The Function Sheet or Event Order
The function sheet details includes:
▪ The name of the guest ▪ Timing schedule for the

After the booking of a function the Events Manager or
Banquet Coordinator will send a copy of the Function
Sheet or Event Order to each and every department
who will be involved in the function.

TYPES OF FUNCTIONS
1. Formal Functions
▪ Certain procedures, such as seating the host, chief guest,
guest of honor, and the invitees, and serving the food and
beverages are decided by the host. This should be strictly
followed during the function. Functions hosted by the head of
the country or state, military, and formal wedding breakfasts
are some examples of formal functions.

2. Informal Functions
▪ In an informal function, no formalities and procedures are
followed regarding seating, serving, and dress codes. The
service is indiscriminate in sex and rank.
▪ These functions normally include entertainment. One can
witness the casual behavior of the guests during informal
functions. More informal functions are organized in the
present day.
▪ For example, Birthday parties, Cocktail parties, Wedding
anniversaries, Club member meetings, Alumni meets, etc.
INFORMAL FUNCTION TYPES

Social Functions
▪ The purpose of this social function is to meet people,
make new friends, entertain oneself, and build
relationships.

▪ Example- Cocktail parties, Wedding anniversaries,


Birthday parties, Wedding receptions, Dining and Dance
parties, etc.

Public Relations
▪ These are organized by the business houses in order to make
the consumers aware of their presence and establish
relationships with them.
▪ Examples- Exhibitions, Contests for homemakers, Fashion
parades, Dealer’s meetings, etc.

Conferences
▪ The purpose of this type of banquet function is to share
knowledge and expertise and to discuss matters of concern.
▪ For Example- Political conferences, Trade union conferences,
International and National conferences on important issues,
etc.

practised repeatedly over a

Functions can involve anything from the simple service of
sandwiches, coffee or tea to gala banquets and can take
place anywhere, indoors or outdoor, from the garden of a
private home to a grand ballroom of a hotel.

Beverage Service at Functions

Responsibility for beverage service is normally


prearranged by a station drinks waiter. The precise
duties involved will depend on the selection of
beverages and the way they are to be served.

Types of Bars
1. Hosted Bar - the guest is charged on a drink and
charges are posted to the client’s master account for all
beverages consumed.
2. Open Bar - beverage service is unlimited and charged
on a per person basis for a specified period of time.
These charges are also posted to the client’s master
account.
3. Cash Bar - beverages are charged on a per order
basis. Payment is collected at the time the drink is
served to each individual guest.
4. Self-Service Bar - guests to prepare on their own and
will not require a bartender; however, an attendant
should be scheduled to replenish products as needed.

Cocktail Reception
▪ It is important that all staff stay with their allocated
duties to ensure good service.
▪ Drinks – servers who have been allocated drink duties
will report to the bar and pick up trays of drinks.
Guests take drinks from the tray.
▪ Once all guests have a drink, bottles of champagne
and wine can be taken around the room to top up
glasses for those guests with those drinks. OR,
guests can take a fresh glass from a tray.
NOTE: When leaving the room to get a tray, servers
should make sure to pick up dirty glasses and ashtrays,
and return to the breakdown area to drop them off.
