Problem Statement 1

Managing participant communication for events is often fragmented, manual, and prone to errors.
Organizers typically rely on multiple tools to handle registrations, confirmations, and reminders,
which leads to missed emails, inconsistent communication, and poor participant experience.

There is a need for an automated, reliable system that can seamlessly handle the entire communication
lifecycle, from registration to event day, without manual intervention.

The system should:

● Capture participant data through a structured registration process

● Automatically trigger confirmation emails upon successful registration
● Send timely follow-up emails with event details before the event
● Deliver reminders on the day of the event to ensure maximum attendance
● Minimize manual effort while maintaining accuracy and consistency in communication

What this really means is building a workflow where data flows from registration to communication
without friction, ensuring that every participant stays informed at every stage.

Objective
To design and implement an automated email communication system using Google Forms, Google
Sheets, and Apps Script that ensures timely, consistent, and error-free interaction with event
participants.

Problem Statement 2
When participants register for an event through Google Forms, their data is captured efficiently in
Google Sheets. However, integrating these participants into an already scheduled Google Calendar
event remains a manual and repetitive task.

Organizers must individually add each participant as a guest to the existing calendar event, which is
time-consuming and increases the risk of errors such as missed entries, incorrect email IDs, or
inconsistent communication. As a result, some participants may not receive the official calendar
invite, reminders, or joining links.

There is a need for an automated system that connects registration data directly with a pre-scheduled
Google Calendar event.

The system should:

● Capture participant details via Google Forms and store them in Google Sheets
● Automatically trigger an Apps Script on new form submissions
● Add the participant’s email ID as a guest to an already scheduled Google Calendar event
(CyberSunday)
● Ensure that each participant receives the calendar invitation along with event details and
reminders
● Prevent duplicate additions and maintain clean, accurate guest lists
● Eliminate manual intervention while ensuring reliable communication

What this really means is removing the manual step between registration and calendar onboarding, so
every participant is automatically included in the event ecosystem the moment they register.

Objective:
To build an automated workflow using Google Forms, Google Sheets, and Apps Script that adds
registered participants as guests to a pre-scheduled Google Calendar event, ensuring seamless
onboarding and consistent communication.

Problem Statement 3
You are responsible for managing email communication for CyberSunday, a weekly awareness
initiative. You have a dataset of 1,000 student email IDs stored in a Google Sheet, and you need to
send them structured email communication regarding upcoming sessions.

However, there are clear operational constraints. The email platform allows sending a maximum of
120 emails per day, which makes bulk sending in a single attempt impossible. At the same time,
sending emails manually in small batches every day is repetitive, time-consuming, and increases the
chances of human error such as skipping recipients, sending duplicate emails, or inconsistencies in
content.

The challenge is to build a reliable and efficient system that ensures all students receive the
communication in a timely manner, without requiring continuous manual effort. The system should be
able to handle daily limits, maintain consistency in email content, and track progress so that no
recipient is missed or contacted more than once.

Objective:
Design and implement an automated workflow using existing tools such as Google Sheets (for storing
and managing email data), Google Docs (for maintaining standardized email content), and Google
Apps Script (for automation and execution).

The solution should:

● Automatically send emails in controlled batches of up to 120 per day

● Run on a scheduled basis without requiring manual triggering each time
● Track the status of each email (such as Sent, Pending, or Failed) within the dataset
● Ensure that each recipient receives the email exactly once
● Maintain consistency by pulling content directly from a predefined template
● Be simple, reliable, and easy to manage by a team with basic technical knowledge

The goal is to create a practical, scalable system that reduces manual workload, improves accuracy,
and ensures smooth execution of communication at scale.

Problem Statement 4
You are responsible for maintaining a website that supports critical activities and user access.
Ensuring that the website remains functional at all times is essential. However, manually checking the
website status at regular intervals is inefficient and may lead to delayed detection of downtime.

There is a need for a system that not only monitors the website periodically but also responds
immediately when an issue occurs. Specifically, the system should check the website’s availability
every 6 hours, maintain a log of each check, and instantly notify the concerned team if the website
becomes inaccessible. Without such a system, downtime may go unnoticed for hours, impacting users
and operations.

Objective

Design and implement an automated monitoring and alert system using available tools and
technologies.

The solution should:

● Check the website status automatically at 6-hour intervals

● Determine whether the website is working (accessible and responding) or not
● Maintain a structured log of each check with timestamps (e.g., in Google Sheets)
● Trigger an email notification immediately when the website is detected as down
● Avoid duplicate alerts for the same downtime instance (optional but recommended)
● Run continuously without manual intervention after initial setup

The goal is to create a reliable system that not only tracks website performance over time but also
ensures timely alerts, enabling quick response and minimizing downtime impact.
Problem Statement 5
You are managing CyberSunday, a recurring awareness initiative where participants register in
advance and attend weekly sessions. Attendance is recorded through a post-session assessment
Google Form for each session.

While registration data is available, there is no structured system to track participation, measure
turnout, and manage communication with participants. You need to determine how many participants
registered, how many attended each session, and calculate the percentage turnout for every session.

In addition to tracking attendance, there is a communication gap. Participants who attend sessions
should be acknowledged and appreciated, while those who do not attend should be followed up with
appropriately. Currently, this process is manual, inconsistent, and difficult to scale across multiple
sessions and large participant numbers.

There is also a need to identify participants who have missed two consecutive sessions and reach out
to them to understand the reasons for their absence. Without a proper system, engagement drops and
follow-ups become irregular.

The challenge is to build an integrated system that tracks attendance, generates insights, and
automates communication based on participant behavior.

Objective

Design and implement an automated system using tools such as Google Forms, Google Sheets, and
Google Apps Script to track attendance, analyze participation, and manage communication for
CyberSunday.

The solution should:

● Capture total number of registered participants

● Record attendance for each session using post-assessment form responses
● Calculate the number of participants attending each session and their turnout percentage
● Track attendance history of each participant across multiple sessions
● Automatically send a thank-you email to participants who attended a session
● Automatically send a follow-up email to participants who did not attend a session
● Identify participants who have missed two consecutive sessions
● Trigger a targeted email to such participants to understand reasons for absence
● Maintain a structured dataset or dashboard for monitoring attendance and engagement
● Operate with minimal manual intervention while ensuring accuracy and consistency

The goal is to create a system that not only measures participation but actively improves engagement
through timely and relevant communication.
Platforms to be used
All the above problems can be effectively solved using the integrated capabilities of Google
Workspace tools.

● Google Forms can be used for data collection (registrations, attendance, assessments)
● Google Sheets can act as the central database to store, manage, and analyze data
● Google Calendar can handle scheduling, event tracking, and time-based triggers
● Gmail can be used to send automated, personalized email communications
● Google Apps Script can automate workflows, process data, and connect all components

Together, these tools enable the creation of scalable, automated systems that reduce manual effort,
improve accuracy, and ensure timely execution of tasks.
