In business communication, communication can be conveyed in two primary ways; qualitatively
and quantitatively.
1. Qualitatively communication
Qualitatively communication involves expressing information using words rather than numbers.
It explains the nature, quality, behavior or characteristics of something. It answers questions like
“Why?”, “How” and “What does it feel like”.
How to communicate qualitatively:
Written methods: reports with narrative descriptions, case studies, customer testimonies,
focus group summaries, email updates, executive summaries or storytelling in
presentations.
Verbal/oral methods: meetings, interviews, presentation, storytelling, feedback sessions
or brainstorming discussions.
Visual/non-verbal methods: photos, videos, infographics with icons (non-charts), mood
boards, diagrams or body language and tone during presentations.
Examples:
Describing company culture: “our team thrives in a collaborative, innovative environment where
ideas are freely shared.”
Customer feedback: “clients appreciate the personalized service and responsiveness of our
support team.”
Market research: “participants expressed frustration with the current interface due to its
complexity.”
2. Quantitative communication
Quantitative information is numerical, measurable and objective. It focuses on quantities,
amounts, statics and metrics. It answers questions like “How much?”, “How many?” and “What
is the percentage?”
How to Communicate Quantitatively:
Written methods: Tables, financial statements, performance dashboards, survey results with
percentages.
Visual methods: Bar chats, line graphs, pie charts, histograms and heat maps.
Oral methods: presenting numbers with clear explanations (e.g., “sales increased by 23% this
quarter”), using data in meetings.
Examples:
Sales report: “revenue grew from $1.2 million to $1.8 million, representing a 50% increase year
over year”.
Employ survey: “85% of staff rated work life balance as good or excellent (up from 62% last
year)”.
Market analysis: “our product holds 28% market share, ahead of competitors A at 19%.”
