APPLICATION WRITING

Meaning of Application Writing

• Application writing means writing a formal request letter.


• It is written to ask for permission, help, leave, refund, or action.
• The language should be clear, polite, and respectful.
Example:
Writing an application to the principal for sick leave.

Language of Request

Application writing uses request language, which includes:


• Purpose (why you are writing)
• Circumstance (problem or situation)
• Action (what you want)
• Apology (if needed)
Example:
“I would appreciate it if you could grant me leave for two days.”

Format of a Short Application

Date

• Written at the top left corner


• Month should NOT be abbreviated
• Do NOT use st, nd, rd, th

Correct: 10 December 2015


Wrong: 10th Dec 2015

Recipient’s Name & Address

• Written below the date


• Use name or designation if name is unknown
Example:
The Principal
XYZ College
Karachi

Greeting / Salutation

• Use polite greetings


• Use surname if name is known

Purpose

Example:

Circumstance

Explain the situation or problem.


Example:

Action

What do you want the reader to do?


Example:
“I kindly request permission to withdraw from the course.”

Apology (Optional)

Used when inconvenience is caused.


Example:
“I apologize for any inconvenience caused.”

Complimentary Close

Depends on whether the name is known:


• Yours sincerely – if name is known
• Yours faithfully – if name is unknown
Other options:
• Respectfully yours (very formal)
• Sincerely (less formal)

Signature

• Written below the closing
