Presentation of the IFE Matrix

"To evaluate the internal condition of the Admission System, we used an Internal Factor
Evaluation or IFE Matrix. This tool helps identify the major strengths and weaknesses of the
system based on the responses gathered from the IT Staff, Admission Staff, Freshmen
Students, and Parents.

The matrix consists of twelve key internal factors. Each factor was assigned a weight based on
its importance and a rating based on whether it represents a strength or a weakness. The
weighted scores were then added to determine the overall internal position of the admission
system.

Looking at the strengths, the highest weighted score is 0.60, which corresponds to the factor
stating that the admission staff are helpful, accommodating, professional, and responsive to
concerns. This shows that stakeholders highly appreciate the quality of service provided by the
staff. Other major strengths include the use of a centralized Student Information System, clear
admission procedures, automated processes, strong data security, and effective coordination
among departments.

On the other hand, the matrix also identified several weaknesses. These include long waiting
times during peak enrollment periods, system slowdowns caused by internet and technical
issues, overcrowding, the presence of some manual processes, occasional power interruptions,
and staff workload concerns. Although these weaknesses affect the efficiency of the admission
process, their impact is lower compared to the strengths identified.

After computing all weighted scores, the Admission System obtained a total score of 3.04. Since
this score is above the average benchmark of 2.50, it indicates that the admission system has a
strong internal position. This means that the organization is effectively utilizing its strengths to
support admission operations. However, addressing the identified weaknesses through
improved infrastructure, enhanced automation, better queue management, and additional
resources can further improve the overall efficiency and satisfaction of stakeholders.

Therefore, we can conclude that the Admission System is functioning effectively, but there are
still opportunities for improvement to provide faster, smoother, and more reliable services."
