ALIGNMENT OF TEXT

It's easy to apply alignment to text. With your insertion point in the paragraph you want
to change, click one of the alignment buttons in the Paragraph group on the Home Tab.
For example Home ? Paragraph? Left sets the current paragraph's alignment. As shown
in Figure, you have four choices when it comes to aligning your paragraphs:

(a) Left (Alt+H, AL). Aligns the lines in the paragraph flush on the left side and ragged on
the right. Left alignment is standard for letters, reports, and many business documents.

(b) Centered (Alt+H, AC). Centers each line in the paragraph, leaving both left and right
margins ragged. This setting is appropriate for headings and short chunks of text, as in
invitations and advertisements. Avoid using centered text for long paragraphs, since it's
hard for readers eyes to track from the end of one line to the beginning of the next when
the left margin is uneven.

(c) Right (Alt+H, AR). Aligns the lines in the paragraph flush on the right side and ragged
on the left. This unusual alignment is most often used for setting captions or quotations
apart from the main text.

(d) Justified (Alt+H, AJ). Adds space between letters and words so that both the left and
right sides of the paragraph are straight and flush with the margins. Justified margins
give text a more formal look suitable for textbooks or scholarly documents. If your
justified text looks odd because big gaps appear between the letters or words, try using
a long line, that is, putting more characters per line. You can do this by extending the
margins (Alt+P, M) or by changing the size of your font (Alt+H, FS).

UNDO & REDO ALONG WITH SHORT CUT KEYS

Working on a document and accidentally delete some text. Fortunately, no need to


retype everything what just delete. Word allows to undo most recent action when make
a mistake like this. To do this, locate and select the Undo command on the Quick
Access Toolbar. Alternatively can press Ctrl+Z on keyboard. It can continue using this
command to undo multiple changes in a row.

By contrast, the Redo command allows to reverse the last undo. It can also access this

1. Select the text you want to format as a list.

[Link] the Home tab, click the drop-down arrow next to the Numbering command. A
menu of numbering styles will appear.

3. Move the mouse over the various numbering styles. A live preview of the numbering
style will appear in the document. Select the numbering style you want to use.

4. The text will format as a numbered list.

PARAGRAPH FORMATTING

As you design your document and make formatting decisions, you will need to consider
line and paragraph spacing. You can increase spacing to improve readability and reduce
it to fit more text on the page.

Line spacing is the space between each line in a paragraph. Word allows you to
customize the line spacing to be single spaced (one line high), double spaced (two lines
high), or any other amount you want. The default spacing in Word is 1.08 lines, which is
slightly larger than single spaced. Line spacing is also known as leading (pronounced to
rhyme with wedding).

To format line spacing

1. Select the text you want to format.

2. On the Home tab, click the Line and Paragraph Spacing command, then select the
desired line spacing.

3. The line spacing will change in the document.

Fine tuning line spacing

Your line spacing options aren't limited to the ones in the Line and Paragraph Spacing
menu. To adjust spacing with more precision, select Line Spacing Options from the
menu to access the

(1) Exactly: When you choose this option, the line spacing is measured in points, just
like font size. For example, if you're using 12-point text, you could use 15-point spacing.

(2) At least: Like the Exactly option, this lets you choose how many points of spacing
you want. However, if you have di erent sizes of text on the same line, the spacing will
expand to fit the larger text.

(3) Multiple: This option lets you type the number of lines of spacing you want. For
example, choosing Multiple and changing the spacing to 1.2 will make the text slightly
more spread out than single-spaced text. If you want the lines to be closer together, you
can choose a smaller value, like 0.9.

Paragraph spacing

Just as you can format spacing between lines in your document, you can adjust spacing
before and after paragraphs. This is useful for separating paragraphs, headings, and
subheadings.

To format paragraph spacing

1. Select the paragraph or paragraphs you want to format.

2. On the Home tab, click the Line and Paragraph Spacing command. Click Add Space
Before Paragraph or Remove Space After Paragraph from the drop-down menu. In our
example, well select Add Space Before Paragraph.

3. The paragraph spacing will change in the document.

From the drop-down menu, you can also select Line Spacing Options to open the
Paragraph dialog box. From here, you can control how much space there is before and
after the paragraph.

PAGE LAYOUT

Word o ers a variety of page layout and formatting options that a ect how content
appea on the page. You can customize the page orientation, paper size, and page
margins depending on how you want your document to appear.

Page orientation

Word o ers two page orientation options: landscape and portrait. Compare our exampl
below to see how orientation can a ect the appearance and spacing of text and images.

(i) Landscape means the page is oriented horizontally.

(ii) Portrait means the page is oriented vertically.

To change page orientation

Page size

By default, the page size of a new document is 8.5 inches by 11 inches Depending on
your project, you may need to adjust your document's page size. It's important to note
that before modifying the default page size, you should check to see which page sizes
your printer can accommodate.

To change the page size

Word has a variety of predefined page sizes to choose from.

1 Select the Layout tab, then click the Size command.

2. A drop-down menu will appear. The current page size is highlighted. Click the desired
predefined page size.

3. The page size of the document will be changed.

Page margins

A margin is the space between the text and the edge of your document. By default, a
new document's margins are set to Normal, which means it has a one-inch space
between the text and each edge. Depending on your needs, Word allows you to change
your document's margin size.

To format page margins

Word has a variety of predefined margin sizes to choose from.

1. Select the Layout tab, then click the Margins command.

2. A drop-down menu will appear. Click the predefined margin size you want.

3. The margins of the document will be changed.

Lines of text displayed below the top margin or above the bottom margin of each page
are called headers and footers.

steps to insert Header and Footer

The steps to insert header and footer are as follows:

1. Select 'view > Header and Footer' from the menu bar. The Header and Footer tool bar
will appear and the top of the page.

2. Type of heading in the header box. You may use many of the standarded forma
options such as font fact size.

3. Click the insert auto text button to view a list of quick options available.

4. Use the other options on the toolbar to add page number the current date and time

5. To edit the footer, click the switch between header and footer button on the toolbar

6. When you are finished adding header and footers, click the close button on the
toolbar

PAGE BORDERS

Margin

Margins determine the distance from the edges of a page that the text could be enteret
These are set according to the page size. The margins are indicated in inches. The
dooumen would not print properly if the wrong page size is set. Some of them are
explained below.

Top margin-Distance between the top edge and the text.

Bottom margin-Distance between the bottom edge and the text.

Right margin-Distance between the right edge and the text

Left margin-Distance between the left edge and the text.

Header margin-Blank area between the top edge of the paper and the beginning of the
header.

Footer margin-Blank area between the bottom edge of the paper and the beginning of
the footer.

Paper Size

The drop down list box Paper Size lists the common sizes available, which depends on
the printer selected and change as the selected printer changes. The Custom Size
option allows you to set any paper size. The Orientation section of the Paper Size tab
box sets either the portrait or the landscape orientation for printing.

INSERT TABLE

Click Insert > Tables > Insert Table from the dropdown menu. In the Insert Table dialog
box, enter the number of columns and rows you want in this table (four columns and
five rows). In the AutoFit Behavior panel, select Auto, or click the down arrow to choose
a specific size. You can also choose AutoFit to Contents (produces narrow columns that
expand as you add data) or AutoFit to Window (expands the table to fit the document
size). Check the Remember Dimensions for New Tables box if you want the sizes you're
entering now to become your defaults for future tables.

Draw Table

Click Insert> Tables > Draw Table. The cursor turns into a pencil, which you drag down
and across to draw a box. Don't worry about the exact dimensions; you can modify it
any time.

Once the box is created, position the cursor inside the box and draw lines over and
down for the columns and rows (one at a time).

To add or remove columns and/or rows later, click anywhere inside the table, then
select the - Design tab under Table Tools. Click the Draw Table button to add or continue
drawing lines with your pencil cursor, or click the Eraser button to remove lines with the
eraser cursor. To remove a line, just touch the line with the eraser cursor, and the line
disappears.

Adding a table

1. In Microsoft Word, place the mouse cursor where you want to add the table.

2. Click the Insert tab in the Ribbon.

3. Click the Table button and select how many cells, rows, and columns you want the
table to display. You can also click Insert Table and enter the number of columns and
rows for the inserted table.

MAIL MERGE IN MS-WORD

In general sense, 'mail' means letter sent through post o ices and 'merge' means
combining two or more things together. So, 'mail merge' is the process of combining two
documents together to form a single and meaningful document. It is used to quickly
create five di erent types of documents, which are following:

1. Letters: Send letters to a group of people. You can personalise the letter that each
person receives.

2. E-mail messages: Send e-mail messages to a group of people. You can personalise
the email message that each person recieves.

3. Envelopes: Print addressed envelopes for a group mailing.

4. Labels: Print address lables for a group mailing.

5. Directory: Create a single document containing a catalog or printed list of addresses.

6. Mail Merge Toolbar: Display it in the usual way as well as (Tools > Letters and
Mailings >Show Mail Merge Toolbar.

It needs two documents - Primary and Secondary documents. Primary document (Main
Document) contains the main page or the subject matter of the letter to be printed, in
which we supply di erent data. So, this page remains constant. It can also contain
pictures, frames, will be merged with the main document Secondary document (data
source) contains data of designs that are to be inserted into the document. When
merging, the data in the secondary The di erent persons or organizations, which is to be
merged in the main (primary) document So and records (rows) information, which is
same as database table.

Step 1: Choose document type and file name

Choose the type of document you want to merge information into the Mail Merge task
pane After you choose, click Next at the bottom of the task pane.

Choose the main document you want to use. If your main document (called the starting
document in the task pane) is already open, or you are starting with a blank document,
you can click Use the current document.

Step 2: Connect to a data file and select records

In this step in the mail-merge process, you connect to the data file where the unique
information that you want to merge into your documents is stored.

Choose the records in the data file that you want to use.

After you connect to the data file that you want to use or create a new date file, the Mail
Merge Recipients dialog box opens. You can select a subset of records for your mail
merge by sorting or filtering the list.

Step 3: Add fields to the main document

If your main document is still blank, type the information that will appear in each copy.
Then, add fields by clicking the hyperlinks in the task pane.

Match fields: Fields are placeholders that you insert into the main document at
locations where you want unique information to appear. For example, you can click the
Address block or Greeting line links in the task pane. Fields appear in your document
within chevrons, for example, <<<AddressBlock».

Step 4: Preview the merge and then complete it

Preview the merge: You can preview your merged documents and make changes before
you actually complete the merge.

Complete the merge: Now what you do it depends on what type of document you're
creating. If you are merging letters, you can print the letters or modify them individually.
If you choose to modify the letters, Word saves them all to a single file, with one letter
per page.
