1. Introduction to the Review Ribbon


The Review ribbon (also called the Review tab) is one of the most important tabs in Microsoft
Word. It is located at the top of the Word window, in the menu bar called the Ribbon. The
Review ribbon contains tools that help you check, edit, and improve your document.

When you click on the Review tab, you will see many groups of buttons. Each group has a
specific job. Together, these tools make it easy to write better documents, work with other
people, and translate text into different languages.

2. Overview: Groups in the Review Ribbon


The Review ribbon is divided into several groups. Each group contains related tools. Here are
the main groups:

Proofing Check spelling, grammar, and word meanings
Speech Read the document aloud using text-to-speech
Accessibility Check if the document is easy for everyone to
read
Language Translate text and change the editing language
Comments Add, reply to, and delete comments
Tracking Track changes made by different users

Compare Compare two versions of a document
Protect Lock the document to prevent unwanted changes
Ink Write or draw on the document using a pen

3. Proofing Group
The Proofing group helps you find and fix mistakes in your writing. This is one of the most useful
groups for students and writers.
3.1 Spelling & Grammar
This tool checks your whole document for spelling mistakes and grammar errors. When Word
finds a mistake, it shows you a suggestion to fix it. You can choose to accept the suggestion or
ignore it.
• Shortcut key: F7
• Word underlines spelling mistakes in red and grammar mistakes in blue or green.
• Always run Spelling & Grammar before submitting any important document.

3.2 Thesaurus
The Thesaurus helps you find synonyms — words that have the same or similar meaning. This
is very useful when you want to avoid repeating the same word many times.
• Shortcut key: Shift + F7
• Right-click any word and select 'Synonyms' for a quick thesaurus result.

3.3 Word Count


Word Count shows you how many words, characters, paragraphs, and lines are in your
document. This is helpful when your assignment has a word limit.
• You can also see the word count in the status bar at the bottom of the Word window.

4. Language Group
The Language group has tools to help you work with different languages. This is especially
helpful for students who write in more than one language.

4.1 Translate
The Translate tool can translate selected text or the whole document into another language.
Word uses Microsoft Translator to do this automatically.
• You can translate a single word, a sentence, or the whole document.
• Supported languages include English, Khmer, French, Chinese, Spanish, and many
more.

4.2 Language / Set Proofing Language


This tool lets you tell Word which language you are writing in. Word will then use the correct
spelling and grammar rules for that language.
• If you write in Khmer and English, you can set the language for each part separately.
5. Comments Group
Comments are notes that you can add to a document without changing the main text. They
appear in the margin (on the side) of the page. Comments are very useful when teachers give
feedback on student work, or when team members review each other's writing.

Previous Go to the previous comment in the document
Next Go to the next comment in the document
Show Comments Show or hide all comments

To add a comment: Select the text you want to comment on → Click Review → Click New
Comment → Type your comment.

6. Tracking Group
The Tracking group is one of the most powerful features in the Review ribbon. It records every
change made to a document so you can see who changed what.

6.1 Track Changes


When Track Changes is turned ON, every edit is recorded. Deleted text is shown with a
strikethrough (line through it), and new text is shown in a different color or underlined.
• This is very useful when two or more people are editing the same document.
• Each person's changes appear in a different color so you can tell them apart.
• Shortcut key: Ctrl + Shift + E

6.2 Show Markup


Show Markup lets you choose what kind of tracked changes to display — for example, only
comments, or only formatting changes.

6.3 Reviewing Pane


The Reviewing Pane opens a panel on the left or bottom of the screen that lists all changes and
comments in order. This makes it easy to review all edits in one place.
7. Changes Group
After you review tracked changes, you need to decide: do you want to keep the change (Accept)
or remove it (Reject)?

8. Compare Group
The Compare group lets you compare two versions of the same document. This is useful when
you saved an old version and a new version, and you want to see what changed.
• Click Compare → Choose the original and revised documents → Word shows all the
differences.
• The result is shown as tracked changes, so you can accept or reject each difference.

9. Protect Group
The Protect group lets you control who can edit your document. You can lock the document so
that other people cannot change it, or you can allow only certain types of editing.
• Restrict Editing: You can allow comments only, or no editing at all.
• You can also set a password so that only people with the password can remove the
protection.
• This is useful for official documents, tests, or forms.

10. Practice Exercises


Complete the following exercises to practice using the Review ribbon:

Exercise 1 — Spelling & Grammar


Open a new document. Type the following text with mistakes on purpose:
"I am studing english becaus I want to get a good carreer in the futur."
Then use Spelling & Grammar (F7) to find and fix all the mistakes. How many mistakes did you
find?

Exercise 2 — Comments
Open any document. Select a sentence and add a comment that says: "This sentence can be
improved." Then delete the comment.

Exercise 3 — Track Changes


Open a document and turn on Track Changes. Make 3 changes to the text: delete one word,
add one word, and change one word. Then accept two of the changes and reject one.

Exercise 4 — Translate
Type a short paragraph in English. Use the Translate tool to translate it into Khmer. Copy the
translation into a new document.
