Microsoft Excel - First Session

This session introduces students to Microsoft Excel, a powerful spreadsheet tool used for data
analysis, reporting, and calculations.

What is Excel?

Microsoft Excel is a spreadsheet program developed by Microsoft. It allows users to store,


organize, and analyze data using tables, formulas, and charts.

Uses of Excel

Excel is widely used in business, finance, data analysis, accounting, and daily record keeping. It
helps in making calculations, managing large data, and generating reports.
Excel Interface Overview

The Excel interface consists of different components like Ribbon, Workbook, Worksheet, Rows,
Columns, and Cells.

Workbook and Worksheet

A workbook is an Excel file, and it contains multiple worksheets. A worksheet is a single page
where data is entered.

Rows and Columns

Rows are horizontal and numbered (1,2,3...), while columns are vertical and labeled (A,B,C...).
Cells and Cell Address

A cell is the intersection of a row and a column. Each cell has a unique address like A1, B2, etc.

Data Types in Excel

Excel supports different types of data such as text, numbers, dates, and formulas.

Entering Data

To enter data, click on a cell and start typing. Press Enter to move to the next cell.
Basic Formatting

Formatting helps make data more readable. You can change font, size, color, and alignment.

Number Formatting

Excel allows formatting numbers as currency, percentage, date, etc.

AutoFill Feature

AutoFill helps in quickly filling data like series (1,2,3) or dates by dragging the fill handle.
Introduction to Formulas

Formulas are used to perform calculations. Every formula starts with an equals (=) sign.

Basic Functions

Common functions include SUM, AVERAGE, MIN, and MAX.

Example

=SUM(A1:A5) adds values from A1 to A5.


Saving and Opening Files

You can save your Excel file using Ctrl + S and open existing files from the File menu.

Shortcuts

Some important shortcuts: Ctrl + C (Copy), Ctrl + V (Paste), Ctrl + Z (Undo).
