Data Migration Process Overview

Purpose:
The purpose of this document is to provide a clear and structured overview of the data
migration steps followed in SAP. It serves as a reference guide to ensure consistency,
accuracy, and compliance during the migration process.

Scope:
This document applies to all activities related to data migration within SAP implementation
projects, including extraction, transformation, loading (ETL), validation, and reconciliation
of data. It covers migration of master data and transactional data from legacy systems to
SAP, roles and responsibilities of teams involved in the migration process, and key steps,
tools, and standards used during migration. It does not include post-migration support
activities or system configuration details unrelated to data migration.

Responsibilities:
- Data Migration Lead: Oversees the entire migration process and ensures compliance with
standards.
- Functional Consultants: Validate data mapping and transformation rules.
- Technical Team: Execute extraction, transformation, and loading activities.
- Quality Assurance Team: Perform data validation and reconciliation checks.

It is important to review or identify legacy data sources.

Also Analyze data quality, accuracy, duplicates and completeness to determine cleansing needs.

• Data Cleansing Guidelines

Import the rules for Duplicate removal.

standardization the formats like Date, currency etc.

validation rules like mandatory fields need to pre-checked.

• Mapping & Transformation Rules

Define how ECC fields map to S/4HANA fields. Address obsolete fields and new structures
introduced in S/4HANA.

Also, handling obsolete fields and new data structures as per migration.

• Migration Strategy

It should be decided at initial if its Full load (all load at once) or incremental load (phase
approach).

Cutover planning should be done to minimize downtime.

Last but not the least it is very important to have a
documentation on roles and responsibilities that who is
approving the mapping or validating the Data.

The activity of migration runs and changes should be


documented.

There should be planned for backup and roll back in required


cases.
