Problem Statement
In many small and medium hotels, daily operations such as
room booking, customer registration, check-in and check-out, and
billing are still managed manually using paper records or basic
registers. This manual system creates several problems such as
difficulty in maintaining records, chances of data loss, slow processing,
and human errors in calculations and record keeping. It also becomes
difficult for hotel staff to track room availability and customer details
quickly, which affects the overall efficiency of hotel management.
The manual system consumes more time and effort, especially
when handling multiple customers and room bookings at the same
time. Generating bills, updating customer information, and maintaining
records becomes complex and unorganized. In addition, there is a lack
of security and proper data storage, which may lead to misplacement
or loss of important hotel information.
To solve these issues, a computerized Hotel Management
System using Java programming is required. This system will automate
hotel operations by managing customer records, room booking, billing,
and data storage in a structured manner. It will reduce manual work,
improve accuracy, provide fast access to information, and ensure
proper management of hotel operations. The system will help hotel
staff work more efficiently and provide better service to customers.
The Proposed System
The proposed Hotel Management System is a Java-based
application designed to automate and simplify hotel operations. This
system will replace the manual record-keeping process with a
computerized system that manages room booking, customer details,
check-in and check-out, and billing in an efficient and organized
manner.
The proposed system will allow the user to enter customer
information, check room availability, allocate rooms, and generate bills
easily. All data will be stored systematically, which helps in quick
retrieval and proper management of hotel records. The system will
provide a user-friendly interface so that hotel staff can operate it
without difficulty.
The proposed system will reduce manual work, minimize
errors, and save time in hotel management operations. It will also
ensure data accuracy, security, and better record maintenance.
Overall, the system will improve the efficiency, reliability, and
performance of hotel management and provide better service to
customers.
Key Features of Proposed System:
Customer registration and record management
Room booking and availability checking
Check-in and check-out management
Billing and payment calculation
Data storage and retrieval
User-friendly interface
Fast and accurate operations

Key Concepts Used in Java Program
The Hotel Management System project is developed using various
important Java programming concepts that help in building a
structured, efficient, and user-friendly application. These concepts are
essential for developing real-world software systems.
1. Classes and Objects
Classes and objects are the basic building blocks of Java programming.
In this project, different classes such as Customer, Room, Booking,
Billing, and Login are created to represent real-world hotel entities.
Objects of these classes are used to store and manage hotel data like
customer name, room number, and bill details. This makes the system
organized and easy to manage.
2. Encapsulation
Encapsulation is used to protect data by keeping variables private and
accessing them through public methods like getters and setters. In this
project, customer details and room information are stored in private
variables, and methods are used to access and update them. This
improves data security and control.
3. Constructors
Constructors are used to initialize objects when they are created. For
example, when a new customer or room object is created, constructors
assign initial values like name, room number, or price. This helps in
automatic initialization of data.
4. Methods (Functions)
Methods are used to perform specific operations in the system. For
example, methods are used to add customer details, book rooms,
generate bills, and display reports. Methods make the program
modular and easy to understand.
5. Conditional Statements
Conditional statements such as if, else, and switch are used to make
decisions in the program. For example, checking room availability,
verifying login details, and calculating billing are done using conditions.
This helps the system respond according to user input.
6. Loops
Loops such as for loop and while loop are used to repeat operations like
displaying customer records, checking room lists, and managing
multiple bookings. Loops reduce code repetition and improve
efficiency.
7. Arrays or ArrayList
Arrays or ArrayList are used to store multiple customer and room
records in the system. For example, storing details of many customers
or rooms in a list helps in easy access and management of data.
8. Java Swing (GUI)
Java Swing is used to design the graphical user interface (GUI) of the
system. Components like buttons, labels, text fields, tables, and frames
are used to create login screens, booking forms, and billing screens.
This makes the system user-friendly and interactive.
9. Exception Handling
Exception handling is used to handle errors such as invalid input,
missing data, or system errors. Try-catch blocks prevent the program
from crashing and ensure smooth execution.
10. File Handling or Database Connectivity
File handling or database connectivity (like MySQL) is used to store
customer records, room details, and billing information permanently.
This allows data to be saved and retrieved whenever needed.
11. Event Handling
Event handling is used in Java Swing to perform actions when a user
clicks a button or enters data. For example, when the user clicks the
Book Room button, the booking process starts.
12. Object-Oriented Programming (OOP) Concept
The entire project follows OOP principles such as modular design, code
reuse, and structured programming. This makes the system easy to
maintain and upgrade in the future.

Working of System
The Hotel Management System works in a systematic and
organized manner to manage hotel operations using Java
programming. The system starts with user authentication and then
allows different hotel operations such as customer management, room
booking, check-in, check-out, and billing.
First, the user logs into the system using a valid username and
password through the login module. After successful login, the user can
access the main menu of the system. The user can then enter
customer details and manage room information. The system checks
room availability and allows booking of rooms for customers.
When a customer arrives, the check-in process is completed by
entering the required details and assigning a room. During check-
out, the system calculates the total number of days stayed and
generates the bill through the billing module. All customer and booking
information is stored in the system for future reference.
Finally, the report module displays all records such as customer
details, room status, booking information, and billing reports. This
helps the hotel staff manage data efficiently and quickly. The system
reduces manual work, saves time, and improves accuracy in hotel
operations.
Step-by-Step Working:
User logs into the system.
Customer details are entered.
Room availability is checked.
Room booking is completed.
Customer check-in is recorded.
Billing is generated during check-out.
Reports are displayed and stored.
Figma Description
The Figma screen of the Hotel Management System shows a clean and
user-friendly interface designed to manage hotel operations efficiently.
The design includes different screens for login, customer details, room
management, booking, billing, and reports. Each screen is arranged in
a structured layout to make the system easy to use.
1. Login Screen
The login screen contains username and password fields along with a
login button. It allows only authorized users to access the system and
ensures security.
2. Dashboard Screen
The dashboard shows the main menu of the system. It contains options
like Customer Management, Room Management, Booking,
Check-in/Check-out, Billing, and Reports. The user can select any
option to perform operations.
3. Customer Details Screen
This screen allows the user to enter customer information such as
name, contact number, address, and ID proof. It also provides options
to save and update records.
4. Room Management Screen
The room screen displays room number, room type, and availability
status. It helps the user check which rooms are available or occupied.
5. Booking Screen
The booking screen allows the user to book rooms for customers and
confirm the reservation.
6. Billing Screen
This screen calculates room charges and generates the final bill for the
customer.
7. Report Screen
The report screen shows all customer records, booking details, and
billing information for easy reference.
Overall, the Figma design provides a simple, structured, and easy-to-
use interface for managing hotel operations effectively.
