1. Introduction

1.1. Problem definition


Many perfume brands that depend on traditional selling methods face several problems
such as difficulty in managing products, tracking orders, and communicating with
customers. Manual management of products leads to errors in pricing, stock availability,
and delays in responding to customer needs. In addition, customers may find it difficult
to browse available perfumes, compare prices, or benefit from special offers easily.

In addition communication between the brand and customers is limited when there is
no online system. Customers must visit the shop physically or contact the brand
manually to ask about products, which wastes time and may lead to losing potential
customers. Also, security issues appear regarding customer data and payment
processes if not handled through a secure system.

The problem can be divided into two categories: Technical view and Non-technical view.

The technical view sees the problem as the difficulty of managing products, orders, and
customer information efficiently. This can be described in terms of:

How to manage, secure, and update a large number of perfume products.

How to manage customer orders and ensure secure online transactions.

The non-technical view sees the problem as the difficulty customers face in finding
suitable perfumes and completing purchases easily. This can be described in terms of:

How customers can easily browse perfumes and choose what suits them.

How customers can place orders and receive confirmation smoothly.


1.2. Scope

The system is designed specifically for the perfume brand Aroma to manage and sell its
own fragrance products online.
The system will allow customers to explore the brand’s perfume collection, learn about
different scents, and purchase products directly through the website.

This platform focuses on presenting the brand identity, showcasing perfume collections,
and providing customers with a smooth and secure online shopping experience.

1.3. Introduced Solution


This project introduces a web-based system for the perfume brand Aroma to present
and sell its fragrance products online. The system acts as the official online store of the
brand, where customers can explore different perfumes, read descriptions about each
fragrance, and place orders directly through the website.

Customers can browse the brand’s perfume collection, view product details such as
fragrance notes, price, and bottle size, and add products to the shopping cart before
completing their purchase.

The system organizes perfumes into categories such as Men, Women, and Unisex, as
well as scent families like Woody, Fresh, Oriental, and Floral, helping customers easily
discover fragrances that suit their preferences.

The administrator of the system manages the brand’s products by adding new
perfumes, updating product information, managing promotional offers, and tracking
customer orders.

Through this system, Aroma can present its perfumes professionally online while
allowing customers to purchase the brand’s products easily and securely from
anywhere.

1.4. Example Scenarios


1.4.1 View Products

Customer opens the official Aroma website and explores the brand’s perfume
collection. The customer can browse different categories and view detailed
information about each fragrance such as scent notes, price, and description.

1.4.2 Place Order

Customer selects a perfume and adds it to the cart. Then the customer proceeds to
checkout, enters delivery information, and confirms the order. The system notifies
the customer whether the order was placed successfully or not.
1.4.3 Create Category

Administrator logs into the system and creates a new perfume category (e.g., Men,
Women). The administrator can add a description for the category and save it. The
system informs the administrator whether the category was added successfully or
not.

1.4.4 Manage Offers

Administrator logs into the system and creates an offer such as “Buy 3 perfumes
and get 30% discount.” The system displays this offer on the homepage for
customers.

1.4.5 Search About Product

Customer searches for perfumes using different criteria such as:

 Search by perfume name.

 Search by category.

 Search by price range.

The system returns the matching results if found.

1.5. Target environment

Since the system will be a web application:

 Works on different operating systems (Windows and Linux).

 Web server (Apache Tomcat).

 Database management system (MySQL).

1.7. Deadlines

1.8. Acceptance Criteria

 The project is accepted if at least the following success criteria are satisfied:

 The system is available on the specified date.

 The system satisfies the functional requirements mentioned above.

 Customers can browse perfumes and place orders successfully.
