

- Record = Row = complete information of one student (e.g., all details of Student A).

- Table = Collection of all records and fields (entire Students table).

Example from student database:

- Field: Class

- Record: One row (S1234, X, Student A, Bandra, Mumbai)

- Table: Entire Students table having 5 records.

12. What are the different types of keys in the database and explain their roles and
importance.

Answer:

Importance: Keys ensure data accuracy, prevent duplication, and establish


relationships between tables.

13. Explain how you will create relationships between two tables. What is the
difference between one-to-many, many-to-many and one-to-one relationships?

Steps to create relationship in LibreOffice Base:

1. Go to Tools → Relationships.

2. Drag the Primary Key (e.g., Admission_No from Students table) to the Foreign Key
(Admission_No in Fees table).

3. Set relationship type → Click Create.

Differences:

- One-to-One: One record in Table A matches exactly one record in Table B (e.g.,
Student ↔ Student Personal Details).

- One-to-Many: One record in Table A matches many records in Table B (e.g., One
Student ↔ Many Fee Payments).

- Many-to-Many: Many records in Table A match many records in Table B (needs a


junction table, e.g., Students ↔ Courses).

14. What do you mean by Query in LibreOffice Base.

Answer:

A Query is a request to the database to retrieve specific information according to given


conditions.
Example: “Show all students of Class X” or “Show students living in Bandra”.

How to create in Base:

1. Click Queries in the Database pane → Create Query in Design View.

2. Add tables, select fields, set criteria.

3. Run the query.

Queries help in searching, filtering, sorting and generating reports without changing
original data.
