CHAPTER ONE: INTRODUCTION

1.1 Background of the Study

In most hospitals today, one of the major challenges patients face is the long waiting time
before receiving medical attention. This situation is often caused by poor queue management,
manual registration processes, and lack of communication between patients and hospital staff.
Many hospitals still rely on paper-based systems or simple logbooks to manage patient flow,
which leads to confusion, delays, and sometimes loss of patient records.

The Hospital Queue Management System (HQMS) seeks to address these issues by introducing
a digital solution that automates queue organization and patient management. The system
allows patients to book appointments online, check their position in the queue, and receive
notifications through SMS or email when it is almost their turn. In addition, doctors and nurses
can manage the queue in real-time, prioritize emergency cases, and update patient status
directly from the system.

This project focuses on improving service delivery and patient satisfaction within healthcare
facilities by implementing a modern, web-based management system suitable for hospitals,
clinics, and health centers.

1.2 Introduction to the Research Area

The study focuses on the area of healthcare management systems, specifically on queue and
appointment management within hospitals. Healthcare institutions handle large numbers of
patients daily, and managing queues effectively is crucial to ensure timely medical attention and
reduce congestion.

The importance of this study lies in its potential to improve efficiency in hospital operations

1.3 Problem Statement

In many hospitals, patients spend long hours waiting to see a doctor due to inefficient manual
queue management. The traditional process of taking patient details at the reception and
manually arranging queues often results in delays, disorder, and frustration for both patients
and healthcare providers.
Moreover, patients have no way of tracking their queue position or knowing when it will be
their turn, leading to overcrowded waiting areas. In emergency cases, there is also no
structured way to prioritize urgent patients quickly.

The absence of a real-time, automated system to manage hospital queues creates significant
inefficiencies that affect service delivery, patient satisfaction, and overall hospital performance.
The proposed Hospital Queue Management System aims to solve this problem by providing a
digital platform that organizes and monitors queues effectively.

1.4 Purpose of the Study

The purpose of this study is to design and develop a web-based Hospital Queue Management
System that reduces patient waiting time, improves communication between patients and
hospital staff, and enhances hospital service delivery through automation. The system is
intended to streamline hospital operations, enable patients to book appointments online, and
allow real-time updates on queue progress and emergency prioritization.

1.5 Objectives

General Objective:
To design and implement an automated Hospital Queue Management System that improves
efficiency in managing patient queues and appointments.

Specific Objectives:

1. To enable patients to book appointments online based on available time slots.

2. To allow doctors and nurses to manage and update patient queues in real-time.

3. To notify patients via SMS or email about their appointment status and queue position.

4. To provide an admin dashboard for hospital management to monitor activities and


generate reports.

5. To prioritize and handle emergency cases effectively within the system.

1.6 Research Questions

1.7 Scope of the Study

The system will focus on queue management and appointment scheduling within hospital
outpatient departments. It will cover patient registration, appointment booking, queue tracking,
and notification updates.

The study will not cover in-patient management, billing systems, or laboratory modules. The
system will be web-based, accessible through browsers, and integrated with an SMS service for
notifications. It will be tested in a medium-sized hospital setup for demonstration purposes.

1.8 Justification of the Study

This study is important because it addresses a real and common challenge faced by healthcare
institutions. Long waiting times and poor queue organization reduce hospital efficiency and
patient satisfaction. By implementing an automated queue management system, hospitals can
improve operational efficiency, reduce congestion, and provide better patient experiences.

Academically, this project contributes to the growing field of healthcare information systems,
providing practical insights into how technology can enhance healthcare management.
Economically, it saves hospitals time and resources by minimizing paperwork and manual errors.

1.9 Methodology

The project will use the Agile Development Methodology, which emphasizes iterative
development and continuous user feedback.
The key phases include:

1. Planning: Identifying system requirements and defining objectives.

2. Design: Creating system architecture, database design, and user interfaces.


3. Development: Writing the actual code using React for the frontend and Python
(Flask/Django) for the backend.

4. Testing: Checking for functionality, usability, and performance.

5. Deployment: Hosting the system on a live server for real-world use.

6. Maintenance: Fixing bugs and improving system features based on feedback.
