What is a Notice?

A notice is a written or printed news announcement or


information. A notice may contain news/information
about something that has happened or is likely to
happen. It may be a formal announcement of public
importance or an advance warning meant for
compliance and information. A notice can be about a
meeting, an event, an excursion/historical trip/a
picnic, lost and found, change of
name/address/uniform/timings/venue etc.
Purpose of writing a notice

Notices are effective means of disseminating


information related to different issues or occasions.
They reach to a large number of persons in a short
time. Hence a notice is written in simple and formal
language. It is clear, brief and to the point.
Types of Notice

There are 4 types of notices:


✓ School or College Notice
✓ Newspaper or Magazine
✓ Government or Private Concerns
✓ Public Notice Boards
Main Characteristics

(a) Format : It includes the word ‘NOTICE’, date,


heading, writer’s name and designation. ( contains 1
mark)
(b) Content : It must answer the questions What?
When? Where? How? etc. ( contains 2 marks)
(c) Expression : It relates to the overall organisation
and relevance of the content as well as grammatical
accuracy and fluency. ( contains 1 mark)

Format of a Notice
• Heading in BLOCK LETTERS ( Name of the school, city/ town; centre aligned)
• For eg. ARMY PUBLIC SCHOOL, DEHRADUN
• NOTICE ( block letters and centre aligned)
• Date (left aligned) for eg. 20.04.2020
• Subject (left aligned; the word subject not to be written; both block letters and cursive
accepted)

Content of a Notice
• The content of a Notice must be in paragraph.
• It must contain the answers to four important questions:
✓ What
✓ When
✓ Where
✓ How
• It should open with an introductory sentence ( This is to notify/ It is hereby notified )
• Closure is also important. ( For further information/details contact the undersigned)
PLEASE should not be written with the closure.
Content and Expression of a Notice
• The agenda of the notice must include the detailed list of items of the
event or the programme.
• The target group has to be clearly mentioned.
• Personal Pronouns like I, me, we should not be used.
• The notice should be written in Passive voice.
• The word limit (50 words) should be maintained.
• Language has to be formal.
Information about an Event
• Notices providing information about an event, the content must be written in
points after writing the introductory or opening sentence.

✓ Time
✓ Venue
✓ Teacher-in-charge
✓ Last date of enrolling or enlisting names
✓ Other relevant details
Rules to be followed
• Notices are always written in a box .
• First person not to be used.
• Always write a notice in Passive voice.
• Never reveal your own identity. Use name and school name provided in the
question. If it is not mentioned use a hypothetical identity.
• Always use formal language.
