ERPNext implementation guide
A phased project plan - from planning to go-live and beyond
This guide ties together the Configuration Guide, the 12-stage training series, and the Manufacturing guide
into a single rollout plan. Work through the phases roughly in order - some can overlap, as shown below.

Phase 1 - Planning and scoping
Step 1. List which modules apply now versus later. Most businesses start with Selling, Buying, Stock,
Accounts and (if relevant) Manufacturing, and add CRM, Projects, Assets, Quality, and HR/Payroll once
the basics are running smoothly.
Step 2. Make a list of the master data you'll need: Items (with codes and groups), Customers, Suppliers,
any custom Chart of Accounts entries, opening stock quantities and values, and opening
receivable/payable balances.
Step 3. Pick a go-live date. Choosing the start of a month or fiscal period makes opening balances
simpler, since you won't need to split a month's transactions between two systems.
Step 4. Assign the roles below so everyone knows what they're responsible for during the project.

Phase 2 - Configuration
Work through the Configuration Guide delivered earlier, section by section. Use the checklist below to track
progress - tick each item off once it has been reviewed and set correctly for your business.

Phase 3 - Master data migration
Master data is everything that doesn't change often but is referenced by every transaction - items, customers,
suppliers, and opening balances. Getting this right before go-live avoids having to fix hundreds of
transactions later.
Master data Notes
Item Groups and UOMs Create these first - every Item refers to one of each.
Items Required fields: Item Code, Item Name, Item Group, Default UOM,
Is Stock Item. Import after Item Groups and UOMs exist.
Customers and Suppliers Required fields: Name, Group, Type, and Territory/Country. Can be
imported in parallel with Items.
Item Prices Link a Price List, Item, and Rate. Import after Items and Price Lists
exist.
BOMs Reference Item Codes for both the finished item and its
components, so all referenced items must exist first.
Opening Stock Enter via Stock Reconciliation with Purpose 'Opening Stock', one
row per item/warehouse with Quantity and Valuation Rate. Import
after Items and Warehouses exist.
Opening accounting Outstanding customer/supplier invoices: use the 'Opening Invoice
balances Creation Tool'. All other balance sheet accounts (bank balances,
fixed assets, etc.): use a Journal Entry with Entry Type 'Opening
Entry'.
Import order matters: Item Groups and UOMs before Items; Items before BOMs, Opening Stock and Item Prices;
Customers and Suppliers before any Opening Invoices.
Using the Data Import tool
Step 1. Type 'Data Import' in the search bar, then + New.
Step 2. Select the Document Type you're importing, e.g. 'Item'.
Step 3. Click 'Download Template', choose which fields to include, and download the file.
Step 4. Fill in one row per record in the downloaded file, following the column headers exactly - don't
rename or reorder columns.
Step 5. Upload the completed file back into the Data Import record.
Step 6. Click 'Start Import'. For your first attempt, import a small sample (5-10 rows) to catch formatting
errors before running the full file.
Step 7. Review the Import Log for any failed rows, fix the source data, and re-import just those rows.
Opening accounting balances must net to zero across all accounts - ERPNext checks this. If your opening entries don't
balance, the difference is temporarily held in a 'Temporary Opening' account; investigate and clear it once every
opening balance has been entered correctly.
Phase 4 - Training rollout
Roll out the 12-stage training series (delivered earlier) to your associate, ideally on the now-configured
system rather than a generic demo - this way the Customer, Item and account names they see while learning
match what they'll use every day. A pace of one to two stages per week, with hands-on practice after each
one, works well for most people. Use the progress tracker in the roadmap PDF to track where they are.
Phase 5 - Testing (UAT)
Before going live, run a handful of complete, real-world scenarios end-to-end using test data, to confirm the
configuration and master data work together correctly.
Scenario What to check
Full sales cycle Quotation to Sales Order to Delivery Note to Sales Invoice to
Payment for a real customer and item. Confirm stock decreases
and the accounting entries match what is expected (Stage 4).
Full purchase cycle Material Request to Purchase Order to Purchase Receipt to
Purchase Invoice to Payment. Confirm stock increases and a
payable is created (Stage 3).
Manufacturing cycle BOM to Work Order to Material Transfer to Job Cards to
Manufacture entry to Delivery to Invoice, following the
Manufacturing guide.
Stock correction Run a Stock Reconciliation to adjust a quantity and confirm the
Stock Adjustment account reflects the difference (Stage 2).
Reporting Run Stock Balance, Balance Sheet, Profit and Loss, and Trial
Balance, and confirm the numbers reflect the test transactions
above (Stage 5).
Run these on a copy or staging site if one is available, so the test transactions don't end up in your real records. If you
must test on the live site, plan to cancel every test document afterwards, in reverse order.
Phase 6 - Go-live
Step 1. Confirm the go-live (cutover) date chosen in Phase 1.
Step 2. As of that date, enter final opening balances: physical stock counts (Stock Reconciliation, Purpose
'Opening Stock'), and outstanding receivables/payables and other account balances (Phase 3).
Step 3. Set 'Stock Frozen Upto' (Configuration Guide, Section 7) to the day before the cutover date, to
prevent any backdated stock changes.
Step 4. Stop entering new transactions in any old system as of the cutover date.
Step 5. From the cutover date onward, enter every new transaction in ERPNext - sales, purchases, stock
movements, and production.
Step 6. Let everyone involved - staff, and where relevant suppliers or customers - know the new system is
live and how to reach the associate with questions.
Avoid running two systems in parallel for more than a short overlap - it doubles data entry and creates reconciliation
headaches. The testing in Phase 5 is meant to replace a long parallel run, not precede one.
Phase 7 - Post go-live support
Period Focus
First week Daily check-in with the associate. Review at least one transaction of each
type (sales, purchase, stock, manufacturing) to confirm everything is
posting as expected.
First month Weekly review of Stock Balance, Trial Balance, and the Sales and
Purchase registers for anything that looks unusual.
Ongoing Keep the training roadmap's progress tracker updated as the associate
gains confidence in each module. Revisit the Configuration Guide as the
business changes - new tax rates, new warehouses, a new naming series
for a new branch.

Tying it all together
