Module 4: Insert and Format Objects
In this module you will learn how to:

Module4: The Basics
BUILDING BLOCKS
Building blocks are saved objects or elements that you
insert into a document, such as text, logos, tables or
images.
Module4: Inserting structural building blocks

word 2016 includes several types of building blocks that provide


structure, which is particularly important for long documents.

1- Cover pages
2-Text boxes
3- Tables of contents
Module 4: Create a Building Block
1. Select the text or cover page you want to save as a building block.
2. Click the Insert tab.
3. Click the Quick Parts button.
4. Select Save Selection to Quick Part Gallery.
Module4:Text Building Blocks
This is how you can create a Building Block with text.
First you need to select the content you want to save, then go to the ‘Insert’ then click
the ‘Quick Parts’ then click “save selection to quick part gallery “ then “Create New
Building Block” dialog box will pop up.
Module4: Building Blocks Organizer
This is the place where all existing Building Blocks are found.

Insert then “quick parts” then “building blocks organizer”, Then you need to find the
section you saved your building block in within the Building Blocks Organizer then
click insert.
Module4: Insert a predefined cover page
1- On the Insert tab, in the Text group, click the Quick Parts button
2- click Building Blocks Organizer.
3- In the Building Blocks Organizer, click any building block that is a member of the Cover
Pages gallery
4- click Insert.
Module 4: Insert Objects(files).

You can add DOCX, PDF, TXT, and many other file formats. These can be embedded
as an icon or added as a link.
Steps to add a file in word document:
1. Click the Insert tab.
2. Click Object.
3. Click Create from File.
4. Click Browse and select a file.
5. Check the box for Display as icon.
6. Click OK.

Module4:Insert Links
Hyperlinks in your document work the same way whether in desktop Word or Word for the web. You can create
a link to go to a web address or a place within the document -- or even to send an email.
• Link to an external site
1- Insert >Link

2- In the Display text box, type the text that readers will see and click. To link
to a web address, type or paste the address into the Address box.

1-To link to an email address, type mailto: followed by the recipient's email address, in
the Address box.

• Link to a heading within your document
1- Select the text that you want to turn into a hyperlink.
2- On the Insert tab group on the ribbon, select Link. This will open the Insert Hyperlink dialog box.
3- On the right side of the dialog box, select This Document. Word will display a list of the existing headings in
your document.

4- Choose the heading you want to link to and select OK.


5- Optionally, click the newly created link to test it. This should take you to the corresponding
heading location the document.

• Link to a bookmark within your document
1- Select the text that you want to turn into a hyperlink.
2- On the Insert tab group on the ribbon, select Link. This will open the Insert Hyperlink dialog box.
3- On the right side of the dialog box, select This Document. Word will display a list of the existing
bookmarks in your document.
4- Choose the bookmark that you want to link to and select OK.
5- Optionally, click the newly created link to test it. This should take you to the corresponding
bookmarked location in your document.
Module 4: Insert and format shapes.
How to Insert Shapes in MS Word?
Microsoft Word has a special feature called shapes in which users can insert many different
types of shapes in the document. A shape highlights the important item of the document. It
attracts the attention of the readers for a better understanding of the content of the document.
The figure below shows the different types of shapes that are available in MS Word.
Module 4: Add Shapes in MS Word2016
Steps to Insert Shapes in MS Word
Step 1: On the navigation menu click on the insert option.
Step 2: In the illustration section select the shapes option as
shown in the figure:
Step 3: A list of shapes will pop up on the screen where you
can select different types of shapes.
Step 4: Now select a shape as per your need.
Step 5: Next drag the cursor on your current page to draw the
shape.
Step 6: Finally shape is added on the current page of the
document.
Module4: Controlling shape layout options:
Shapes use layout options to control where they sit. These options are set when you select the shape
(click on it) and then click the Layout Options button, as illustrated in the following figure:
Here are the layout options and a description of how they affect an object:
In Line with Text: The default option treats the object as though it were just another character in a
paragraph — albeit a potentially large character.
Square: The object sits inside a rectangle, no matter what the object's shape. Text flows around the
rectangle, keeping equidistance from the object.
Tight: This setting is similar to square, though the text is closer to the object and matches its shape.
Through: If the object's shape allows, text flows through the image, perhaps filling an interior space
or space between separate sides of the same object.
Top and Bottom: The object is held in a box with the top and bottom extending to the page margins.
Behind Text: The object floats behind the text, as though it's part of the page.
In Front of Text: The object floats in front of the text, obscuring the text if the object is opaque.

very easy to create .

Module4: Insert Smart Art:
Insert Smart Art Steps:
1- Position the cursor in the document where you want to insert the diagram.
2- Do either of the following to open the Choose a SmartArt Graphic dialog box:
• On the Insert tab, in the Illustrations group, click the SmartArt button.
• Press Alt+N+M.
3- In the left pane, select a type of diagram. Then in the center pane, select a
diagram layout thumbnail to view an example, along with a description of what
the diagram best conveys, in the right pane.
4- Click OK to insert the selected diagram at the cursor.
Module4: Modifying Smart Art:
You can make many changes directly on the diagram canvas, but if you prefer, you can
also make changes from the ribbon. From the Design tool tab, you can make
changes such as the following:
1- Add, move, and change the hierarchy of shapes.
2- Change to a different layout.
3- Change the color scheme of the diagram.
4- Change the effects applied to the diagram shapes.
5- Reset the diagram to its default settings.
Module4:Insert and format images.
Adding pictures to your document can be a great way to illustrate important information and
add decorative accents to existing text. Used in moderation, pictures can improve the overall
appearance of your document.
Inserting Pictures from Your Computer:
1- click insert tap, click pictures, A window will open, allowing you to navigate to the picture on your
computer.
Module4:Insert Online Images:
Click the Online Pictures button.

When you click the button, this window will appear, then type in a description of what you're looking in
the Bing Image Search field. Use keywords, such as coffee, woman:
Module4:Formatting Images:
You can easily format any image you place in your documents by click on the image.
You'll then see the Picture Tools Format Tab.

1- Adjusting images
2- Picture styles
3- Arrange pictures
4- Pictures size
Module4:Add a border to a picture:
1- Select the picture you want to add a border to, then click the Format tab.
2- Click the Picture Border command. A drop-down menu will appear.
3- From here, you can select a color, weight (thickness), and whether the line is dashed.

4- The border will appear around the image.
