ABSTRACT
Lost and misplaced personal belongings are a common problem in college campuses and local communities,
causing inconvenience, stress, and low recovery rates. Traditional lost-and-found methods such as notice
boards, word-of-mouth, or manual registers are inefficient, unorganized, and lack scalability. This project
proposes a centralized, digital Lost & Found Portal that enables efficient reporting, searching, and retrieval of
lost or found items. The system allows users to upload photos, provide detailed descriptions, and share contact
information in a secure manner, making identification and claiming of belongings faster and more reliable. The
portal is designed with a clean, user-friendly interface, ensuring accessibility and wide participation. By
integrating features such as photo-based matching, secure contact exchange, and administrative verification,
the system increases recovery success rates and builds trust among users. This digital platform aims to replace
fragmented traditional methods with an organized, efficient, and community-driven solution, ultimately
reducing item loss and improving user experience within campuses and local communities.

I. INTRODUCTION
Lost belongings such as ID cards, books, wallets, and electronic devices are a common issue in campuses and
local communities, often causing stress and inconvenience for students and staff. Traditional methods such as
notice boards, manual registers, or word-of-mouth communication are generally unstructured, inefficient, and
time-consuming. These approaches often fail to reach a large number of users and make it difficult for
individuals to track or recover their lost items. The major challenge lies in the absence of a centralized and
reliable system that can efficiently manage information related to lost and found items.
To address this issue, this project proposes a digital Lost & Found Portal that enables users to report lost or
found items through an organized online platform. The system allows users to upload photos, provide detailed
descriptions, and specify the location where the item was lost or found. It also includes features such as
keyword-based search, item filtering, secure communication between users, and administrative verification to
ensure authenticity and prevent misuse. By providing a centralized, accessible, and user-friendly solution, the
proposed system improves the efficiency of item recovery and encourages community participation in helping
individuals retrieve their lost belongings.
II. SYSTEM DESIGN
The proposed Lost & Found Portal is designed as a centralized, web-based platform that connects individuals
who have lost belongings with those who have found them. The system architecture focuses on usability,
security, and reliability to ensure an efficient reporting and retrieval process. By providing a digital platform,
users can easily submit information about lost or found items and search the database to identify potential
matches.
1. Architecture Overview
The system follows a three-tier architecture, which separates the user interface, application logic, and data
storage layers for better scalability and maintainability.
• Presentation Layer (Frontend):
A web-based and mobile-responsive interface that allows users to register, log in, report lost or found items,
upload images, and search for items using keywords, categories, or location filters.

• Database Layer:
Stores all relevant information such as user details, item descriptions, uploaded images, timestamps, and claim
records. A relational database ensures efficient storage, retrieval, and management of data.
2. Key Functional Modules
• User Registration & Authentication:
Provides a secure login and registration mechanism to ensure that only authorized users can access the portal.
• Lost Item Reporting:
Allows users to submit details about lost belongings, including item name, description, category, image, and
location.
• Found Item Reporting:
Enables users who find items to upload information about the discovered object, helping potential owners
identify their belongings.
• Search & Matching Engine:
Implements keyword-based search and filtering options (such as date, category, or location) to help users
quickly locate relevant items.
• Notification System:
Sends alerts or notifications to users when a possible match between lost and found items is detected.
• Admin Dashboard:
Allows administrators to monitor system activity, verify posts, manage users, and resolve disputes between
users.
• Secure Communication:
Ensures that user contact information remains protected and is shared only when both parties confirm the
claim process.
3. Data Flow
1. A user reports a lost or found item through the portal.
2. The system stores the information in the centralized database.
3. The system checks the database for possible matches using keyword filtering.
4. If a potential match is identified, the system sends notifications to the relevant users.
5. An administrator may verify the claim before the item is returned to its rightful owner.
4. Design Considerations
• Scalability: The database and system architecture are designed to handle a large number of item reports and
users.
• Security: User authentication, encrypted passwords, and controlled access mechanisms help protect sensitive
information.
• Usability: The interface is designed to be simple and intuitive, allowing users to report items quickly and
efficiently.
• Accessibility: The portal is responsive and accessible on both desktop and mobile devices, ensuring easy
access for all users.

III. SOFTWARE ARCHITECTURE
The Lost & Found Portal is built using a modular three-tier software architecture that separates the user
interface, application logic, and data management layers. This architectural design improves system scalability,
maintainability, and performance while allowing future feature integration.
1. Presentation Layer (Frontend)
• Developed as a web-based and mobile-responsive interface.
• Provides user-friendly forms for reporting lost or found items, uploading images, and entering item
descriptions.
• Supports search and filtering options based on category, location, and date.
• Uses HTML, CSS, JavaScript, and frontend frameworks such as React or Angular to ensure responsiveness
and accessibility across devices.
2. Application Layer (Backend)
• Acts as the core processing layer of the system.
• Handles user authentication, item posting, keyword-based matching, and notification services.
• Implements secure communication between users by protecting personal contact details until claim
verification.
• Provides RESTful APIs to enable interaction between the frontend and backend services.
• Built using Python frameworks such as Django or Flask for efficient backend processing and scalability.
3. Database Layer
• Serves as the central data repository for storing user accounts, item descriptions, uploaded images,
timestamps, and claim records.
• Implemented using Relational Database Management Systems (RDBMS) such as MySQL or PostgreSQL.
• Ensures data integrity, secure storage, and efficient data retrieval using optimized SQL queries.

maintenance purposes.
5. Workflow Summary
1. Users log in and submit lost or found item reports through the portal.
2. The system processes the submitted data and stores it in the database.
3. The backend checks the database for possible matches using keyword-based filtering.
4. If a potential match is found, notifications are sent to the relevant users.
5. Administrators verify the claim if required before the item is returned to its rightful owner.
IV. SOFTWARE COMPONENTS
The Lost & Found Portal is developed using a combination of front-end, back-end, and database technologies
along with supporting tools and services. Each component plays an important role in ensuring usability,
scalability, and secure functioning of the system.
1. Frontend Components
• HTML5 & CSS3: Used to design the structure and layout of the portal interface.
• JavaScript: Enables interactive features, client-side validation, and dynamic content updates.

images, timestamps, and claim records.

• IDE (VS Code / PyCharm): Used for coding and development of the portal.
• Version Control (Git/GitHub): Maintains project code history and supports collaboration.
• Web Server (Apache / Nginx): Hosts the application and manages HTTP requests.
• Cloud Deployment (AWS / Heroku / Firebase): Provides scalable hosting and remote access to the portal.

V. PERFORMANCE EVALUATION
The Lost & Found Portal was evaluated through simulated campus scenarios and user testing to assess its
efficiency, usability, and overall system performance. Several parameters were considered to determine how
effectively the platform supports reporting, searching, and recovering lost items.
• Item Reporting Efficiency:
Users were able to submit lost or found item reports quickly by filling out simple forms and uploading images.
On average, reporting an item required only a short amount of time due to the streamlined interface and
minimal input requirements.
• Search and Matching Effectiveness:
The system provides keyword-based search and filtering options that allow users to easily locate relevant
items. These features help reduce the time required to identify potential matches between lost and found items.
• Notification Responsiveness:
The portal generates notifications when potential matches are detected, helping users receive timely updates
regarding their reported items. This improves the chances of quicker item recovery.
• Secure Communication:
User contact details remain protected until the claim process begins. This ensures privacy while enabling safe
communication between the finder and the owner.
• Administrative Verification:
The admin dashboard allows administrators to monitor item reports, verify claims, and manage disputes, which
helps maintain reliability and prevent misuse of the platform.
• System Stability and Scalability:
The web-based architecture allows the portal to handle multiple users accessing the system simultaneously.
The modular design supports future expansion and integration with larger campus systems.
• User Experience and Usability:
Initial testing indicated that users found the interface easy to understand and navigate. The responsive design
ensures that the portal works efficiently on both desktop and mobile devices.
Overall, the evaluation demonstrates that the Lost & Found Portal provides a reliable and efficient solution for
managing lost and found items in campuses and community environments.

VI. LIMITATIONS
Despite its promising performance, the Lost & Found Portal has several limitations that may affect its overall
effectiveness in certain situations.
1. User Participation Dependency:
The effectiveness of the system largely depends on users actively reporting lost or found items. If individuals
fail to report items or provide incomplete information, the chances of successful recovery may decrease.
2. Verification Delays:
In cases involving valuable or disputed items, administrator verification may be required before the item is
returned to the owner. This verification process can sometimes delay the recovery procedure.
3. Data Accuracy and Completeness:
The accuracy of the system depends on the quality of information provided by users. Incomplete descriptions,
unclear images, or incorrect location details may reduce the effectiveness of item matching.
4. System Access and Connectivity:
Since the portal is web-based, users require internet access to report or search for items. Individuals without
reliable internet connectivity or compatible devices may experience limited access to the system.
5. Scalability in Large Environments:
While the system performs well under normal usage conditions, a very large number of users or item reports
may require additional server resources and database optimization to maintain smooth performance.
6. Privacy and Trust Concerns:
Although the system protects user information and enables secure communication, some users may still
hesitate to share contact details or interact through the platform, which could affect participation levels.
VII. FUTURE WORK
The Lost & Found Portal can be further enhanced by addressing current limitations and incorporating advanced
technologies to improve efficiency, scalability, and user engagement.
1. AI-Assisted Image Matching:
Future versions of the system can integrate machine learning or computer vision techniques to automatically
match lost and found items based on uploaded images, descriptions, and location details, improving matching
accuracy.
2. Mobile Application Development:
Developing dedicated Android and iOS mobile applications would make the platform more accessible and
convenient for users, enabling quicker reporting and easier item tracking.
3. Real-Time Location Integration:
Integration of GPS or QR-code-based location tagging could help users accurately mark the location where
items were lost or found, making the recovery process faster and more precise.
4. Enhanced Notification System:
Future updates could include push notifications, in-app alerts, and reminder systems to notify users
immediately when potential matches are detected.
5. Community and Social Features:
Introducing features such as user reputation scores, item-sharing history, or community verification could
encourage honest participation and improve trust among users.
6. Scalability and Cloud Integration:
Deploying the portal on cloud infrastructure would allow the system to support a larger number of users,
handle high volumes of item reports, and ensure better system availability and performance.

VIII. CONCLUSION
The Lost & Found Portal provides an effective and organized solution for managing lost items within
campuses and local communities. By enabling users to report, search, and recover belongings using photos,
detailed descriptions, and secure communication features, the system demonstrates how digital platforms can
significantly improve the efficiency of lost item recovery. The centralized database and user-friendly interface
help simplify the process of identifying and claiming lost belongings while reducing the time and effort required
in traditional manual systems.
Furthermore, the portal promotes transparency and cooperation among users by providing a structured
platform for communication between the finder and the owner. Its scalable and responsive design allows the
system to be easily adopted across educational institutions and community environments.
Future improvements may include AI-based image matching, mobile application integration, real-time
location tracking, and cloud-based deployment, which can further enhance system performance,
accessibility, and reliability. With these enhancements, the Lost & Found Portal has the potential to evolve into
a comprehensive digital solution for managing lost and found items in modern campus ecosystems.
