the Activity &
Discussion
The activity kicked off with a joint coordination meeting between the
School Administration, the Library Committee, and the General
Maintenance/IT Units.
Discussion Focus: The team discussed the critical balance
between aesthetics and functionality. It was heavily emphasized
that a library's success isn't just about storing books, but creating
an environment where students want to study.
Activity Highlight: A comprehensive "Library Walkthrough" was
conducted to pinpoint structural weak spots, dead Wi-Fi zones,
and ergonomics issues before any physical work began.
Physical Transformation & Environmental Controls
The physical maintenance phase focused on turning the library into a
safer, healthier, and more modern space.
Discussion Focus: The maintenance team noted that fluctuating
humidity levels in the past had contributed to minor mold risks on
older text volumes. Resolving airflow issues was prioritized over
simple cosmetic paint jobs.
Activity Highlight: * 100% of wall-mounted and island
bookshelves were reinforced with heavy-duty anchors to ensure
earthquake/structural safety.
o The HVAC system was thoroughly serviced, and digital
hygrometers were installed to actively monitor book-
preservation climates.
o Dim yellow lighting was replaced with bright, energy-
efficient LED fixtures, instantly revitalizing the reading
areas.
Aggressive Collection "Weeding" and Inventory Reindexing
One of the most labor-intensive highlights of the project was the thorough
audit of the library's physical media.
Discussion Focus: Faculty representatives and the librarian
debated the criteria for "weeding" materials. It was agreed that
textbooks older than 10 years with outdated scientific or historical

data would be retired to make room for contemporary literature
and updated research materials.
Activity Highlight: * Thousands of books were physically
scanned and cross-referenced with the digital database.
o Hundreds of damaged or severely outdated books were
successfully culled.
o The remaining collection was re-categorized with vibrant,
color-coded shelf guides and crisp Dewey Decimal
signage, making it easier for younger students to navigate
the shelves independently.
IT Overhaul and Digital Resource Accessibility
Recognizing that modern literacy involves digital competence, a
significant portion of the activity was dedicated to the library’s tech
ecosystem.
Discussion Focus: The IT department highlighted that student
research bottlenecks occurred because the Library Management
System (LMS) was laggy and search kiosks frequently dropped
connection.
Activity Highlight: * The LMS was upgraded to its latest secure
cloud version, rendering search queries instantaneous.
o A new high-capacity Wi-Fi access point was dedicated
strictly to the library perimeter, completely eliminating
previous internet "dead zones."
o Hardware peripherals (barcode scanners and receipt
printers) were replaced, reducing the average student
checkout time to under 30 seconds.
Accountability and Resource Recovery Drive
To round out the optimization cycle, the library launched an aggressive
school-wide resource recovery campaign.
Discussion Focus: The administration discussed minimizing asset
loss. It was noted that a gentle, amnesty-focused approach works
better than heavy financial penalties for getting students to return
long-overdue books.
Activity Highlight: The "Book Return & Amnesty Week"

Ways To ensure that the upgrades completed during the maintenance phase are
Forward/ sustained, the School Administration, Faculty, and Library Committee
Agreements have officially agreed upon the following institutional policies and future
& Timelines actions:
Institutionalization of "Routine Maintenance Sundays/Weekends":
Minor technical and facility checks will no longer be deferred to
the end of the year. The IT and Maintenance units have agreed to
bi-monthly routine sweeps.
Adoption of the 5S Methodology: The library staff will strictly
enforce the 5S framework (Sort, Set in order, Shine, Standardize,
Sustain) to ensure that the newly organized book layouts and
clean environments do not degrade over the coming terms.
Curriculum Integration: Academic Department Heads agreed to

map out their syllabi alongside the library’s updated digital and
physical catalog. Teachers will schedule dedicated "Library
Research Hours" within their weekly lesson plans to maximize the
utilization of the newly upgraded space.
Budgetary Commitment for Annual Acquisitions: The school
administration agreed to allocate a fixed percentage of the next
school year's operating budget explicitly for replacing the
"weeded" materials with updated textbooks and contemporary
literature.
