1.3 Communications Plan

Will you meet face-to-face, online or a mixture of each to communicate?

- Online How often will you come together to share your progress? –

Twice a week

Who will set up online documents and ensure that everyone is contributing? – Everyone

What tools will you use for communication? – Microsoft team, Google drive, Google docs for
collaborative documentation and work

1.4 Team meeting minutes (create one for each meeting held)

Date of meeting:03-11-25

Who attended: Adeeba, Avantika, Janhvi, Mahalxami, Samvedna

Who wasn’t able to attend: NA

Problems discussed: Problems faced by people on road

Items discussed:

1. Need of medical chatbot

2. Understanding issues/their consequences

3. Problem with compensation

Things to do (by whom, when)

1. Collect information for designing

2. Each member

3. By next day, night/evening

2. Problem Definition
2.1 List important local issues faced by a school or community
The problem being faced by people who can’t frequently visit a doctor are unable to find
symptoms of diseases particularly in regions with limited healthcare infrastructure, leads to
significant challenges in accessing timely, accurate, and affordable health information.
Without these tools, communities often face delayed diagnoses, increased strain on
healthcare resources, and higher costs, note studies on health technology.
Main issues:
Lack of money
Health hazard due to lack of
hygiene

2.2 Which issues matter to you and why?

The issue matters to me is not getting proper treatment due to lack of money. As
appointment scheduling, language and communication barriers and information
dissemination. If medical assistance is delayed even by a few minutes, the situation
can become life threatening.

2.3 Which issue will you focus on?

The main issues that need to be focused on is initial patient navigation,

answering common questions related to diseases, and managing chronic
conditions. Financial Barriers, Significant disparities exist in healthcare access
between urban and rural areas, often compounded by inadequate medical
infrastructure, poor transportation, and lack of essential facilities in underserved
regions. Technological and Administrative Inefficiencies.
2.4 Write your team’s problem statement in the format below.

How can we help the people regarding the illness they are facing and unable to
cure them due several reason, detect symptoms automatically using AI so that
they can get rid of disease?

Rate yourself-

3. Problem Definition
 A local problem is described
 A local problem which has not been fully solved before is described.
 A local problem which has not been fully solved before is explained in detail with
supporting research.

4. The Users
4.1 Who are the users and how are they affected by the problem?

Patient
Emergency services
Hospitals
The victims do not receive help on time.
4.2 What have you actually observed about the users and how the
problem affects them?

Victims may lose consciousness especially in severe illness where survival rate is
least. Victims often face delays in receiving medical help because of lack of money
and immediately treatment.
Lack of money, technology and time people suffer at high risk. This delay
increases the risk of serious complications and create fear, stress, and helplessness
among victims and their families.

4.3 Record your interview questions here as well as responses from

users.
Q1. What happens after knowing your diseases?
A. People usually wait to cure it themselves first and then try to visit a doctor.

Q2. What causes delay?

A. Lack of awareness and remote locations.

Q3. Would medical chatbot will help?

A. Yes, it would save time and lives.

Q4. Have you ever experienced or witnessed a delay in emergency help after
calling an ambulance?
A. Yes, in many cases help arrived late because of traffic or arrive after a person
loss its life.

Q5. Do you think technology can reduce it?

A. Yes, medical chatbot can detect the symptoms and we can get to know the
disease early and time to cure it .
4.4 Empathy Map
Map what the users’ say, think, do and feel about the problem in this table.

What our users are saying What our users thinking

nearby hospital. Discomfort

Increasing will power. Stressed Worried

4.5 What are the usual steps that users currently take related to the problem
and where are the difficulties?

1. After knowing the symptoms, they contact the doctors.

2. Unable to contact ambulance easily.

3. No medical attention towards diseases at early stage.

4. Users lack in money and automatic symptoms detection.

5. Poor network connectivity can delay communication.

4.6 Write your team’s problem statement in the format below.

No reach to the doctors who are expert in different fields due to

lack of money, no precaution on early stage of the disease, an
auto detection for symptoms and I it’s cure should be advised

11.1 Team Reflections
A good way to identify what you have learned is to ask yourself what surprised

Team member name: Samvedna Kushwah

We AI students are expected to give tech-based solutions for our organization. With the help of
our project “MEDICAL CHATBOT”, Our core objective is to leverage technology to significantly
help to detect diseases from given system and people can cure them.

We have developed a system that uses an AI-powered chatbot interface to streamline the
reporting and alert process. This system serves as a crucial bridge between patient and doctor
mechanisms (whether automatic or manual) and the emergency disease detection.
Additionally, I deepened my understanding of machine learning models and their real – world
applications. I look forward to applying these lessons and insights in future AI projects.

Team member name: Avantika Yadav

It was a great opportunity to learn and explore the different ways in which Bots can aid us
with our day-to-day tasks, as well as complicated tasks. The chatbot aims to swiftly and
automatically detect disease from mentioned symptoms and advise what to do next. Further
training the model will help make it better and thus help others in a better way. It all around
helped enhance my knowledge on AI as well as other topics. It was a good experience
working with the people in the team.
Team member name: Janhvi Sharma

This AI project was a meaningful and educational experience. It demonstrated the

transformative power of AI in data analysis and how creative problem-solving can address
unexpected challenges. It provided insights into technical learning, challenges and
contributions to the team’s success. This project offered significant contributions to my
personal and professional development. It deepened my knowledge of AI applications in
facing different situations. I am excited to apply these new skills in future projects and
continue to grow in this field.

Team member name: Adeeba Khan

One of the most rewarding aspects of my role was the data insights that we uncovered. These
insights directly informed our predictive model and strategies for enhancing medical services
during emergency. Collaborating with the team, we implemented creative solutions to address
data anomalies and ensure the reliability of our predictive model. This experience reinforced
the importance of adaptable problem solving in data analysis. It was fulfilling to see the direct
impact of our data analysis on the project’s success.

Team member name: Mahalaxmi Nishad

As a tester or coder, I learned how to test an AI system and check its accuracy in different
situations. I understood how input data affects output and how errors can be identified and
reduced. This role improved my coding, logical thinking, and debugging skills, and helped me
understand the importance of proper testing before real- world use.
