Microsoft Word Tool Guide for Table
Document
To create and format tables, students will primarily use tools on the Insert tab to add
the table, and then the Table Design and Layout tabs (which appear when a table is
selected) for formatting.

1. Insert Tab

Purpose: To add various elements, including tables, to your document.

Location: The Insert tab on the Ribbon.

Key Tools:
Table: (In the Tables group) Click this to insert a new table. You can drag to
select the number of rows and columns, or choose “Insert Table…” for more
precise control.

2. Table Design Tab (Appears when table is selected)

Purpose: To apply visual styles and formatting to your table.

Location: Appears under “Table Tools” on the Ribbon when a table is active.

Key Tools:
Table Styles: Apply pre-defined visual styles (e.g., grid tables, list tables) to
quickly change the look of your table.

Shading: Change the background color of individual cells, rows, or


columns.

Borders: Customize the borders of your table and its cells (e.g., add,
remove, change line style/color).

3. Layout Tab (Appears when table is selected)

Purpose: To modify the structure and arrangement of your table.

Location: Appears under “Table Tools” on the Ribbon when a table is active.
Key Tools:
Delete/Insert: Add or remove rows, columns, or the entire table.

Merge Cells: Combine two or more selected cells into a single cell (e.g., for
a “Total” row spanning multiple columns).

Split Cells: Divide a single cell into multiple cells.

Cell Size: Adjust row height and column width.

Alignment: Control the vertical and horizontal alignment of text within


cells.

Exercise

1. Open a new blank document in Microsoft Word.

2. Insert a table with 5 columns and 5 rows.

3. Enter the data from the “Sample Data Table” above into your Word table.

4. Use the Table Design tab to apply a suitable table style and add shading to the
header row.

5. Use the Layout tab to:


Merge Cells in the last row for the “Total” label.

Adjust Cell Size (column width) to fit the content nicely.

Set Alignment for numbers to be right-aligned, and text to be left-aligned.

6. Apply Bold formatting to the header row and the “Total” row.

7. Save your document as My_Data_Table.docx .
