Problem Definition Document

1. Analysis of the Problem


In many restaurants, the food ordering process is still dependent on traditional or semi-
digital systems that are not designed to handle modern customer requirements efficiently.
These systems often rely heavily on manual interaction between customers and restaurant
staff, which can create several operational challenges.

When customers arrive at a restaurant, they usually need to wait for a waiter to take their
order. During peak hours, waiters may be handling multiple tables simultaneously, which
increases the waiting time for customers. This delay can negatively affect the overall dining
experience and lead to dissatisfaction.

Another major challenge arises when customers visit restaurants in groups. In such
situations, every person in the group may want to order different food items. Typically, one
person collects all the orders and communicates them to the waiter. This process is
inefficient and increases the chances of mistakes such as:
• Missing items
• Incorrect quantities
• Confusion between different customers’ orders
• Difficulty in modifying orders

Furthermore, existing restaurant systems generally support only individual ordering and do
not provide a structured way for multiple users to collaborate on a single order. As a result,
group ordering becomes complicated and poorly organized.

Another issue is the lack of a proper order confirmation mechanism. In traditional systems,
there is no way to ensure that every member of a group has finalized their selection before
the order is placed. This often results in order changes after submission, which creates
confusion for restaurant staff and delays the food preparation process.

From the management perspective, restaurants also face difficulties in tracking orders,
generating invoices, and maintaining order records. Manual billing systems can lead to
errors and make it difficult to maintain accurate financial records. Additionally, analyzing
order data and generating reports becomes challenging without an automated system.

Customers may also face difficulty finding specific food items from a large menu when there
is no search functionality available. This increases the time required to place an order and
reduces system usability.

Therefore, there is a clear need for a digital solution that can streamline the ordering
process, support group ordering, and provide efficient order management for restaurants.
2. Detailed Problem Statement
The primary problem addressed in this project is the inefficiency of traditional restaurant
ordering systems, especially when handling group orders and order management.

The existing system lacks a structured approach to allow multiple customers to place a
combined order while maintaining individual selections. When groups of people visit
restaurants, coordinating orders becomes complicated because there is no proper digital
platform where each member can independently select items and contribute to a shared
order.

Another significant issue is the absence of a collaborative ordering environment. Without


such a system, customers must rely on verbal communication to coordinate orders, which
increases the possibility of errors and misunderstandings.

Restaurants also struggle with order tracking and invoice management. Manual or semi-
manual systems make it difficult to generate invoices automatically, maintain order records,
and monitor sales data efficiently.

The absence of a centralized management system prevents restaurant administrators from


easily monitoring order activities, managing invoices, or generating business reports.

To address these issues, the proposed system introduces a Smart Restaurant Ordering
System with Group Ordering Capability. This system allows customers to browse menu
items digitally, search for specific dishes, add items to their cart, and participate in group
orders through a shared room mechanism.

In this system, one user can create a group order room and share a unique room ID with
other members. Other users can join the room and select food items independently. Each
member can add items to their personal cart while contributing to the overall group order.

Before placing the final order, all members must confirm their selections. Once everyone
confirms, the host of the room places the final order. This ensures that every participant has
finalized their choices, reducing errors and improving order coordination.

The system also generates invoices automatically and provides an administrative interface
for monitoring orders and exporting reports. This improves both customer experience and
restaurant management efficiency.

3. Project Objectives
The main objective of this project is to design and develop a smart restaurant ordering
system that simplifies the ordering process for customers while improving operational
efficiency for restaurants.

The key objectives of the project include:


1. Digital Menu Access
To provide customers with an online menu where they can easily browse available food
items along with their prices and details.

2. Efficient Order Placement


To allow customers to add items to a cart and place orders without relying on manual
interaction with restaurant staff.

3. Group Ordering System


To introduce a room-based group ordering system where multiple users can collaborate
and place a combined order.

4. Host-Controlled Final Order


To ensure that only the room host can place the final order after all members have
confirmed their selections.

5. Improved User Experience


To make the ordering process faster and more convenient by providing search functionality
and an intuitive interface.

6. Automated Invoice Generation


To automatically generate invoices with unique order IDs and invoice numbers for accurate
record keeping.

7. Order Management for Admin


To provide an admin dashboard where administrators can view orders, manage invoices,
and export reports.

4. System Scope
The scope of the Smart Restaurant Ordering System focuses on providing a digital platform
for customers and restaurant administrators to manage the food ordering process
efficiently.

Customer Scope
Customers will be able to:
• Browse the restaurant menu
• Search for specific food items
• Add items to a cart
• Create a group order room
• Join an existing group order room
• Select items individually within the group
• Confirm their order selections
• Participate in a collaborative order
• Allow the host to place the final order
Host Scope
The user who creates the room (host) will have additional privileges such as:
• Creating a group order room
• Sharing the room ID with other members
• Monitoring group members in the room
• Placing the final order after confirmations

Admin Scope
The restaurant administrator will be able to:
• View all orders placed by customers
• Monitor order details
• Access generated invoices
• Download order reports in Excel format
• Manage order records

System Limitations
The current system focuses primarily on the ordering process and administrative order
management. Advanced features such as online payment gateways, delivery tracking, and
real-time notifications may be added in future versions.
