UGS SECURITY SERVICES LLP
To,
The Respected Committee Members,
C3 & C6 ,
Regency Avana, Unr - 1.
Subject: Operational Challenges & Required Support for Security
Management at Regency Avana.
Dear Sir/Madam,
We would like to bring to your attention several operational challenges being
faced by the security team at Regency Avana. Your immediate support and
intervention are requested to ensure smooth and effective security
management.
1. Parking Management
At the podium ground floor parking area, no security guards have been
deployed. Due to this, we are unable to manage or control parking activities
in that zone.
A minimum of 3 guards per shift is required for proper management.
In the absence of deployment, we will not be applying wheel clamps
(jammers) on vehicles in this area, as our team is unable to respond to
queries raised by residents.
2. No Parking Signage
All designated no-parking areas should have clear signboards installed,
including details of applicable fines. This will reduce unnecessary arguments
with residents & out-siders.
3. Jammer Policy
Written authorization should be provided by both C3 and C6 regarding:
1
- When to apply wheel clamps
- Under what conditions they should be released
- The complete process and authority for handling such situations
4. Direction Signage
Proper direction boards should be installed to guide residents and visitors
towards the exit gate.
5. MyGate App Issues
The MyGate mobile app is facing significant network issues, which needs to
be resolved at the earliest for smooth operations.
6. Amenities Timing
The timing for garden and amenities should be clearly defined and
communicated in written form.
7. Late-Night Parcel Delivery
A written SOP is required for handling parcel deliveries after 12:00 AM.
8. Guard Welfare
Security guards at the entry gate are standing for 12-hour shifts under
extreme sun and weather conditions.
We request immediate installation of a protective shed to ensure their safety
and efficiency.
9. Parking Stickers
All vehicles (cars and bikes) should be issued parking stickers for easy
identification at the main gate.
10. ID Cards for Daily Visitors
ID cards should be issued for regular service personnel such as:
- Maids
- Cooks
- Drivers
- Milk vendors, etc.
11. Resident Behavior
2
It has been observed that some residents misbehave with security guards
and supervisors at the main gate.
We request the management to kindly advise all members to maintain
respectful communication.
12. Communication Protocol
Residents from C3 and C6 are requested:
- Not to directly engage with guards for operational matters
- To communicate only through the Supervisor, Security Officer (SO), or Area
Officer
All instructions, suggestions, or directions must be provided in written
format with mutual agreement from both C3 and C6.
13. Standard Operating Procedure (SOP)
C3 and C6 should jointly prepare and provide a written SOP for security
operations.
14. Single Point of Contact
Both C3 and C6 are requested to appoint one authorized representative who
will coordinate with the security team on all common matters.
We request your prompt attention and cooperation to address the above
concerns effectively.
Regards,
Saurav A. Pandey
